Effective Communication Xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx Name Xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx Course Xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx Lecturer Xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx Date Introduction Communication is one of the most important parts and essentials in an organization; it plays an essential role in the success of an organization, (Porter & McDaniel 2009). The benefits and importance of effective communication in an organization are many; they enhance every aspect of an organization both internally and externally. Effective communication avoids misunderstanding, embarrassments and other problems in the organization hence streamline results, (Ruesch & Bateson 2008). Effective communication is virtually important for every stakeholder of the organization. With effective communication, an organization achieves its goals and objectives and hence success (Miller 2011). This report explains why effective communication throughout an organization is critical to its success using Max Weber case study on management to support discussion. The report describes specific reasons for effective communication in respect to success of an organization. With effective communication, Saville-Troike (2008) explains that, there is understanding among the employees. Every employee knows what is expected of him/ her; they know how to carry out his or her work and who to consult for help. This reduces employee’s turnover and hence improves the atmosphere at the workplace. Employees are such vital part in an organizations success. With effective communication, they increase productivity as recommended by (Razi & More 2010). This is because of motivated and well-informed employees having better working relationship. Bring every employee up to speed with communication skills is also very important. This is because not every employee comes from a strong communication setting. This ensures effective communication and hence increases in employee’s productivity. This is demonstrated through the success of the organization as a whole. Miller (2011) asserts that, effective communication is critical in an organizations success, this is because bit creates mutual understanding environment between the employees and the management and among the employees. Effective communication provides a sense of direction to the employees, they know what to achieve through good communication. In addition, effective communication motivates the staffs; they get to exchange ideas and are provided with direction. This two-way communication motivates the employees, motivated employees work effectively hence increase productivity. Effective communication ensures a seamless introduction and implementation of change within an organization. It ensures that employees are well-informed and trained in respect to implementation of changes in the organization. As such, they are well prepared to handle change. This reduces resistance to the change. This underpins the critical role effective communication plays to success of the organization. Effective communication is essential in building a reasoned, effective and unified team with a healthy working relationship as Lingard et al., (2004) maintain. This is very important in achieving success for an organization. Effective communication outlines clearly the expectation of the workers. Effective communication makes customers of the organization be aware of its products and services. As such, Simon & Alouini (2005) says that, customers do not strain in knowing about an organization, they know where to get the organizations products and services. They know where to provide advice as well. This makes an organization to be successful. An organization has diverse demography due to different races, ethnicity, culture age and sex. This is well managed in an organization by establishing the socialization process through effective communication. This promotes teamwork which results to successful performance in the organization. According to Smith (2005), many aspects of an organization coupled with common mistakes like forgetfulness make effective communication essential, that every employee, management and other stakeholders have and maintain high effective communication to create an environment in which everybody can speak out, express concerns, share common and important ideas to drive the organization. This propels an organization to success; this reinforces the importance of effective communication to an organizations success. Furthermore, Razi & More (2010) suggest that reliability domains such as commercial aviation indicate and show that effective communication in an organization is a critical strategy in enhancing not only teamwork but also avoiding and reducing probable risks. Effective communication ensures that an organizations objectives and goals are clear to all persons in the organization as (Saville-Troike 2008) asserts. It makes everybody’s responsibility understandable and comprehensible as well communicating on how to get to the goals and objectives. Effective communication ensures that employees are satisfied and their desires fulfilled, (Ruesch & Bateson 2008). This inspires them to working extra hard and loyal to the organization, they develop free spirited dedication and culture that is vital in achieving success for the organization. Effective communication makes possible transparency in the organization; this avoids social concerns like corruption in the organization. Additionally, Smith (2005) adds that effective communication creates healthy competition among employees, this creates cutthroat environment where employees outshine their counterparts and are subsequently rewarded accordingly. Effective communication creates value of trust in the organization and a plat form for sharing information. The success of an organization is tied straightforwardly to the interpersonal competence and communication of the entire team, excellent managers and supervisors are well communicators, (Porter & McDaniel 2009). These are some reasons why effective communication in an organization is critical to its success. They indicate that highly effective communication is an important factor in the success of an organization. They also demonstrate how quality and nature of employees practices. Effective communication is as important