Prior to that, we had to do research on the most suitable event to organize. We chose a few sports and had to narrow it down to one sport. We chose a 5 a-side football tournament. There was a contract of behaviour that was put in place and we all agreed to follow. The contract of behaviour can be found below in the document. We then planned where the event would happen, when, and how. This was done through a presentation where we explained everything that was needed; market plan, financial plan, swot analysis and risk assessments to ensure everything was in order. Once that was done we had to pick the day for the event, and we picked Friday 13th March. This is because it was the same day as Comic relief our chosen charity. The allocation reflects the fact that everyone had the same involvement on the event day and everyone contributed equally. This was either getting the teams, prizes, refereeing or filling in scores. Unfortunately, one member did not turn up till near the end and didn’t really contribute to the event of the day. This is why I equally distributed everyone else the same weighting. Although Dan did not get the teams he was supposed to, he was there and still helped on the Event Day. My contribution was to fill in the scores at the end of the games and get two teams to play which was more than anyone else. Brandon was on the laptop taking results and ensuring that everything was in place while Tom and Liam refereed. (date) 4.0 PS1 Assessment Presentation 5.0 Financial Report Ten teams were needed to break even the £150 that would be used to hire the pitches. This was not possible since we had only six teams which would not have catered for the break even costs and it meant making a loss. With the turn of events we were, we had to pay the remaining amount from our pockets to supplement the deficit. Sale of raffles did not take place as we had planned and this meant more reduction of the projected profits. Our initial target of minimum eight teams was not possible since teams were pulling out of the tournament, though this was our fault for not gathering money beforehand to prevent them from withdrawing. Brandon Bryan, Tom Rose, Liam Smith and I agreed that we had to be more proactive in getting more teams so that the tournament would takes place and we had enough teams as planned. Daniel and Robert were mandated to have the teams ready although this was not possible and I had to get more teams to be involved. Due to all this unforeseen circumstances, our income/expenditure budget was to be affected adversely and we could not break even since we could not get as many teams as possible to cover costs. There were six teams to play: two teams were mine while Brandon, Tom Roses, Liam Smiths and Dan had one team each. Robs teams did not turn up complicating the situation even further. Dan was supposed to have had more teams than he did but most pulled out causing a late financial problem. The student union helped us massively by providing prizes at no cost. The Student Union provided fresher’s T-Shirts which the winners were awarded at the end. 6.0 Reflective Report on the Research Process Introduction- 250 words This section presents the findings and the observations of the organized event. It present the development of the questionnaire and the result of the questionnaire, choosing of one sport that would that the participants would take part in and the presentation of the sport. The section also covers event preparation such as poster preparation, development of websites and prizes for the winning team. The section also cover the undertakings that occurred on the event day, the overall situation and the conclusion of the event. Phase one- questionnaires and results Questionnaires were done on the three events we had chosen. These events were chosen out of popularity among the students, something people perceive enjoyable and from group expertise. These events were; a football tournament, a hockey tournament and a fight night which is a boxing night. Since the target market were the students, students around the university were given the questionnaires to fill. Questionnaires were also given to clubs at the University of Northampton such as the football club, hockey club, and cricket club. This was intended to help us as a group understand which sport was most popular and what people would want to do. We all as a group participated in the questionnaire development to ensure it captured all what we were interested in. I was also involved in the distribution of a handful of questionnaires to the target respondents at the university with the aim of getting as much feedback as possible. The findings from the data collected from the questionnaires depicted football was the most popular sport. The event that was to take place therefore was the five a-side football event. Nonetheless, as a group we thought that could be our second choice since everyone loves football and if we fall back onto it, we would still be able to do it. This is because we had links such as having the university football captain in our group which was an added advantage. The group therefore focused more on the fight night because of its uniqueness of having never been done before. There was also lots of interests in it from number of students at the University. Rugby vs football challenges were already being offered at the university for example. Results from the questionnaires also showed that there was interest in boxing which motivated us as a group to hold on. The planning was effective and enabled us in finding out the popular sports. Phase two- choosing one sport The tournament dictated that we had to choose one event to present from the options we had. The event we originally chose was fight night but unfortunately we needed a licence which we did not have. The event also had many health and safety related issues that required compliance. The two concerns made us rethink of our previous plan of a football tournament. All the planning that was done for the preparation of the fight night had gone to waste and we had to start from the beginning. As a group we had failed to research adequately on the fight night event to find out this as soon as possible. The idea viability would be true if we had researched more on it and had adequate time. Our advantage was we knew how to plan a football tournament and knew what exactly was needed. The sole hurdle was locating the venue for