Assignment 3 Name Date Course Business case Azeta Pty Ltd is one of the companies that designs and sells jewelry to the customers in Australia. The company sells a variety of high quality jewelry and it has not embraced an online system that enables the customers to purchase its products online. However, most of the jewelry sold by the company is ready made and the customers have to select the jewelry that they require from those available at the store. This locks out some of the customers who may not find their required designs at the store of the company. Most customers usually like the jewels to have certain specific features including specific images. In order to solve this problem a business prototype that enables the customers to design their own types of jewelry on a platform provided by the company online. The company can then manufacture the jewelry according to the needs of the customers. A design prototype plays an important role in terms of ensuring that the customers are satisfied (Huang & Sarigöllü, 2012). Customer satisfaction will impact positively on the company as it will promote efficiency and increase the number of customers. It will also reduce costs at the company. This is because the cost of designing the jewelry will be eliminated and the company will only focus on the manufacturing process. The new system will impact positively on the efficiency at the company. The customers will be able to get their jewelry in less than 3 days. The new innovative system will be known as Azeta innovative system and it will only cost there company about $ 5000. Architecture The company already has a website but modifications will be required in order to accommodate the new system. A software that aids in the development of designs will be required be required by the company. Computer aided design software will be required to develop a template where the customers can draw their own designs which will be in 2D. The design will be simple and it will not involve any complex designs but simple drawings that any customer can make. A design interface will also be provided that will enable the customers download the sketches and complete their designs offline by hand or software. If the drawing was carried out offline a photo has to be taken in a jpg format and uploaded in the system. After the design has been uploaded, the customer can select the material of their choice for manufacturing their shoes. Depending on the nature of the design and materials, a price tag will appear on the screen and highlight the price of the shoes. The customer will have to click on an icon that will be named add cart and will be directed to PayPal for payment. Once the payment has been made the design is sent to the company where the shoes will be manufactured and delivered to the customers within 3 days. User interface The website will have a form that the customer has to fill online. This will include personal details and their address. The information filled will be stored directly in the database of the company. The information will also play an important role in terms of delivering the jewelry to the customer as it will have their address. The website of the company will have several icons and templates that will be used by the customers during the process. The template will be used by the customers for carrying out the design. The other icons will mainly be used for the purposes of directing the customers on what they are required to do while using the website. The customers will only be required to click on the icons to obtain the required information. The menu will be easy to understand and it will enable the customer to obtain the required information. The user interface plays an important role in terms of promoting interaction between the customer and the system (Bharadwaj, et al, 2013). Training and operational manuals The training and operational manuals will be available online in the website of the company. The customers can access the training manual online in order to aid them during the process of carrying out the design. The operational manual will also be used be provided to all the employees of the company. The training of the employees will be carried out for a period of two days after the system has been implemented. This is considering that the employees of the company are required to fully understand how the system works (Davey, 2015). The employees of the company will also be required to provide assistance to employees during the design process and hence the importance of training the employees. During the training, the employees will be required to ask any question and highlight any issue within regards to the system. This will be important in ensuring that the system is effective. The customers can also download the operational manual which will utilize simple language to ensure that the customers fully understand the contents. The system will have the capability of translating the contents of the manual into different languages. This is for the purposes of ensuring that it can be used by a wide range of customers. Process descriptions Technical teams will be involved in the process of fixing the bugs as well as the extending the system. The process will mainly involve the customers making the design and sending it directly to the company online. The company manufactures the jewels in accordance to the design of the customer and sending it back within three days. ERD diagram Most of the activities will be carried out online by the customers who will be easy and effective as compared to visiting the company and providing the design for the shoes. Implementation plan The system will mainly affect the manufacturing process of the company. As opposed to the past method where the company had to carry out mass production through the use of its designs, the company will mainly rely on the design of the customers. Only a few jewels will be manufactured by the company through its own designs. The implementation will be carried out on a step by step basis depending on the response of the customers. The first step will be to stop the use of old designs and embrace the designs of the customers. The company will also start by phasing out some of its old designs in favour of the designs of the customers. The mass production of the jewelry using the design of the company will stop after six months. It is expected that the customers will be fully aware of the new system after the six months period. Implementation plan table Activity Concepts Timeline Design of the system Involving the technical team to come up with the new system Website modification 1 week Training the employees Development of the operational manuals Informing the employees of the changes and training them on how it works. Change management training. 1 week Purchase of materials and installation of the system Purchasing additional software and hardware and modifying the website in order to install the system. Testing the system 1 week Marketing and informing the customers about the system Informing the customer how the system works and providing them with all the information regarding its use 3 months Implementation and use Putting the system into full use 6 months. Change management plans The change management plan will be put in place for the purposes of eliminating any resistance to change by the employees. Most of the employees responsible for designing the jewelry at the company will be affected and may end up becoming redundant. The company will therefore put in place changes management training before the implementation of the system. The training will last for 3 days and it will be for the purposes of preparing the employees for change. Change management may be a difficult process among the employees and hence the need for training (Longenecker, et al, 2011).
