What is knowledge management? Knowledge and its management is the effective use of knowledge by capturing and distributed process. It’s a discipline that promotes an integrated approach to evaluating, sharing, capturing, identifying, and retrieving all assets of enterprise’s information the assets may include previously un-captured experience in individual workers, documents, procedures, database and policies. This process governs creation, dissemination, and utilization of knowledge(Burnett, 2004). What is knowledge management system? Knowledge management system is a technology-based system for managing knowledge in an organization for improvement of business ideas and supporting capture, storage, creation and dissemination of information. KMS is an interconnected group of functionthat contains behavior that facilitates the integration, discovery, sharing, capture, and delivery of the knowledge required by an organization to achieve its objectives(Shannak, 2009). The key principle of knowledge management system is that it must be useful and able to solve problems. It is intrinsically a soft open system in that the boundaries are permeable and hard to position. What is useful to one person in one part of the organization is useful to other people in another department. This makes any knowledge management initiative to establish clear achievable goals that convey benefits to the organization and take into account stakeholders and users requirement(AlSondos, 2012). Due to increasing market competition, most of the sectors experience many ever-increasing challenges. Most companies that are using the wrong tools and programs are unable to sustain in this competitive market. The efficient knowledge of management systems is able to obtain the best customer satisfaction results. It enables the sector to overcome many challenges that may be encountered when providing customer service. Most of the companies that are using knowledge management system are able to provide accurate service for the customers. Knowledge management system offers integrated services to organize knowledge management instrument for a network of the participants(Gerami, 2010). KMS offers integrated services to deploy KM instruments for networks of participants, i.e. active knowledge workers, in knowledge-intensive business processes along the entire. KMS can be used for a wide range of collaborative, societies, cooperative, adhocracy and hierarchy communities, virtual organization and other virtual networks to manage media content. It is can also be associated to the, Open Standards, , Open Knowledge licenses , Open Source Software initiatives, Open Protocols and policies. Most managers are bombarded with constant stream of data every day; this overload of data is making knowledge management increasingly more essential to a company. These facilitates Decision making capability Build a learning organization by creation a learning routine. Stimulation of cultural change and innovation Facilitation of Decision Making Capabilities The amount of data available can offer managers wealth of information but processing the overwhelming amount can get in the way of achieving excellence decisions. Information overload or information that needs knowledge from people from other parts of the company for decision-making can handicap managers, putting knowledge management system in place (Buckman, 2004). This can facilitate better, decisions that are more informed. Builds Learning Organizations by creation of a Learning Routine The approach to capturing learning from experience builds knowledge that can therefore be used to streamline the operations and improvement of processes. Stimulation of cultural change and innovation Active management of organizational knowledge can also result to stimulation of cultural change and information by enhancing the free flow of ideas. Knowledge management program enhances global business environment and can help the managers embrace change and encourage insight and ideas this often leads to innovation even for business owners(Krogh, 2000). Classification of knowledge management models They include five typical knowledge controlling mode Routine oriented model This model is based on formalization and a highly structured hierarchical documentary system. The creation and operation involves codification strategy. This includes knowledge, whichutilized independently of the original owner of the knowledge and standard knowledge pieces are created. The knowledge management system can be achieved at different formalization, in routine oriented models the knowledge controls enforces formalization. Information and technology support for knowledge increase the efficacy of the model due to the completeness and growing standards of the documentation and the improving conditions of knowledge transfer. Project oriented model Knowledge accumulation points are always in motion during the functioning of the project and there documentation can be carried out at the time of their formation. They include knowledge maps, which are internal technology map that are used for marketable systematic knowledge pieces. And external technology map that record relevant external knowledge sources and their content is regularly forwarded to internal users(Resnick, 2004). Model based on intellectual property protection The model aims at creating legally protecting legally protected knowledge. It is a tool meant for elaborating innovation monopolies. The artificial limit of entering a market can be set up with the controllers linked with knowledge transfer. Information Technology Based Model The task of knowledge storing and diffusion are implemented by automated information network based on information technology Personal oriented model This model spreads the knowledge built upon personal ties within the company. The model is enforced by regular organization of internal forum for knowledge