A. Goal: Fulfilled the Role of Administrative Manager I have performed brilliantly as a key member of the administrative hierarchy. My work as an Administrative Manager has been par excellence. This is proven by diligence and persistence with which I have undertaken my work throughout the year and by the total control, I exercised over matters, while discharging my duties. I have handled both long term projects and day to day assignment with meticulous care of an administrator. I have consistently proved my mettle in the office with my persevering attitude and clarity of purpose. B. Goal: Served as liaison to the CEO As a liaison to the CEO, I was the dependable conduit for flow of organizational information and feedback between the CEO, project manager and the board members throughout the year. Despite the fact that I am not listed in the board directory, I was heavily relied upon, by members of the board for valuable inputs on ‘vns’ contacts, inquiries for contributions, and the use of VNS’ facilities for conferences by other organizations. I was crucial in effecting sea-change in functioning of the office and helping the organization to stage a transition from loss to profit in certain sectors. I carefully made follow-up calls, communicating with staff and clients through persuasive discussions, and frequently making use of telephone calls, and emails. In the thick of hectic work schedules, I carried a positive and upbeat attitude and communicated in a manner that was objective and positive in approach. My previous knowledge and experience were used comprehensively by me to effectively act as a proficient liaison to the CEO. C. Goal: Determined Fiscal Requirements for the Executive Office I made a significant contribution to finance and accounting in the Executive office with hands on interface with PeopleSoft budgetary method: Specifically, I did the following to make a difference in financial matters. I showed tremendous ability to make financial forecasts and variance reporting thus determining accurately the budgetary requirements of the Executive office. I worked as an advisor to the administrative assistant for inventory control. In addition to that I proved by skills in regard to application of funds for twenty-six general ledger lines. D. Goal: Supervised administration support staff Long illness of my mother and her death could not shake my resilience and sincerity to office. Despite facing tragic circumstances at home, I not only succeeded but excelled in office administration. I was supported by a regular administrative assistant for five months and was given just a fortnight’s notice by her for quitting office. Once again, like last year, I had to fall back on, and administer a staff of temporary substitute assistants. I immediately placed training manual at their disposal for induction training and familiarization with office requirements and job schedules. (This training manual was assiduously compiled by me). With the training manual aid, the temporary staff satisfactorily responded and adapted to the functioning of the Executive Office and carried out routine activities like handling expenses, and maintenance of files. On the whole, despite exigencies beyond my control and pressing shortage of personnel, I acted as thorough professional, plugging gaps and closing the loops for smooth run of the administrative machinery throughout the year. E. Goal: Managed and planned internal and external appointments for the CEO I had to work in lieu of the CEO, handling her duties and responsibilities due to her election to the governmental committees. This meant an increased workload on me and CEO but, I effectively did not allow this to, in anyway, prove detrimental to the work of the Executive office. In course of my work and on instructions from the CEO and active cooperation of board liaison and project manager, I organized 700 telephonic meetings with staff of the organization and external people. In addition to that: I made and monitored meeting schedules, making changes and adjustments wherever the need arose. By a thorough and proper inquiry, I gathered and created required formats and ensured audience for off-site meetings. I did not allow conflict of interests borne out of different nature of work to hamper the smooth functioning of the Executive office. F. Goal: Documented Patient Complaint Issues I served as a nodal officer for handling feedback from patients that included complaints and other issues. Such complaints were meticulously and independently documented by me and sent to relevant quarters for their resolution. I duly informed about the generation, handling and resolution of such complaints, to the CEO office and rest of the management. I made it a point to inform the management on critical matters that needed immediate attention with highest confidentiality. G. Communication – shares information with agency colleagues throughout organization and other key stakeholders. Communicates in both verbal and written form ideas and viewpoints clearly and cogently. I demonstrated highest level of competence in serving as a key contact in interaction between staff at different facilities. In the course of discharge of my duties: I helped in reconciliation of contractual disputes with different clients arising out of dispensation of services. I worked as a vital link between finance and human resources staff and advised them on data processing, information flow, and general issues of day to day functioning. I worked in close association with other organizations for exchange of information, communication and collected data for the scheduled meetings. I also established liaison with trade