The setting for document usage normally include the tasks done to achieve goals, the information on audience limitation and abilities, and the settings for using the documents. The following strategies answer earlier questions such as audience characteristics, type of tasks, and setting’ constraints. Additionally, the specified criteria for document usability. The problems include distractions, interruptions, other constraints, the manner in which the documents are read, and things that can jeopardize the setting.

The organization will find it difficult to locate the intended document users and their objectives. Also, it will be hard to complete the organization’s audience version and the user profile sheet. Other problems with the organization include considering the criteria under document usage. This involves whether interruptions and distractions will make it difficult to pay attention. In addition, the company will have problems figuring out of users will always have time for the documents. The organization will be indifferent if users will scan, memorize, consult, or study the document (Joseph, 55).

Some of the misunderstanding during the first style was pinpointing the typical users and readers of the documented product such as education and age.  One of the things that the team could not understand at all was how to begin interviewing potential customers or surveying earlier buyers of other products manufactured by the company. Expressions that seemed complicated for the team were checking the records of customers from the company’s details. Also, ask the legal section about the injury claims that happened to the clients previously. Another problem identified with the style is that the style was unable to spell out precise tasks, and performance objectives, that the users ought to accomplish (Joseph, 55).

The headlines that seemed to confuse include the assembling of the equipment, operating the equipment, and maintaining the equipment. A design plan should be designed as a list. A design plan acts as a blueprint to achieve usability. The plan is crucial in collaborative work; this will enable the company team to coordinate their input throughout the production of the document. Examples of materials that can be classified as images and visuals include the web, the Compact Disk, or even a print. The visuals will help in information distribution. Examples of overly complex visuals include memos and proposals this is because they normally have their requirements and standards.

Things that might cause cross-cultural misunderstanding include a breach in communication with clients or readers due to various reasons. Conflict can occur among cultural groups for reasons like beliefs, formality level, values, and company obligations.

The document can be made easier for users by focusing on the crucial information, believing that the writer is concerned with readers’ needs and concerns, understanding what the readers want, and taking appropriate actions. Additionally, the document can be made easier for users by writing for the reader, writing clearly and in a visually appealing style and design (Joseph, 54).
