PROJECT PROPOSAL: KITCHEN RENOVATION Name: Course: Tutor: Institution: City and State: Date: Project Proposal: Kitchen Renovation Project Charter Background In January 2013, a fire broke out in my kitchen after somebody left it on overnight. The fire started from the toaster and spread to the curtains, at which point the flames engulfed the entire room. The fire had just consumed the entire kitchen when my family and I were able to smother it. The incident devastated the kitchen, with the flames having caused extensive damage to the counter tops, shelves, utensils and kitchen appliances such as the cookers, toasters, microwave and oven. In addition to this, the fire caused a lot of aesthetic damage as it left the kitchen walls, floor and ceiling sooted. Project Purpose Because of the fire incident, the kitchen is currently in a dilapidated state with most of the surfaces and equipment unfit for safe use. The current state of the kitchen makes it a health hazard for the family as we have to cook food in unsanitary conditions. Renovating the kitchen will help improve my family’s cooking experience as well as the health safety of the food. For these reasons, I consider the kitchen’s renovation to be a key priority and would like it completed within the next four months. The purpose of this project is therefore to renovate the kitchen and restore it to its status before the fire. With the project being a key priority, feasibility will rely on the team’s ability to work around my schedule and that of my family. Adding on to the project’s feasibility is the kitchen’s location in relation to the rest of the house. The kitchen is located towards the rear of the house, where the back door opens out to the backyard. The renovators can use the yard as a staging area, which they can use to prepare their tools and other equipment. There is a small alley running behind the house that the workers will be able to use it to pick up supplies and equipment from the delivery trucks without having to go through the rest of the house (Project Management Institute, 2013). Scope Scope Description We will renovate the kitchen in the house to repair the damage caused by the fire last year. The renovation project will require us to replace all of the fire damaged equipment and furniture in the room with brand new supplies. We will replace the kitchen’s main surfaces and furniture such as the counter tops, shelves, cupboards and the kitchen table. We will also replace the cookers, oven and sink. The renovators will change the kitchen’s wiring and plumbing to repair the damage that the fire caused. In addition to this, the renovators will scrub and repaint the kitchen walls, replace the ceiling boards and floor tiles in the room. Lastly, the renovators will change the kitchen’s design. The will replace the single window looking out in the middle with two that will be positioned a bit farther towards the kitchen sides. The new windows will be slimmer and longer. After this, the workers will wall the part where the single window was located. The renovators will replace the washing machine that was previously in the kitchen with a cooker and move the kitchen sink to the surface on the right side (Tonnquist 2009). Project Deliverables The renovation of the kitchen should repair the damage caused by the fire and give it a fresh new look. The renovation will also see to it that the kitchen is fitted with new appliances and equipment. We will replace the oven, cooker, dishwasher, microwave, counter tops, shelves and cabinets. The project will ensure that new ceiling boards and floor tiles are fitted in. Lastly, the completion of the work will see the kitchen design changed into a safer and fresher looking model. Assumptions One key assumption for the project is that it will occur within the predetermined budget without any incidents arising and causing an increase in expenditure. The implementers also assume that there will be no major accidents at the site requiring prolonged medical attention or causing extensive damage to the kitchen or any of the new equipment. Lastly, the implementers will undertake the project under the assumption that none of the suppliers will fail to make their deliveries and that the needed equipment and appliances will readily available throughout the length of the renovation. Constraints The budget that I have set aside for the project places restrictions on the length of the process and the appliances that the workers will install. The workers can only make changes to the electrical system in the kitchen because the sponsor has restricted renovations to that area only. An additional constraint comes from the fact that my family will still be occupying the house as we are renovating the kitchen. This means that the workers will have to complete the day’s work before five o’clock when the family starts returning from their daily activities. Additionally, I expect the entire project to end within a month to avoid inconveniencing my family. Project Objectives To renovate the kitchen and undo the damage caused by the fire. To uninstall the damaged equipment and appliances ultimately replacing them with new clean ones. To clean and repaint the kitchen walls and remove any marks left by the fire. To replace the damaged kitchen surfaces, shelves, cabinets with new ones. To redesign the kitchen; Firstly, by replacing the single window with two smaller ones, then by changing the arrangement of the kitchen appliances as well as the equipment to make the kitchen safer. The project should repair the fire damage and change the design of the kitchen. The work will require the involvement of masons, carpenters, an electrician, a