R&W Barbers Strategic Staffing Handbook Staffing Mission R&W Barbers is a company that is growing, employing many people. With this growth, the need for strategic staffing becomes very important. R&W strives for excellence in every department, to give all customers an exceptional experience. This high standard begins with the associates that we employee. What is proper staffing? Whether filling a single position or multiple openings, staffing is a detailed process. Staffing is about finding the right person for the job available. In keeping with R&W’s high standards, managers must be thorough when hiring a new associate. Good staffing skills equal long term employees and stronger team units. What are we looking for? There are certain traits that R&W looks for. These basic transferable skills have proved to be important in hiring strong associates. Communication skills Personal responsibility Reasoning skills Ability to do multiple tasks Work within a team structure These abilities provide a strong foundation for any employee. Job Analysis R&W Barbers Human Resource Department regularly reviews job titles and job descriptions for the positions we have available. This gives a more accurate account of the expectations we have for our associates. Using the job analysis descriptions will assist you in matching candidates with the position. Below is an example of a basic job analysis. Job title: Barber/hair stylist Location: R&W Barbers Main Duty: To provide customer service through personal grooming services. Position Duties: Duties include but are not limited to, giving up to date haircuts, classic razor shaves, scheduling appointments, making business contacts, and other added duties required to maintain a proper work environment. Breakdown of duties Haircuts and shaves 70% Making contacts 10% Scheduling appointments 5% Other 15% Education and Training High School Diploma or GED Cosmetology License One year experience Job Postings When we can, R&W strives to hire from within. When hiring in house, people have prior knowledge of the expectations of the company and what our standards are. It also promotes a culture of team work and loyalty. R&W’s Human Resource Department receives notice of openings from the managers. Once the information is accepted, a post is issued to be viewed by all employees. Example Internal Job Posting Job Title: Barber/hair stylist Manager: Mr. Smith Location: R&W South West Description Standard barber/hair stylist position open. Must perform haircuts and shaves, make appointments, and other duties needed to perform tasks. Must have required qualifications in cosmetology and one year prior experience. To Apply Contact your current manager or email the HR department with a resume and employee number. Public Postings If the position is not filled within a sufficient amount of time, up to 7 days or no more than 14, the job will be posted on our website for the public to view. The public post is similar to the internal post. The exception would be education, training, and experience requirements will be specified in detail. Any and all applications will be posted for managers to review, through the company intranet. Job Applications The first impression of a job applicant is the application. You will gain basic information about the person’s experience and qualifications. It also contains a signature and date line. While the applications are online, they will be printed and signed at the time of hire. Applications are a type of legal form, treat them as such. Utilizing Applications R&W Barbers utilizes our website to collect and store applications. Applications, through this online process, automatically verify that the forms are complete. Completed applications are then open for managers to review. Resumes can also be attached to the file for added information. Resumes are not reviewed by HR. Resumes can be a useful tool; however, they do not replace the application. Applications will be printed and signed when an applicant is hired. This form is to be stored in the employee’s file. Again, an application is a legal form. It contains vital information deemed confidential. Do not divulge personal information to others unless they are participating in the hiring process. Information, applications, and resumes are stored for one year before being deleted. Interviewing Philosophy R&W Barbers has adopted a relaxed interviewing approach. Due to the atmosphere of our business it has been found to be the best technique. Customers expect to have a relaxing experience when at our shops. While we are professionals, we want to convey an enjoyable work place. There will usually be two interviews, depending on the position applied for. The manager and the assistant manager will interview associates. If the position is for an assistant manager, the district manager and manager will interview the cannidate. Dos and Don’ts of Interviewing There are many things to consider when interviewing. Do Schedule accordingly. Plan about two hours for each interview. This prevents scheduling conflicts. Take notes as you are interviewing. Assume that you will not remember an important fact. After the interview, write down your thoughts and impressions about the experience. This will help organize your thoughts and make the best decision. Ask open ended questions. You receive more information from this type of question. Don’t Go into the interview unprepared. Being organized is key for a successful interview. Be unprofessional. Keep in mind that you are performing an important function of your job. Gossip about the interviews. Interviews are to be confidential. Interview Questions It is very important to have a list of questions to ask before an interview. This will help prevent you from asking inappropriate and/or illegal questions. Keep questions professional and job related. Example Questions What made you decide to go into cosmetology? We do classic shaves here; some people get nervous the first time; how would you soothe someone’s anxiety in this situation? Sometimes there is competition for customers, how would you handle a conflict like that? There are times when we are slow, how do you keep busy at these times? What is your definition of professionalism? These are specific open ended questions that help managers to gain information about an applicant. Each of these questions can lead to follow up questions, as a response to their answers. Remember to only ask legally permitted questions. Age, sexual orientation, race, and family situations are some of the questions NOT ALLOWED. Keep the questions professional and business orientated. Pre-Employment There are some procedures to follow when hiring a new employee. Some are to maintain the standards that R&W have in place, others are legal procedures. Together they help validate that the employee is a good fit for our shops and is licensed to work here. Before being hired, the references of potential employees are verified. If you are unable to verify the reference you may ask the applicant for an additional contact. R&W Barbers practices pre-employment and random drug-testing. This helps ensure a safe working environment for both employee and customer. Background checks are done for new hire assistant managers, corporate managers, and shop managers. When an employee is brought in to fill out their initial paperwork, you must get a copy of their state issued ID, Social Security Card, and Cosmetology License. These formal steps are necessary to keep the personal and legal standards of the company. If there are any questions to the procedures used to hire our associates, contact HR right away. Additional Thoughts Hiring the Right Person The steps to hiring a person may seem like a long process, however, it is necessary. When you hire without a plan, you hire someone who may be better suited somewhere else. To create a good environment in your shop, you need to start with the people. Qualified employees are the backbone of any good business. Personal yet Professional Maintaining a personable exchange with an applicant is good, but remember, keep it professional. A professional distance is good to maintain to prevent future conflict. You will be less likely to say something inappropriate or lead someone to think the wrong conclusion. Providing for Your Shop You are hiring for your R&W Barbers shop. Weigh your decision carefully. Take in consideration the opinion of the assistant manager’s interview, references, and your own opinion on the matter. Strategic staffing is a tool to find the right person.