the tournament at the best price possible. We surveyed goals which are 5 a-side at Astroturf, the sports hall at university and benham sports arena. Choosing one sport at first proved to be hard since three members of the group insisted on the fight night convincing us all that we should go with it. That was a bad decision as I came to consider at the end. We should have thought about it thoroughly and I believe this could have taken place realistically in the space and time we had. We should have done this in our swot analysis. It is my thought that the idea of fight night had been taken over as a result excitement rather than critically thinking about it as a group. It the group had thought of it properly, then we could have done better. Phase three -presentation on the sport As a group we were requested to do a group presentation of the event that was going to take place. The presentation had to include the operations section, a financial section and a marketing section. We split the group among ourselves so that each group would take its different section of the presentation. The operations section was done by Dan and Rob, the financial section was done by Liam and Tom and the marketing section was done by myself and Brandon. The discussion had issues touching on prices and place for the event. This was necessary to find out the best possible price people would be willing and able to pay and the best location for the event. Benham sports arena was the location chosen. The arena was chosen since we could access two pitches at the same time hence four teams could play concurrently. The arena was also a walking distance and students could comfortably walk from their residential areas or from the university. The decision that we made as a group was good and well thought over. One of my key responsibility assigned was marketing side which a comfortably performed. I was supposed to find out the best target market for the event, the smart targets, the 4p’s pus other 4p’s and also the consumer behaviour, the role I comfortably undertook. Phase four- event preparation e.g. posters, websites, teams, prizes The event preparation could have been better if we started promoting earlier so that we could have more teams interested instead of trying to convince them when days were over. The last minute rush trying to get teams interested would not have worked. A website was not developed in the end nor was the event put in the social media for the purpose of promotion. There was no communication from the person assigned to that duty on the failure so that the duty could have been assigned to someone else. Although we got prizes from the Student Union, which were basically t-shirts for the winners, other prizes were not sorted out in time. I myself managed to get two teams out of the six that participated. Phase five- event day how it went On the tournament day, every member of our group turned up apart from Rob and Dan. Dan did finally turn up with his team towards the end of the event. I did a safety check around the pitches to make sure there was nothing hazardous that could hurt the participants before the commencement of the tournament. The tournament got on the way as planned involving the participating six teams. The six teams were required to play everyone. The four teams that emerge top would play semi-final and the ones that qualify would play in the finals. The day went as it had been planned with teams giving their money. I collected money from my teams and handed it over to the member assigned that duty. The fixtures were sorted out and some quick changes made so that instead of having group games, the matches were reconstructed to take a form of a league. All the games were played as planned and on time. The tournament come to a close on the anticipated time. The climax of the event was to crown our winners with the prizes we had, the Student Union t-shirts which the winner received ceremoniously Overall Overall the football tournament went as organized. We were able to get six teams to participate in the tournament. This helped us to raise £ 90, although this raised amount was a deficit of £ 120 to break even. The commitment of the Student Union to support us with the presents for the winning team was also an additional advantage to us. Some challenges were also experienced. Some challenges would be avoided with proper communication and commitment of the group members. Failure of the member to report on the failure of the development of the website to market the event was a real drawback to our event. If the event was publicised early enough and we collected the cash from the interested group, then it is likely we would have been able to reach our target number of teams to participate. It was observed that equal commitment of each member in a group organized event is vital if the group is to experience success in its undertakings. Conclusion In every project such as the event we were to undertake, it is important to carry out research. The research we did helped us identify the most suitable event to undertake. 5 a – side football tournament was selected out of other two from the findings of the research conducted to find the most popular and enjoyable games. The signed contract of behaviour is also important in regulating the behaviour of the members and help to issue the members are reading from the same script as far as organizing the group functions. Allocation of different duties to different member also facilitated in realisation of the group object though with some challenges. Having the market plan, financial plan, swot analysis and performing a risk assessment was very important in budgeting for day. Exploration of the 5W’s of event concept helped us in establishing why was the event happening, who were to be involved in the event, when the event would take place, the location of the event and the what is the product being developed by the event. The event was organized to raise some cash to assist a charity organization. The target group were the students and the event was scheduled on a Friday, a day that Comic relief was taking place. The event was to take place in a rented sports arena hence the participating teams were required to contribute to offset the budget. The tournament was a success but not without some challenges. The minimum targeted number of teams could not register for the event which made us as a group to financially struggle.
