Memo to the Building Manager The Regional Manager of Rite properties The Building manager of The Plaza Date: 16th October, 2014 Re: Revisions for initial memo I have noted with much concern the problems that you have communicated with the residents at the Plaza. Most of the issues highlighted are genuine and should be worked on for proper living conditions in the area. However, it is important to communicate to the residents in a manner that they will appreciate and feel respected. Professionalism is key.

As such, I have made some suggested recommended revisions that are presented herein. These should be corrected for effective communication and relationship between you as the manager and the residents. You overlooked several components on the process of creating the memo. Among them is the basic formatting structure of the memo. Therefore, when writing a memo or any other official document, it is necessary to include a well-written subject. In addition, the issue provides a summary of what the intended message is.

The slight glance at the subject should let the reader understands the gist. In this sense, the subject line should be complete in itself. The content in the memo should only aim at expounding on the subject matter (Bell 5). The writing method used in the memo should be short and clear for easy understanding. That is to say, try to shorten the sentences and avoid using too many words to explain a single item. Additionally, use simple words. Better still, you should ensure that you are not unnecessarily repetitive to prevent boredom and the lack of comprehension of the material.

There are different ways by which you can put emphasis to your point. For instance, you can make use of synonyms. Moreover, observe the proper use on punctuation marks and conjunctions. It will guarantee that your message has adequate flow and is passed as efficiently as intended. It is important to put the readers into consideration when writing them the memo. Writing in a friendly and polite tone can attain it. Among the most significant things to consider attaining, it is by the use of courteous and soft words when addressing the residents.

At times, plain language such as that used in the memo does not sound appropriate. The people you are dealing with are diverse in many ways. It means that much respect and caution should be taken when sending a communication message to them. It will mean that you will have to adjust your writing style to accommodate the knowledge about your message to the readers. In particular, they can be replaced with more polite equals (Bell 7). The structure of the memo should flow in a manner that the reader gets a better understanding of an issue in question.

It should start with a proper introduction. Further explanations and recommendations should be found in the main body. Subsequently, it is important to have a conclusion that summarizes the entire problem and provides a number of solutions to the issue. The agency appreciates your efforts to make living conditions favorable for the residents in the area. With the slight revision recommendations above, it will be possible for you to achieve the objective with your property. It is crucial to note that proper communication is one of the major steps towards goal attainment.
