Implementation of Online Serivce at CatholicCare Report prepared for: CatholicCare Parish Prepared by: Date Executive Summary The use of online methods of management of organizational activities has gained significant contribution in ensuring effectiveness of service delivery in most organizations. It has been identified as a method of reaching clients with little difficulties and reducing costs of operation. Organizations that address the rights of people in the society have been identified to be the most likely beneficiaries of online platforms of performing their services. An example of such an organization is CatholicCare based in Sydney, Australia. In this paper, the focus is illustration of the use of various forms of social media by CatholicCare in providing services to its clients. The focus is to enhance service delivery in the organization through the use of links in its website where information can be downloaded and people with disability can be provided with employment services as well as other services that require the need to address their rights. It explains how a website will be designed and the functions of the web site as well as the strategies that will need to be followed so that customers are reached through social networking sites such as Facebook and twitter. The organization was officially founded in 1941 with an aim of helping the disadvantaged in the Sydney society for sustainable social and economic outcomes. The organization's mission is to act as the instrument of liberating presence of the Christ all the world, to enable the social as well as emotional wellbeing of families, communities and individuals. The organizations vision is to ensure establishment of a society that recognizes the individual’s responsibilities and rights, and that enables the equality, dignity in addition to all person's participation. The organizations values include commitment to justice, human worth and dignity, accountability, accessibility, integrity and innovation. The Organization aims to fulfill its mission via various professional programs. The CatholicCare has put in place a comprehensive body of knowledge by working with professionals. The organization also have great experience is helping the disadvantaged by delivering more than 120 programs and services using over 900 volunteers and staff who are dedicated. It has about 25 sites. More than 100, 000 members of the Sydney community received direct support from the organization. The organization’s range of services makes it to provide coordinated specialists and service assistance to uses with complex/multiple disadvantage. Consequently, both at the practical and the agency level, the organization supports an individual centered approach that recognizes efforts in increasing individuals At an agency and a practical level CatholicCare supports a person centered approach which recognizes the incredible capacity of those with whom we work. CatholicCare strongly works towards increasing the capacity of individuals to participate fully and as independently as possible within society. Discussion Online presence Twitter The organization has an active twitter account that it uses to interact with all the interested parties. For example, the organization made a tweet post pertaining to actions that people should take in case of family violence (Gagliano 2014, p.84). The aim of the post was further to inform the juvenile on the venues that they should follow to obtain help. Website The organizations website is well designed with an aim of making it easier for individuals to access wide range of services and programs for CatholicCare. The website features improved accessibility not only dynamic content and media section but also dedicated section, downloadable resources and improved accessibility particularly for the visually impaired individuals. Information pertaining on the over 120 programs of the organization is included in the website along with downloads, related links and multimedia. Therefore, through the organization's website, it is possible for people to access specific support services from disability employment services and relationship counseling to support individuals struggling with alcohol and drug addictions. Goal The goal and objective of creating a new website is to redesign and re-implement the organizations for attractiveness, ease of maintenance and greater functionality. Project scope General scope To prepare 2 variants of the organizations home-page design To prepare comps meant for design of the full design from the selected home page design, through tertiary, specialty, and secondary pages. For example, users will be in a position to not only determine but also document on all the changes they will make on the processes (Johnstone 2000, p. 79). Some of the processes that will be put into consideration will include Processing of requests for updates and information Reviewing update of images and content Production, entry, identification and management of all the managed data items- news, people, seminars, research fields and features. Site specification The website project will be specified with four documents; i.e. content tracker, site map, redirect list, functional specification and design comps. Content tracker- this will be a well developed spreadsheet listing every content, images, words, programmed elements, PDF and all other elements that need to be included in the website. The column will also indicate the person responsible for processing of every content as well as for not processing the tasks. Redirect list- this will be developed during the project. It will be in a form of a spreadsheet that will list all the pages. The utility will maintain all the bookmarks from the existing website. Design comps: These are a set of graphics files that will not only specify but also