Problems Of Using Computers Overview I have been tasked to update you on the problems associated with the computer systems, in behalf of the members of the IT department. One of the eminent problems reported is that employees have to save their work on personal hard drives and are not getting compensated for the use of personal items to perform their tasks at work. Many employees feel that they should be compensated for using personal items in saving work supposedly for the company. Further, employees could not adhere to complying with deadlines because the computers are running slow with the lack of memory on these systems. The current computer software is out of date and causes the problem of accessing important documents sent to them from other important clients. The IT department’s evaluation found out that the business is suffering from the lack of updates on current technology. We, as members of the IT department, therefore suggest that computer systems should be updated so employees could perform their job more efficiently and also enable an increase in the productivity of the company. This would result in substantial improvement on the financial status of the business as a whole. Problems The following problems have been noted from the current computers: (1) Lack of memory and therefore lack of storage capacity for data. The effects of this problem are as follows: (a) employees to bring personal hard drives to work to enable them to complete their daily tasks on time; (b) work is completed at a slower pace for the employees because they are spending half there day waiting for data to be uploaded. (c) most of the data on these computers are important information for the company and should not be deleted. (2) The current software on these computers is out of date. The effects of this are as follows: (a) causes problems for employees to inadvertently open important documents that could be confidential and accessible only to authorized personnel; (b) to address the need for additional memory and accommodate more capacity, the IT department has tried to clean the computers as best as possible, but there is only so much the department can clean; New software can be downloaded at a price for the company, but will only fix one current problem as the other ones still exist. If new computers were purchased, new software comes installed with the computers and all the current problems would be solve associated with the current computer systems. Proposed Solution The proposed solution is to buy new computers from Dell at a cost of $1400 per computer. The new computers are faster, have greater memory, and the quoted price includes new versions of the software. In addition, the new computers have larger monitors. Dell will send automatic updates yearly to the new software if the new hardware is purchased. In addition, the old computers can be given to Friendly Elementary School in the Long Beach Unified School District. You’ve spoken to Mr. Robert Gonzales, Principal of Friendly School, and their facilities people will come pick up the old computers. This would mean a tax write-off for Good Day Real Estate, as well as good public relations for Good Day, Inc. The new computers could arrive within 30 working days of being ordered. The Good Day IT personnel know how to install the computers. Packing of the old computers, unpacking the new computers, and installing the new computers would take four days. Methodology Purchasing these computers from Dell ensures the company up to date software every year free. This will allow employees to have plenty of memory to perform their job at more productive levels. There is enough memory on the new computers to solve the defined problems and personal devices will no longer be needed to perform daily tasks within the company. Approval is hereby sought from Mr. Peterson to buy the Dell computers which is estimated at about 30 computers for 1,400 dollars a piece coming out to a grand total of 42,000 dollars. The Good Day IT personnel will handle all the installing of the new computers as well as packing the old computers up for donation. The IT department will have them running productively in four business days once received. The order time for the delivery upon receipt of purchase order is thirty business days. If approved on, say the 16th of September, the Dell computers would take thirty business days before delivered at the company premises. It would therefore be expected that the computers would arrive between October 24 and the 28th and would be completely installed and running by November 4th. Benefits The IT department knows that the company will benefit greatly with work production. The work pace would improve significantly and be expected to run efficiently again. The purchase of brand new computers would eventually eliminate back log and all deadlines would be met. The IT department suggests that it is in the best interest of the company to purchase the new technology to improve operations and production on a more efficient and effective pace. The best possible work production for the company would only be possible with the approval of this proposal. Call of Action The problems occurring with the current computer systems are causing work production to slow down at a rapid pace. The shortage of memory with the computers along with the lack of storage capacity for data is causing the computers to run very slow and being unproductive. The software is out of date and informal documents can not be opened to do required tasks, as needed. The IT department is suffering from a serious issue and needs new computers with more memory and new software to perform daily tasks at a faster pace. New technology would increase the production of the IT department and allow us to meet company deadlines on time.
