?Memorandum 9th October, Ms. Caroline Smyth The Director of Human Resources, D&E Refusal to the proposal of inclusion of CNV in the list of volunteer opportunities for employees in community service. The Purchasing Officer Caroline Smyth has proposed the inclusion of the Centre for Non-Violence (CNV) in the list of company approved community services and volunteer opportunities explaining the functions of CNV and its importance in the society. The activities of the Centre for Non-Violence are guided by principles which are politically neutral. Due to mismatch between the organization culture and policies of the management of D&E towards community service and the volunteer opportunities for the Centre of Non-Violence, the proposal could not be accepted. The community service program volunteered by the employees has been running smoothly and has been displayed on the company’s website. Dawson & Engels are thus able to improve its image as a social citizen which puts the company is a better place in the competitive scenario. This has been achieved with the help of strategic policies of the company and considering the needs, culture, and sentiments of the society (Banerjee 89). The higher management of the company is politically conservative which is compatible with the views of the employees and the individual citizens in the community. The company also encouraged its employees to participate in the listed volunteer opportunities and without them the entire employee volunteer program would be a failure. The organization has due respect to the employees of the purchasing department as well and has considered your proposal of inclusion of CNV in the list of volunteer opportunities. However, D&E has decided not to engage into the activities of CNV as functional activities and strategies of CNV in resolving community conflicts, conducting peace camps and holding sessions in the schools are politically neutral. The management feels that any engagement in politically neutral activities of CNV might hurt the sentiments of the employees and the members of the community. This might defeat the efforts of community service of D&E that is due to the contribution of its employees. The management has equal confidence on you and the employees of the purchasing department and appreciates the enthusiasm expressed in the field of employee volunteer program (Gossling 56). Looking at the amount of cost involved in engaging into the activities of CNV and the cost-benefit analysis, it would not be prudent to accept the proposal. The company encourages your involvement in the alternate areas available in the approved list of volunteer programs or is even ready to accept new proposals that are in line with the policies of the company (Crew 45). D&E also does not intend to affront its company executives in pursuing this social activity. The company expects that this would be accepted in good spirits and is looking for more proposals in future. Dawson and Energy would continue to recognize the employees for performing outstanding work in the employee volunteer program. In cases approved by the company, the employees would continue to be eligible for the paid volunteer hours for rendering the service to the community on behalf of Dawson and Energy. The community services are being undertaken by Dawson and Energy as an initiative to become a good citizen of the community. The community services are being rendered in the form of employee volunteer program that is planned in consonance with the marketing director. In order to do this, the company has prepared its list of volunteering activities in different areas. In these areas, the company has taken a strategy to provide grants to the organizations that they would support for providing the community service (Hawkins 42). The company respects the culture and sentiments of the society and carries out the functions of community service in such a way that it does not hurt the members of the society and their feelings. Dawson and Energy also understands the importance of the contribution of its employees as the core area of the employee volunteer program. In order to do this, the company has encouraged participation of the employees in the listed volunteer opportunities by providing them payout for the hours volunteered for serving the community (Horrigan 83). Dawson and Energy also provides grants in the areas in which it is engaged in the community service. Looking at the policies and the strategic efforts put in place by Dawson and Energy, the company has decided not to accept the proposal of including CNV in the list of volunteer participation of the company. The principles and activities of the Centre of Non Violence are guided by political neutral approaches. Looking at the increasing violence in the society, the organization activities of CNV has gained importance which aim to resolve conflicts in the community. CNV also holds peace camps in the community and conducts similar sessions in the schools. Despite all these, the proposal of including CNV in the volunteer activity list could not be accepted as the higher executives of the management are politically conservative and so is the community in the mid-western city of US. By contributing to politically neutral activity, the efforts of D&E could be defeated in building its image as corporate citizen and continuing the work in the community. Also the inclusion of the CNV in the list of volunteer activities would put extra burden of cost which is not viewed to be beneficial for the company. The increasing cost of the company as incurred in the areas of community service could be viewed to be against the interest of the stakeholders as the principle of the CNV is not in line with the executives of the organization as well as the community (Idowu 74). Considering all these points, D&E decided not to engage into volunteering activities of CNV. By doing this, the executives of the company were not affronted and the sentiments of members of the community were also not hurt. The purchasing department who put up the proposal was also not discouraged and was encouraged to put up new proposal in the future.
