1. Process of creating a project plan A project plan is one of the most significant factors that facilitate faster growth and development of business enterprise or organization. Nonetheless, having a well-developed project plan is one of the most critical factors for success. Therefore, the following process is followed when creating a project plan: I) Explain the project plan to major stakeholders and discuss its main components The project plan is a set of live documents that are anticipated to change in the course of project development. A project plan offers a direction for the project just like a road map (Krieger & Saunders 19). Thus, the project manager is supposed to set the course for the project. However, the project manager may be required to correct the project course incase of anything. II) Define roles and responsibilities It is essential to determine who on the project is supposed to approve which part of the plan because not all major stakeholders will review all documents. III) Hold a kickoff meeting The most effective means of bringing stakeholders together to discuss the project is holding the kickoff meeting. It is an efficient means of beginning the planning process. It can be used to start creating trust among the team members and make sure that every member’s idea is taken into consideration. IV) Develop a scope statement Krieger & Saunders (24), assert that in the project plan, the scope statement is arguably the most significant document. It is the basis of the rest of the project plan. It describes the project and used to obtain the common agreement among the stakeholders in regard to the scope. V) Develop scope baseline Deliverables are supposed to be developed into a work breakdown structures (WBS), which is breakdown of all of the deliverables in the project, once they are confirmed in the scope statement. The scope baseline, therefore, formed by this deliverable WBS. VI) Develop the schedule and cost baseline When developing the schedule and cost baseline, the following steps are followed: Identify activities and tasks required to produce each of the work packages, developing a WBS of tasks, Identify resources for each task, if known, Approximate how long it will take to complete each task Approximate cost of each task, using an average hourly rate for each resource, among others. VII) Create baseline management plans You can create the steps that will be taken by the team to manage variances to this plane once the scope, schedule, and cost baselines have been developed. All these management plans usually comprise of a review and approval procedure for modifying the baselines. VIII) Develop the staffing plan The staffing plan refers to the chart that illustrates the time periods, normally month, quarter, year, which each resource will come onto and leave the project. IX) Analyze project quality and risks Project quality comprises of making sure that the end product is one that the sponsor and major business experts actually want to use as well as meeting the clients’ specifications. A project risk on the other hand refers to an event that may or may not happen, though could have a significant impact on the results of a project it were to happen (Krieger & Saunders 26). X) Communicate Communications Plan is one of the significant aspects of the project plan. This document highlights things like: Who on the project wants which reports, how often, in which format, and via which media? How and when will issues be escalated Where project information will be kept and who can access it. Developing a scope statement is the most difficult process to perform because it is the foundation for the rest of the project. If you develop a wrong scope statement, then the entire project will not be successful thus, needing more attention and skills when working on this stage. 2. key aspect of post-project evaluation process Post-project evaluation is one of the most significant factors that help to identify whether the project was completed according to the plan or not, and whether capital set aside for that project was adequate or inadequate. Post-project evaluation is also a long process that needs high level of skills and integrity. It is a must that after accomplishment of every project, regardless of whether it private or governmental organization that post-project evaluation is carried out (Krieger & Saunders 36). There are many different procedures that have been set in place and used to carryout post-project evaluation. However, the main aspects of post-project evaluation have remained to be the same regardless of the process used. Evaluation, analysis, and findings are the key aspects of post-project evaluation process. The entire project is usually evaluated with statics and records being taken on whether the project was completed in accordance to the project plan or not. When evaluation is done, regardless of whether everything was used and spent according to the plan or not, analysis is done (Krieger & Saunders 41). It is from here that factors which led to excessive or lower use of funds and capital set aside for the project will be known. All factors that might have contributed to success or failure of the project including, environmental, economic, political, and social are all accounted for. It is from here that full report and finding are presented to the right people, sponsors, shareholders, working team, among others. It is after full report is delivered and everything is proved to be correct when the project will be count as completed. If it is found that there was one kind of error, mistake, or irregularity contractor may be asked to start the project a fresh or rectify mistakes or even offer explanation as to why certain things went wrong (Krieger & Saunders 52). If it was goods, customers will be given some with a sole purpose of collecting feedback which they will use to analyze whether goods or services are of high quality and meet clients’ standards or not. In this process, feedback of customers is of great importance since it helps to determine whether new goods or products are substandard or of high quality. It is also used in coming up with different prices of goods according to the feedback obtain. When putting into consideration that customers are the main target in any project, it is always relevance for clients to be given even free goods that are newly developed or sold in difference locations with different prices and all clients asked to bring feedbacks after using those gifts. Client feedback in this process can also help an organization to be more competitive and improve qualities of good and products produced. Thus, every customer feedback is supposed to be attended to seriously and even ask them to give recommendations on what they thing should be done so as to facilitate production of high quality goods and services. You should never think that customers will adopt with time whenever they raise concerns, instead you should attend to those concerns using any means possible because failure to do this will lead to low profit margins or even decline of a business enterprise or organization.
