Industrial and organizational psychology essay Job Accounts payable/accounts receivable clerk Job summary The person selected for this job will obtain all payments and pay all invoices while verifying both payable and receivable transactions of the company. Critical work activities The clerk will process the payment of invoices after verifying the validity of the transactions The clerk will schedule and prepare disbursements The clerk will monitor and obtain revenue by verifying transaction authenticity and data The clerk will compute all charges and refunds The clerk will prepare and mail all relevant invoices The clerk will identify and manage all delinquent accounts and, monitor all insufficient payments The clerk will collect all revenue by following up on delinquent accounts for payment The clerk will notify customers on the status of insufficient payments The clerk will prepare financial reports of the company. This will be done through the collection, analysis, and summarization of all accounts and their data-trends. The clerk will maintain ledgers through the posting of all account transactions The clerk will resolve all discrepancies in the company accounts by thoroughly reviewing previously filed records The clerk will maintain the company’s financial security by following the setting up policy and internal accounting controls The clerk will maintain the company’s financial historical records through the proper filing and maintenance of all accounting documents Reporting relationships The accounts receivable clerk will report directly to the Assistant Finance Controller but may also if required or in the absence of the Assistant Finance Controller report directly to the Finance Controller. Tools and equipment used and how used The clerk will be required to use the company computer issued during the orientation phase. As such, they are required to familiarize themselves with the software used by the company. In the event that the company choses to upgrade the financial software used, the clerk will be required to attend the training seminars arranged by the company with the sole purpose of orienting employees about how to use the software. The telephone, wireless phone, printers, photocopiers, calculators and other office equipment will be left at the clerk’s disposal after agreeing to the terms outlined in the employment contract. All company equipment must remain in the precincts of the company except the laptop, mobile cell phone and calculator, which have a specific password unique to the employee. It is STRICTLY against the company’s policy to allow any other person to use or access company property. The employee may not give a lift to any other person in the company car on the trips to or from the bank. Working conditions and physical requirements The Accounts Payable/Receivable Clerk will work in the company’s headquarters located in the Central Business District. Working hours are from 8:00 am-5:00 pm form Monday to Friday except on national holidays when the office is closed. There is a lunch break from 12:30 pm- 2:00pm. Other working conditions: Good hearing due to frequent telephone transactions Several weekly trips on foot to and from the bank to deposit and withdraw money and bank checks/cash checks A monthly working trip to one of the company’s branches Mandatory attendance of all work related seminars, meetings or trainings unless otherwise exempted by company policy Tea is provided for by the company at 10:00am and at 4:00pm There is a cafeteria for the staff where one can buy lunch and any additional food or snacks at a subsidized fee. Most of our employees from all levels of management make use of this cafeteria that maintains the best possible standards. We have a professional chef and highly qualified staff running it. Our company also has a baby-care center, which caters for toddlers and young children of our employees at no cost. Please note that these services are only available to registered legal children of our employees only. We provide designated parking for your post due to nature of your work We provide security during your visits to and from the bank when carrying money Personal knowledge, skills/abilities required The applicant should be a Bachelor’s degree holder in Business Administration, Finance or Accounting. A combination of Business Administration and Accounting or Finance and Accounting will be an added advantage in considering the applicant’s suitability. Two or more years work experience in the accounting field. The applicant must be able to demonstrate the ability to accurately calculate, correct and post as well as manage financial records of the company The applicant will be required to possess a strong understanding of accounting standards and regulations. The applicant must be willing to maintain a high level of confidentiality and be ready to sign a confidentiality agreement with the company since the company considers it a pertinent factor in client dealings. The client must demonstrate the ability for retaining high moral and ethical standards when dealing with monetary transactions. The applicant is required to adhere to very strong diplomatic negotiations in relation to handling of conflict and delinquent accounts and non-payments in order to reach an amicable solution. The company places top priority in customer satisfaction and experience. The applicant should have basic knowledge in the preparation and operation of budgets, accounting systems, controls and monitoring. The applicant must have the ability to perform moderate to complex reconciliation operations of company accounts. The applicant is expected to be an excellent team player with the ability to maintain a good attitude under high work pressure The applicant must adhere to the dress code of the company and agree to follow and maintain the desired corporate image of the companies employees as laid down in the dress policy The applicant should also be able to build and maintain strong relationships with other departments and stakeholders of the company in line with his position in the company. The applicant must have a high English proficiency level and the ability to operate accounting IT technology. This means that the applicant must have excellent administrative writing skills, organization, financial software skills, thoroughness and research reporting skills in things finance. Organizational-Industrial psychologist’s role Central to helping the recruiting panel decide on the most suitable candidate is the industrial/organizational psychologist’s ability to sift through the candidates by assessing their personality types, intelligence, and general psychological functioning. Through the administration of assessment tools designed to test personality types such as the MBTI, the psychologist will be able to recommend candidates with personality types suited to an accounting job. It is integral to note, that some candidates might possess exceptional credentials; however, their personality types impede their ability to take on the responsibilities outlined in the job description. A regular panel of interviewers might be unable to pinpoint such a challenge without the expert advice of a psychologist. In addition, the psychologist can coordinate the administration and scoring of psychometric tools designed to test applicant’s problem solving skills, analytical skills among other traits associated with intelligence. Some applicants might not perform well during the interview process due to anxiety or other impeding factors; however, their high intelligence makes them the right candidate for the job. By sitting on the interview panel, the psychologist is able to assess applicants’ general psychological functioning. More often than not, non-verbal communication triggered by unconscious motives highlight different aspects of a person. As a result, the psychologist is able to have knowledge prior to the administration of psychological tools. Psychological tools help to equalize the playing field, as all aspects are taken into consideration, and not just the credentials presented on the resume.
