This is a single shop stall in London that deals with men and women foot ware. The shop employs five employees but has the capacity for ten in order to increase efficiency and serve the increasing number of consumers especially in the coming Christmas season. Since the foundation of the company, there have been many dead weights, time loss and high expenditures associated with the inefficiency that are in the company’s recruitment process. The paper is requesting a forensic audit of the current employees in order to determine the capability, duties and loop holes that have increased the expenditure so that it can help in improving the company through management of the human resource. The request to the manager is so that we can also examine whether there is a need to hire more, loose some employees or train them in the field of sales and marketing. Request The task of the assignment is to look at human resource as the fundamental input of any business; your business lacks precision, rules and guidelines associated with the work. To improve it, there is a need to assess operations, the skill set that are available and find means to work with them. So as to ease the burden on management, we request to use the shop as the study ground to help complete the course requirement while at the same time offer suggestions that can increase efficiency in the shop. The study will be brief taking between three to four days without major interruptions in the shop. It will look at all the departments, supply, accounting product branding and sales. It will also look at convenience, coordination and incorporation of all the departments. Survey Report There are five main departments in the shop specifically management, accounting product and supply, sales and marketing and customer care. The accounting department is a single employee docket where the accountant receipts the products after negotiations between the clients and the sales personnel. Record keeping of the sales as well as expenditures are kept in accounting books on computers. It lacks hard copies of accounts. Given the busy schedules during working hours, the shop does not go through the records in time to account for the increase in expenditure or any abnormalities. Transport costs, for instance, are sometimes higher than the cost of products that reduce the profits that are realized after accounting for initial capital. The accountant has basic information of accounting and the system used in record keeping does not follow any of the accounting rules. The accountant in some instances plays other roles, for instance, selling the products where a large crowd of clients walks in forcing her to work in two different fields that she had no familiarity with. The manager, on the other hand, is forced to take up accounting and due to this mixture; a lot of data is lost hence making it hard to account for every event and transaction at the shop. Having a group of sales persons that do not understand the laws f demand and supply is limiting to the shop. Most of them have lower education backgrounds, were hired on the impulse of increase in consumers and no training was done in advance. The manager, who is also the owner makes the responsibilities and duties as he goes meaning that the employees can no fully specialize in their work. They have to depend on directions from the manager on a daily basis. From observation, this mode of operation wastes a lot of time which makes the clients impatient and could be the reason they change their taste and preference of the shop. The crowded working place were employees have less information about the products they are selling make it hard for them to have an advantage in bargaining losing more on the price. Management, on the other hand, runs all the activities without consultation of professionals. This approach leaves a lot of space in the way the company works. In the absence of the manager, the employees lack the motivation to work and thus a loss in business. The paper will later on suggest ways in which employees can be motivated to improve their productivity. Human Resource Plan 1. Current status of human resource The level of professionalism in the shop leaves a lot of gaps to be filled. However, the existing employees have the capability to fill the gaps without the involvement of employing others. The management lacks follow-up, and concentration in the business since employees are left to manage themselves and devolution of power without the use of ranks brings in confusion on who can make certain decisions when the manager is absent. Accounting lack equipment and tools required. Market study to determine new and modern accounting systems and methods are absent hence imbalances in the books of accounting. The sales persons are unmotivated, disorganized and on the constant change that does not offer they time to learn the business before they move on to seek better employment. The human resource department, which is run by the management as part of its duty to hire does not have a specialist which means that when hiring, the manager does not understand all the qualities that he should look for and how this can affect performance 2. Key stakeholders and specialists The manager should be a professional with basic management skills tat help him in the organization, coordination, and communication. The duties of the manager are not just to find supply and look at the books of accounting on behave of the stakeholders but instead he must understand how to motivate the employees, supervise, offer guidelines on new developments as well as come up with working procedures that increase efficiency, for instance, office design that ease mobility. The accounting department too must have a trained profession who understand ways f cutting down cost through finding discounts and offering discounts petty cash at the shop. All record must reflect the actives accounting foe all units bought and sold so that there is a balance in the books. While sales person requires communication skills, they can be trained during recruitment to sample out those that have people skills. 