spreading, enhancing both vertical and horizontal communications, and encouraging individuals to participate and share their opinion. Knowledge management strategy Several practical models have been developed and introduced to companies. These actions preparation demands to create knowledge management strategy of the company .the issues orienting the creation of knowledge management strategies include The individual character or standard of the service or product When the companies services or product are adjusted to customers individual expectations to a great extent, leads to loss of meaning in codified knowledge The mature or innovative character of the product or service Mature products or service provides great number of opportunities, which validates the codification strategy. Applied controlling system This ranges from classical linear controlling system via matrix organization to project network systems. The classification of open knowledge: the ratio of tacit to open knowledge Tacit knowledge is attached to a person; therefore storing it is difficult hence, its transfer cannot be automated. Open knowledge is easy to code and store. Novelty protection of products or services Protection can include all kinds of transition between legal strategic cooperation and exclusion. Decision supports systems in Agriculture (case study) For over 100 years, agricultural research has been an important factor for industrialization and economic development in Australia. Most of the research(Halliday, 2008)h has been conducted on plant varieties, diseases, soil, water, and proper management methods. Several KMS were developed to enhance the need agricultural development to provide knowledge to farmers. This case study looks at the case of Fairport farm software and its role in enhancing agricultural development especially on grape fruit. Fairport began its operations in 1988 working in conjunction with Australian grape and wine industries. Hunter Valley winery confronted Fairport and requested the company to develop a vineyard management system. It only took Fairport 2 years and by 1990, the software was available. Fairport continued with its operations and developed another program PAM Ultracrop viticulture which suited many research companies like Loxton, Nuriitpa, and Lenswood(Robinson, 2006). By 2004, the system was so famous and proved scientifically efficient and productive. Cooperative Research Center for Viticulture developed another software known as ‘AusVit’ and requested Fairport to integrate with them and form single solid software for all viticulture farmers. Fairport and Cooperative research center for Viticulture made a deal and came up with PAM AusVit software used in countries like Russia, Spain, and Portugal. The program is important and useful in the following ways; cost reduction in terms of proper administrative efficiency through analysis and standardization of business processes. There is also improved ways of tracking insecticides, herbicides, fungicides, and consumables hence helping in cost reduction. Effective planning helps in maximized utilization of asset. PAM is essential for farmers since in increases business intelligence. Business intelligence increases through improved visibility of labor, proper managerial reporting, and comprehensive accessibility of information. Business intelligence increases when achieving higher yields through the quality targets and while reducing cost. Many farmers agree that PAM is a solution to their complex management processes. PAM has been able to simplify their business units through allowing global processes in terms of sharing and management of resources and standardization of all processes across their business units. PAM also provides future growth opportunities by providing template administrative procedures and incorporating important farming operations into a s single system. The program also assists in data security and by ensuring that data is accessible in a more centralized safe way. PAM program provides opportunities for monitoring and tracking chemical use in the farms, disease monitoring, intervals of spraying, and a fullyintegrated crop monitoring system. The program enables framers to analyses water use efficiency since the program provides comprehensive weather and rainfall graphs. Crop vs crop and paddock vs paddock reporting systems are also available within the program hence enabling farmers to utilize the grape production. Grape farmers are able to keep track of all their costs and incomes by using powerful gross margin reports available in the program to understand areas of production that are more viable and need more resource allocation for improved production. Currently, Australia is the fourth largest exporter of wine courtesy of improved grape production. It is estimated that the country produces 750 million liters a year. The country only consumes 40% of their wine production and exports the rest. Through KMS programs, wine is produced in every State in Australia. The country contains 60 designated wine regions. 160, 000 hectares of land is under grape plantation. Early grape farmers faced major challenges in terms of grape production due to weather(Phillips, 2012). However, there is now a solution to such famers since the inception of KMS programs that assist in management of farms and paddocks. Wine production is so popular in Australia and in 2004; the country hosted the First International Biodynamic Wine Forum in Beechworth. Conclusion Knowledge management system facilitates knowledge creation and exploration with aid of technical experts and education programs. The knowledgetransformation and restoration is via developed integration, assessments, and sorting systems. Network employers, experts, analyzers and information technology expert, enhance knowledge distribution. Knowledge application an preservation values is done by licensing, patents technologies.