as every other operation of an organization. It is not only essential but also a necessity for every organization. With the various departments and or sections in organization, effective communication must be applied to per sue the main goals of the organization. This, as explained above, ensures that an organization achieves success. Every organizations success is dependent on the feedback that the organization gets from its customers, employees, shareholders and any other stakeholder. According to Tsokolov (2010) the communication process in an organization can never be complete without feedback. Feedback enables the company to get information on their performance, their provision of goods and services and the management gets the staff’s reaction to policies or any changes in the organization through feedback. Through the information given as feedback the organization is able to improve on what is not pleasant in the organization as well as sustain what is an advantage to the firm. Feedback is critical for an organizations success because it make the organization to be goal oriented by enhancing performance review. As pointed out by Rummler & Brache (2012) Performance review promotes constant evaluation in the organization. This is made relevant through the systems theory such that effective communication facilitated by providing room for feedback integrates the sub-systems in a company to a super system. Feedback effectively given in an organization enables the company to adjust their inputs and outputs thus facilitating improvement of the organization’s goods and services. Effective communication is an important component for total quality management which when achieved ensures success in the organization. The success of an organization is dependent on the decisions that are made by individuals or groups in the organization. Effective communication supports making of sound decisions in an organization thus making effective communication critical for any success to be realized. This is because communication facilitates consultations amongst the departments and the different groups in the organization. Through effective communication exchange of ideas within an organization is possible thus boosting the performance. The management is able to include the staff in decision making in an organization by welcoming their ideas. This enhances participatory decision making such that the staff own up whatever policies and changes that the management introduces in the organization. This is because through democracy and participation in decision making all staffs feels appreciated. Consultation in an organization enhance sharing of ideas this means that before any decision is made consultation with all the departments to be affected is made, this promotes making of sound decisions. The decisions when implemented enhance the quality of goods and services thus improving the performance in an organization so that success is realized. When there is consultation in decision making communication facilitates getting to a consensus such that there are no conflicts and people can cooperate towards the achievement of the organization (Ferrell et al 2012). According to Miller (2011) top down communication when effectively applied in the organization enhances authority. To effectively make some decisions in an organization authority must be applied this is because authority reflects knowledge and understanding and when some decisions are made with authority then they are implemented with respect. For instance in a school students will implement the decisions made by the school management because they know they have authority. This enhances hierarchy in an organization which according to Fayol is an important principle for efficiency in management. As Miller (2011) states, efficiency in communication within an organization is important for its success, this is because it facilitates adequacy in planning, organizing, controlling and staffing. To achieve success in an organization then there is need for efficiency in the human resources; communication helps an organization to have the right manpower in place. The process of hiring, recruiting, induction and interviewing of employees is dependent on effective communication. This means that when the organization has the right channels and means of communication then it is possible for the organization to get the right employees who facilitate in the achievement of the organization’s goals. Motivation among the workers is also essential for success; this cannot be achieved without an effective way of communication. When the employees are complimented or appreciated in an organization they work better thus enhancing success in an organization (Miller 2011). Tsokolov (2010) points out that, to achieve the set objectives in an organization then it is important to have an established plan to be implemented for the achievement of these goals. Planning effectively requires communication among the people to implement the strategies and amongst the departments involved. Communication facilitates the alignment of departmental goals in an organization such that it becomes easy to plan on the strategies to implement in achieving them thus realizing success in an organization. Effective budgeting is one of the management tools that is facilitated through communication Conclusion Effective communication can be achieved in many ways, in using and delivering message it is important that the message and information communicated is clear. This harnesses direction and coordination in the organization. For these departments to work harmoniously towards the achievement of the organizational goal there must be effective communication. To ensure that there is coordination in the organization, effective communication must be applied. For an organization to solve problems such as strikes, mechanical failure, language barriers, ethnic and cultural barriers, emotional and psychological challenges and other organizational problems, all persons involved in the organization must be involved. Problem solving is such important task in achieving success; it needs effective communication to prevent them from getting worse. All these indicate and demonstrate how critical effective communication is to an organization. Hence, effective communication is the glue that holds an organization together. References Ferrell, O.