organizations of Albany and held meetings with them for furtherance of the interests of organization. My verbal and written communication was succinct, sharp, and focused. H. Initiative and Innovation – demonstrates an ability to think creatively about challenges and to come up with inventive, forward-thinking models and solutions. I am in constant mode of innovating solutions for the organization. As a result of my endeavor to excel through innovation, I have devised new procedures, and manuals that have resulted in increased efficiency and effectiveness. Due to implementation of procedures created by me with creative thinking, the Executive Office has been able to show much better results. As a result of my creative and innovative approach to work, I am able to handle independently, without supervision, the functioning of the office. I. Major accomplishments for the year have included my growth as a team player within the Executive Office. I worked as a motivator and as a key team member in the Executive office. By providing constant motivation and inspiration to the staff by way of personal example, I successfully got them to deliver positive results continuously. I displayed remarkable aptitude for multi-tasking within the Executive Office. I could handle assignments on behalf of my office to work in close association with agencies like AFB, Barrier Therapeutics, CCLC and Pace. This brings to fore my in-built trait of a working as a team man. My dynamic attitude and knack for team work made the assignments to sail ahead smoothly. J. Strategic Management – supports the CEO in setting and achieving organizational strategies by conveying to staff rationale for strategies and their role in achieving them and by implementing realistic project plans within budget and deadlines while addressing impediments promptly I took initiative to put in correct perspective to the staff the company’s goals and strategies thus motivating them to become a part of the greater company initiative. I stated to the staff, exact underlying sense of organization’s objectives emanating from CEO, thus making them to successfully make significant contributions for achievements of targets. The staff members as well as outside agencies relied heavily on my abilities to resolve matters pertaining to the Executive office. I put into effective use the strategic management principles by laying down goals within the budgetary allocation and accomplishing the work in the stipulated time frames. K. Results-Orientation I worked with extreme care, putting in best efforts while focusing on growth oriented targets. I worked to gather and organize such information and data for creation of reports that facilitated the smooth operation of Executive office. Whereas I managed to complete my work within close deadlines, I also organized schedules and minutes for meetings and conferences. L. Organizational Development – develops competencies and skills of staff, and gives them opportunity for career growth. I have always demonstrated and enjoyed excellent rapport with my colleagues, and worked in close association with the staff members. This has further bolstered the working of the organization. As such, I have helped my staff members to inculcate the organization work culture while striving for perfection and assimilation of newer techniques and ideas. My approach is both rigid and flexible, in the sense, that while I motivate my staff members to increase their vista of knowledge and use it for furtherance of career growth, I ask for strict compliance to rules and regulations of the organization. As part of my methodology for providing others with a platform of career growth, I recommended the names of two administrative assistants for placement in the positions in the agency as they could handle diverse responsibilities, although they had come looking for a job in the Executive office. They were sent to a place where job portfolio was more suited to their character and potential. This meant a loss of two assistants for me but a gain of the organization in terms of better human resource apparatus, while providing the right platform of growth to the individuals concerned. I believe in the value that the organization is a living organism and in betterment of the staff stands the good of the organization and vice-versa. M. Interpersonal Skills – demonstrates ability to work effectively with all functional areas and as a member of a team, even when not in a lead position. I have maintained excellent relations with all the vice-presidents and colleagues. I have always acted as an integral member of the team helping the upward, the downward, and lateral flow of instructions and information; thus enabling the organization to function smoothly and effectively. Irrespective of the fact whether I was in the lead position or not, I could demonstrate the same effectiveness in my work style and carry a work ethic that was impeccable. N. Customer Service – Maintains constructive relationships with internal and external customers. Identified and meets the needs of, internal and external customers I am very much alive to the needs and requirements of the internal and external customers. Customer satisfaction is my top priority when I act as an interface between the customer and the agency. I have handled contributions from donors and sent the checks to the appropriate quarters, with utmost urgency and responsibility, thereby ensuring thorough and error free liaison. Wherever need arose to liaison between the CEO and echelons of management, on matters of importance, I could prioritize my work to effect a prompt and a thoroughly professional liaison. Read More
