Susan Millard, Human Resources Department Roanoke Branch March 6, cc :Gregory S. forest, presidentBeing part of the Executive Team, the Human Resources Department would like to update you about the present situation at our Roanoke Branch. It has come to our attention that the said branch has been experiencing low employee morale and low productivity. During the past three months, two of the top management people of the branch, namely the art director and an account executive have resigned from the agency.

Our Department also learned that three of the graphic designers and four of the copywriters are threatening to quit soon.Upon our investigation, we have learned that the low morale and productivity of the branch is due to the failure of the branch to properly compensate its employees for the additional hours worked. Overtime work was necessary because of the increase in new accounts accepted by the branch to increase their revenues. Furthermore, employees are complaining that they are not being consulted with regards to changes in their works, made by the art directors and account executives.

As you are aware, the Roanoke Branch is a major branch of Phoenix Advertising. Complaints from customers about the poor advertising work of the branch will greatly impact the overall success of Phoenix. This is the reason why we need to address the problem at Roanoke immediately.In this regard, may I request the reports enumerated below, from the respective departments that you are handling. Because of the urgency of the matter, please make available the reports by Monday of next week and send it to me through email.

The hard copies are to be presented on the scheduled Executive Team meeting.Mr. Dan Mitchell (Vice President- Sales & Marketing Department) – Sales data for the past 12 months of the Roanoke BranchMs. Jane Dowell (Vice President – Creative Department) – Report of completed projects of the Roanoke Branch and a list of the pending projects Mr. Howard Joseph (Vice President – Account Servicing Department) – List of accounts serviced by Roanoke Branch & detailed report on the complaints of customers handled by the branchMr.

Kenneth Smith (Vice President – Finance Department) – Monthly financial statements of the Roanoke Branch for the past 12 monthsIn view of the above, may I kindly request your attendance to an Executive Team meeting on Thursday, March 16, 2012 at 9:00am to discuss the problem at Roanoke Branch. Our President, Mr. Forest will preside over the meeting. Please make sure to bring the necessary information requested from your department. If you need further clarifications please do not hesitate to call or email me.

In view of the above, our Department needs to study and analyze the payroll statements of the Roanoke Branch for the past 12 months. Furthermore, our Department will have to review the policies of the agency and the branches regarding compensation, overtime and benefit packages. Because of the urgency of the situation at the Roanoke Branch, may I request you to submit three days from now a copy of the payroll statements of the Roanoke Branch for the past 12 months. I will also need a summary of the policies specified above by Monday next week.

Please submit to me through email the data requested. I will also need hard copies of the data by Tuesday next week.The sooner the problem at Roanoke Branch is resolved, the better for our company since said branch is vital to our company’s operations.
