In phase management, the project manager ensures that he or she satisfies the various conditions that are necessary for successful completion of the project (Leach, 2014.). The project manager should ensure that he or she has enough knowledge of all the gates completed in the phase before he or she exits the phase. Project Initiation Document identifies the different sign-off requirements and deliverables that are necessary for successful completion of the project. Project planning involves carrying out the high-level plans for the whole project at the beginning of the project. The manager at this phase should ensure that the available people are the right ones, there are right resources, right methodologies and right planning tools so as to ensure that the project is delivered on the right time, the right budget for the project is adopted and the appropriate standards of the project are of quality level. In the control phase, the managers should control cost, issues and scope and manage the time, benefits and risks in an effective manner (Kerzner 2013).The manager should create reports using Project Dashboard that contain the needed information so as to ensure accuracy in the way that things are actually proceeding. Under team management, managers should manage the project’s team. Project work is very different from the usual activities of the other businesses since projects require specific management support and training. In communication phase, the project manager ensures that there is clear information of communication process to the team members, the different stakeholders, the project’s board and the other relevant parties. Communication phase calls for considerable attention since it lack of communication contributes to a frequent problem in the project planning process. In procurement phase, the project manager should hire even third parties so as to be able to manage any purchasing which involves the use of IT systems. Participation of third parties avails additional job to the project manager since the project manager is required to manage them. Since it is not possible for many projects to stand in an organization for their own, the project manager should ensure that the project is in interface with any other project which may be occurring simultaneously with this project (Kerzner 2013). Resourcing plan In resourcing planning, according to Krajewski, Ritzman, and Malhotra, 2013, the resource planning manager summarizes different resources’ levels that are needed for the project to be completed. The labor, material and equipment that are necessary for successful completion of the project are properly listed in the resource plan. The project sponsor approves your planning template so as to ensure their buy-in. planning of the resources is very important for this three day music festival since its success will depend on the allocation of resources and how these resources are used. Resource planning also reduces the much efforts required by the teams while struggling and juggling for resources. A resource plan includes human resources and also non-human resources accounted for separately. The plan also entails individually analyzed resource requirements for the different phases of the three day music festival project (Leach 2014). On top most side of the project, the project manager must include the projects basic details referring to the music festival. Under the basic details, we should have, the project’s name, 3-day music festival, authorizing personnel’s name, the creator’s name and the date of the preparation of the plan. In this project, the resource plan should be made completely for the whole project. Human resources necessary for the success of this project vary from one phase to another. Personnel having different skills are required in the different phases for this music festival project. In resource planning, the project manager should identify clearly the different deliverables or tasks by describing them with their names (Leach 2014). Identification of tasks and receivables is done on the first phase. The type of resources needed for the success of this festival project is also identified during resource planning. Resource type is identified together with the degree of profession necessary to establish the planned type. Sources for the different professionals needed in the project are also listed during resource planning (Philips 2013). For example, skilled personnel have to be sought from the department of music in all the recognized institutions in Australia to grade the different participants in this music festival. Names of these different professionals are listed during resource planning. The level of the skill required is also listed in this phase so as to ensure the correct personnel are invited to judge the musicians. The quantity of the labor needed should also be decided in this phase. This simply involves deciding on the number of skilled personnel necessary for the tackling of all the tasks arising during the music festival. Hours required for the music festival are also planned and decided during resource planning, finally, all the resources must be exposed to be used under the control of a particular person (Schwalbe 2015). Non-human resources are also listed during resource planning. The resources are classified into different phases where they will be used and according to the different deliverables or tasks. Listing of non-human resources helps the project manager to estimate the project’s cost and also helps him or her to avail all the required resources for the effectiveness of the project. Under resource planning, the project manager should evaluate the available resource assumptions to ensure that their importance is reflected. The project manager should also supposed to list all the different kinds and levels of risks associated with the three day music festival project’s resources and also establish the various mitigation strategies usable in the nullification of all the possible risks (Schwalbe 2015). At the end of resource planning process, the project manager is supposed to have a detailed sources’ list where they are going to be produced. Under the detailed list containing the resources, the project manager should include the names of the sources, the sources’ physical locations, contact details of the involved persons and the name of those persons (Schwalbe 2015). Since accommodation is limited, only the musicians will be accommodated while the judges and other participants will be having one hour daily to travel along the hilly roads to the event site. Risk management plan According to Verzuh, 2015, risks may rise after the first phase of resource planning. Risk management process follows three major steps such as identification of the risk, assessment of the risk, response and management of the risk. Under risk identification, the project manager identifies the different risks. Under assessment, the project manager should asses the probability and impact of the risk. Comparison with the past events of this kind should be applied to identify the various risks that should be expected. Risks such as delaying of the festival in the morning due to the hilly rods where judges will be travelling in the morning and inadequate seats should be addressed significantly. Other emergency sources of seats should be sought before the beginning of the event so as to recover any seat related emergencies. Judges and the other controllers of the festival should be advised to keep time by leaving their destinations early before the expected time. Musicians also pose another great risk of causing damages and inconveniences in their residents. The damages caused are subject to repair by the management body. To manage this risk, musicians should be advised on their arrival that, the beddings and other materials in those rooms and dorms where they will be accommodated should be accorded a lot of care. Leadership and management plan There are different leadership levels that will be raised after resource management plan. With the project manager taking the senior most position in leadership, judges and controllers also should be treated as leaders on their own capacity. Those leaders should be assigned different management roles so as to achieve success in the music festival. Judges will perform the role of evaluating the musicians in a way that both the audience and the musicians will be satisfied, security guards will ensure security during the entire event while controllers will ensure that each event takes place during the specified time (Verzuh 2015). The success of any music festival depends on the number of audience who will respond and attend the event (Walker 2015). This festival is planned to take place in country Victoria where accommodation is limited. The other music festivals that have ever happened in the world and gained fame took place in places where accommodation was available for any considerable number of audiences. Some interested audience will miss this event due to lack of adequate accommodation facilities. Experienced artists will be discouraged to feature in this festival due to the smaller audience hence reducing the marketing potential of the different stakeholders of this festival. Also, this music festival was to take place in an almost inaccessible place. The various roads which could be used by the audience, artists and judges were winding and hilly. This fostered a serious challenge to the interested audience hence reducing the audience attending the music festival. Compared to the other music festivals like Athena Music Festival which takes place in Athens in yearly basis to promote girls and women with artistic abilities, the location of this three day festival is not favorable. Athens Music Festival attracts the largest number of audience and female artists due to the fact that, it is strategically decided to happen in Athens, where roads are not hilly and winding and accommodation facilities are adequate. As a project manager, I conclude by saying that, the location any music festival should be strategic so as to ensure success in the entire event (Walker 2015).