3. Recommendations Due to a large number of issues in the shop. There is a need for a full make over. The accountant process is computing skills that can be used in recording keeping. Using accounting software, she can input data as it comes to ease help her in later accounting without loosing data. Though the lack of skill is a problem, the accountant can use her own methods to keep clean records. Other employees should not have access to the books without authorization to avoid changes that may compromise the records. There should be individual records of sales that are given to the accountant at the end of business on daily basis. Stock taking too must be done on a monthly basis so that they can know what is missing, what need to be added and which products are best to have around. Management must ably all the rules of accounting most importantly come up with ways to motivate their employees, for instance, offering commissions on some sales, promotions, bonuses and any other nonmonetary systems are available. Communication should be made both vertical and horizontal where the manager asserts authority in his position but still can communicate in the same level with the employees so that he can increase his relationship with the employees hence enable them to come to him with issues that may affect the future operations. This will also make the employees feel like part of the work family and hence increase their productivity. Job description Title: store manager Reports to shareholders Qualifications: must hold a diploma or degree in business management, have experience in sales and marketing for a specific period of years. Has to have understanding in store management, good communication skills and efficiency. Key objectives; to act as oversight of the shop, running the day to day activities, coordinating other junior employees, dealing with procurement of stocks as well as finding the best possible deals for the company. To work in hand with outsourced contractors in IT, advertisement as the promotion of the shop and coming up with approaches on how to motivate employees. Hire and fire employees when necessary either in short tern or in the long term as he many see fit for the business. The combination of skills and elements of change will help him to reorganize the business to fit in and offer changes that are required. Advertising Policy The list of employees required for the position of manager must have all the described characteristics above, on top of that there must be a letter of recommendation from previous relevant employments. The terms of employment are such that based on business laws and Act of British Parliament the manager will receive quartering acts, receive benefits depending on time spend in the employment, have annual increments on basic salary and allowance consequent to the improvements of the business. He will be required to offer the same benefits to subordinates using merit order. Commissions to be offered must be approved by the shareholders. All the activities must be by the organizational mandates given to him and any deviations tat may lead to company failure and in worse cases bankruptcy will be associated directly to the manager similarly increase in profits. The manager will have the opportunity to become a shareholder with an increase in business and diversification in order to become part of the company in the future. All terms and conditions hold throughout the employment. The salary can be negotiated on basis of the level of experience and skill at the time of employment. Training The procedures of hiring and recruitment are such that all new and old employees must have regular training and workshops to offer them insight on the happenings in the business world. To make this possible a set of rules and procedures will be put in place to determine what kind of training fits which department as well as who will qualify for the training. Certification will come with training and possible promotion or increase in monetary earnings. For the purpose of diversity regarding commodities to be sold, reconnaissance and surveys of the market will be done on monthly basis to deter me how the prices are set, and thus the sale department will have to receive skills in the survey methodologies. The task of the paper is to fid out problems at the John’s collection and offer recommendations. What has been offered is a list of problems that were identified in the course of the three days. There are still many other issues that could not be identified in this time, and thus the manager is recommended for to hire external auditors on regular basis during the financial years that can asses the improvements that have come from the application of the recommendations. Similarly there will be parts that did not work efficiently as hoped due to human error or poor calculation by this paper. Further recommendation is that there should be further recommendations to enable the shop to increase efficiency. Terms of work are vital. They must be communicated to all the employees so as to expect changes and better results. A method of insurance must be offered to employees. This means that all employees must be vetted, and their skills used to the advantage of the shop. It would be useless to vet them, find out that their skills are best applied in different departments and still keep them in the old ones. The employee must have an opinion on where they fit best in order to incorporate the changes. There s further training required especially in econometrics so that the paper can be in a position to qualitatively and quantitatively assess the issues and find better solutions with lower standard deviation from the best for any other organization that may require the services offered to the shop. In conclusion, this shop is one among the many shops that have more to offer, more to earn and a better chance of survival. The challenge is that it fails to optimize their opportunities because of use of the wrong methods of recruitment; the procedure described above should thus be taken into account and used in different companies as seen fit.