plumber and a painter to work along with Mr. Heisenberg, the design expert. The following plan dictates the order in which we will carry out the different parts of the project as well as the different people who will be involved in each stage of the project. I will also be the sponsor of the project, as I will be funding the renovation by purchasing the supplies and paying the renovators. Mr. John Heisenberg from Gray Matter Interiors will be working on the renovations as a design expert. He will be in charge of the renovation project and will supervise the work on site. Jesse Harris will be the assistant manager and will take on Mr. Heisenberg’s work in the event of the latter’s absence. Mr. Harris will also be in charge of procuring the necessary equipment and supplies. The rest of the team will compose the workers carrying out the actual renovations (Berkun 2008). I will also choose the design for the new kitchen with assistance from Mr. Heisenberg John Heisenberg Design expert He is in charge of the actual renovations and the workers renovating the kitchen. Jesse Harris Assistant Manager Harris will act as an understudy to Heisenberg, taking on the manager’s roles when he is absent. He will be in charge of procuring the materials and equipment. Jack Gustavo Electrician He will deal with the electrical wiring. He will also set up the new appliances in the house. Jake Doe Plumber He will change the piping and plumbing system in the kitchen. Finn Smith Carpenter Smith will fit in the kitchen tops, cabinets and shelves in the new kitchen Daniel McDowell Carpenter McDowell will also work on the cabinets, counter tops and shelves. Hansen Aberdeer Painter Part of the renovation team Harry Lemongrab Mason He will redesign the kitchen wall replacing the single window with two. Mordecai Parker Mason He will work with Lemongrab to redesign the kitchen wall replacing the single window with two. James Rigby Tiler Rigby and Samuels will work on the tiles and ceiling boards Steven Samuels Tiler He will work on the tiles and ceiling boards Organizational Structure I will work as the leader of the project, monitoring and overlooking the work as it progresses. This means that I will issue instructions detailing the way that I would like the project to be carried out. These instructions will include the design plan, the materials to be used and the appliances to be fitted among other issues. The on-site project manager will be Mr. Heisenberg, from Gray Matter Interiors. He will be in charge of the workers and the actual renovation process. Working under Mr. Heisenberg will be Mr. Harris, who will be in charge of the procurement process (Philips 2013). Communication The stakeholders will communicate through email, phone and face-to-face meetings. For official communication, the stakeholders will use email to interact. This will allow each of the parties to save copies of messages as proof of their interaction detailing any issues that they discussed. The stakeholders will use face-to-face meetings whenever there is an important matter that they need to discuss. This method will make sure that there are no incidents or communication breakdowns that result in misunderstandings. Lastly, Messrs Heisenberg and Harris will be in charge of their workers. It will be their responsibility to relay the relevant information to them. They will also be in charge of bringing up any issue that the workers raised with me (Philips & Ward 2010). Risk Assessment Risk Identification The project runs a risk of overrunning its time constraint if the delivery company fails to provide any of the required supplies or appliances in time. This could affect the project at any stage. The fact that the project is primarily a construction operation means that there will be many tools at the site increasing the likelihood that one of the workers might have an accident and incur an injury. It is also possible for one of my children to incur and injury if he or she wanders into the kitchen area and stumbles upon a misplaced tool. Another problem that the project could encounter entails the budgeting. The project could overrun its budget and surpass the limit that I have set. Lastly, there is a chance that the plumbing process could result in a leak that damages equipment and supplies in the staging area. Closely monitor the process of procurement to make sure that the purchases made are essential and controlled. Make sure the plan is followed throughout the project. Ensure that the tools and equipment in the kitchen are well-stored and secured at all times. Keep back up equipment at the site. This equipment can be used in case an incident such as a leaking pipe occurs. Counter check the accounting process regularly to ensure that there are no costly mistakes relating to procurement Closely monitor the project’s progress to ensure that all of the team members complete their work in time Make sure that the kitchen area is well secured and that the children cannot enter the area (Kousholt 2007 ) Ensure the workers carry out their tasks carefully to avoid any mistakes that could cause further damage to the kitchen or to the tools and equipment. Organize the workers in a way that ensures that the only ones who show up are the ones with a task to complete. Make sure that everybody who enters the staging area has protective equipment Have Mr. Harris check back with me regularly to monitor the accounts. Ensure that the equipment used is of good quality to reduce the possibility of malfunctions Make sure that there is always a car on site. In the event of an emergency, the vehicle can be used to transport the victim to the nearest medical center (Fox & Van 2007).
