“Communication is the key to a successful project management” (Ericshaw). Project communication management implies informing the right people on the right time about the progress of the project and its achievements. In other words, all the participants of the project- customer, project stakeholders and the employees are given the appropriate information on the right time. Communication is necessary for the smooth progress of a project, to identify the various problem areas and introduce new proposals to enhance project performance.
Finally it is required for evaluating the end result of a project and communicating it to the employees and the customers. If communication is not done properly, a project’s failure is unavoidable (Sheryl R.). One of the most vital tasks of a project manager is to communicate the performance evaluation of the project to its employees and the customer. Communication of performance evaluation is very important for the success and future growth of a business but it may be met with some level of resistance and unlikely situations.
A project manager needs to well plan the communication before he starts a performance evaluation. He should make a status report on the progress of the project; rate each employee’s performance on a prescribed scale and a review of the customer’s satisfaction. He can either organize a question- hour session, a group forum, or a one-on-one discussion session (projectsmart.co.uk). In case of a wedding project, the manager does the performance evaluation on the basis of the services rendered to the customer; meeting the wedding budget limit, customer satisfaction, management of sources, quality of the service, time management, customer experience, efficiency and performance of the employees, their behavior with the guests and the overall wedding quality (Wedding project management).
The project manager should inform his employees the importance of communicating performance evaluation before starting the discussions. A project manger should include both negative criticism and positive appreciation for his employees in his communication. He can appreciate an employee through verbal expression of acceptance, through remuneration in the form of salary increase, bonus or in the form of promotion. At the same time it is very necessary for a manager to point out to its employees, what needs to be corrected.
The project manager should keep in mind that negative criticism needs to be done in a polite manner and with the sole purpose of encouraging improvement. Thus it is a way of communicating both progress and difficulty. Communication of the team’s accomplishments not only leads to team promotion but self promotion as well (projectsmart.co.uk). Another important aspect of project management is communicating the end result to the customer as it is he who has designated the project. The project manager needs to evaluate how well he has managed the resources and the finance provided to him by the customer.
The customer’s experience is the main scale for evaluating the performance of his team. In case of a wedding project, he should prepare a report which includes the cost of the wedding in details, how the budget has been maintained, the performance of his employees and how all the tasks has been coordinated by his team (wedding project performance, para ). This report will provide the customer an overview of the management of the whole wedding. The project manager should himself communicate the whole report to the customer and be ready to listen to not only customer’s appreciation but his criticism as well since it will help his business to grow further in the future.
Thus we see that communication of performance evaluation should be done in a very constructive and well planned manner by the project manager as it is very vital for the future growth of his business. .