display all the visual features of the website including fonts, colors, and page layouts thematic images, banner and identify elements. Functional specification- This will include the operation of all the programmed elements of the proposed site such as secure areas, featured elements and navigation. It will be originally developed as a separate word document. Navigation The navigation will include a site map as well as on-page links that will be dynamically generated. The on-page links As proposed on the design comps, the site’s navigation pages will be based on the page's level. The Site's pages will also have various secondary pages and this will include home, programs, user’s pages, additional information, news and features, upcoming events, people, help, contact us and research. Additionally, all the site's pages will have a standard breadcrumb trail except its homepage. The lower and secondary pages will feature automatically generated navigation that will exhibit, at any time not only the pages directly above the current one but also child and sibling pages. The mentioned will be included as expanding lists, as dropdowns or through the use of equivalent UI mechanism. The site map The site map will have its own unique page that will be easily accessible through the footer. Moreover, the site map should be dynamically generated in order to allow collapse/expansion of various sections. Security Kerberos authentication for the staff section All the pages in the staff section will be accessible to organization's staff with active and current Kerberos authentication, which verifies that they are staff members. If the user attempts to open any page on the staff section, either through bookmark, direct url or site navigation, and there is no authentication, the web will automatically invoke the CU-WebAuth to immediately prompt the uses for Kerberos password and netID. If access is denied continuously, there will be display of explanation pop on the page. Additionally, through its Facebook page, the organization will communicate to its core competencies, and this will assist in engaging the members in a new and unique way to advance the organization's mission in fostering democracy. It is a low time/cost investment opportunity that will enable CatholicCare to communicate with its members effectively as well as share information and cultivate relationship. Furthermore, the company will increase its presence in Facebook with an aim of being part of the various philanthropic programs that take place via Facebook as well as other social media such as twitter. It is evident that high percentage of non-profit organizations are using Facebook as external and internal communication tool, to promote events and conferences, resources and publications, philanthropic stories and good work of their members in addition to sharing organizational news. for example, The organization's Facebook core constituents will be similar to that of its newly created website: Catholiccare members, partners, prospect , policymakers, the media and the whole community interested in philanthropy work. Hence, just like its website, the company's Facebook page will: Enable the members not only to interact with other in a new way but also collaborate in a new venue. Provide a new and established venue for the Catholicare members with other people and organizations interested in philanthropic work to bigger audience that forms part of the philanthropic work. Assist Catholicare to promote their good work Enable the process of information gathering about philanthropy to individuals who need their assistance both locally and internationally Enable ABAG stakeholders become more friendly and beneficial to individuals and the society in the manner in which they use social media such as Facebook and Twitter. Rationale for the Selected Media The forms of media to be used by the organization are relevant in achieving its goals such as reaching out to the community members who use various forms of social media such as Facebook, Twitter and other social networking sites. This is because; it will facilitate engaging with the community in terms of understanding their needs and also provide their services to them. Clients of the organization will be able to make requests for services provided by the organization by accessing the site of linking to the site through social networking sites. Conclusion This paper presents the strategies that can be used by CatholicCare in accessing its clients through the use of online media. It focuses on the use of various forms of online media such as Facebook and Twitter. In addition, it illustrates the use of a website and explains how the design process will be performed as well as the contents of the website. Furthermore, the paper presents the strategies that need to be followed during the use of the website as well as how other forms of social media should be used to access clients. Recommendations An example of a recommendation for the implementation of the proposal is that the website should incorporate a number of services provided by the organization. This includes, enabling clients get services for all the 120 services and also ensuring clients are informed about the existence of online services. In addition, the website should include a support link where clients can seek assistance whenever they experience any form of difficulty while seeking services from its online services. Another recommendation is that the use of social networking sites such as Facebook and Twitter should be enhanced because they are highly used by most people and more clients who need the services of the company can be accessed. When these recommendations are implemented, it is expected that CatholicCare will achieve effectiveness in the manner in which it provides its services to clients.
