Introduction Event managers play a critical role in the planning, coordination and subsequent success of any event. This is a complex task as it often requires the event managers to assume the role of creative director, human resource managers, operations coordinator, trouble shooter, public relations officer, accountant, master of ceremonies, relations officer and health and safety officer. (www.sdst.org/) The success of events is often assessed against economic, social, safety measure, and health. The measurements generally include the impact the event has on patrons, event staff, police, emergency services and the community. (www.lib.berkeley.edu/) Experience has shown that the management of a successful event requires a detailed planning and consultation process. This guide has been designed to guide event managers through the planning process. (www.21stcenturypress.com) Although a comprehensive event planning process cannot guarantee a problem free event, it enhances an event manager's ability to effectively respond to any problems that may occur. (www.tec.govt.nz/) Having an event management plan is not a legal requirement; however, developing one will help the mangers in their planning and in ensuring that all important aspects of managing events are accounted for. Moreover, a plan is also a good marketing tool when the managers are seeking support from relevant stakeholders. (www.preval.org/) Evaluation can be defined as a periodic process of gathering data and then analyzing or ordering it in such a way that the resulting information can be used to determine whether your organization or program is effectively carrying out planned activities, and the extent to which it is achieving its stated objectives and anticipated results. (Robinson G, 1998, p. 97) The importance of event evaluation enables mangers to conduct internal evaluations in order to get information about their programs so that they can make sound decisions about implementation of those programs. Internal evaluation should be conducted on an ongoing basis and applied conscientiously by managers at every level of an organization in all program areas. In addition, all of the program's participants such as managers, staff, and beneficiaries should be involved in the evaluation process in appropriate ways. This collaboration helps ensure that the evaluation is fully participatory and builds commitment on the part of all involved to use the results to make critical program involvements. For instance; the Alpha PLC event of launching a car for its clients enables the managers to evaluate whether indeed the event attracted a massive crowd and how effective the event was in terms of creation of awareness to the public. Thus formative evaluation concentrates on ways of improving a project or a programme while it is still ongoing; summative evaluation is undertaken after the project of programme has been completed and judges it overall effectiveness. Its aim is to evaluate needs in the context of the current services and to identify where the events products or service might best fit. In the case of the Alpha PLC; 20 of the 52-seater bus coaches were hired to shuttle the public to and fro Lucerne City Centre to the venue each hour throughout the non peak hour and each half hour throughout the peak hours in order to ease traffic congestion for the users. Good management on the other hand is based on good decision making. Good decision making depends in good information. Good information thus requires good data and careful analysis of the data. These are all critical elements of evaluation. Evaluation can, and should however be used as an ongoing management and learning too to improve an organization's effectiveness.
