Ticket Sale: International Artistes Concert. Introduction A concert in Singapore on December 15 is to takeplace in Zouk as the chosen venue. In the concert, the club will be hosting Mr. Justin Timberlake and Mrs. Katy Perry who are American based artists. The Event is to kick start at 4.00pm and is definitely an anticipated event by the fans of the artists expected. The date of the event was chosen by the club after informing them since it is the start of the long awaited festive season. The artists are expected to be flying in the country on the 13th of December to allow preparations of the performing day. Our company being one of the registered company: Bestale, has been awarded the tender of ticket sale, we target the sale of 800 or more tickets, which is to be undertaken before the due date which is the 12th. Scope The company following award of tender by Zouk club management, will affect the ticket sale of 800 tickets where each is to be sold for $500. In this undertaking, Zouk will provide the resources in terms of transport and finances as agreed. The commencement of the sale date has been issued and the target markets have been noted. Objectives The overall scope is to reach the target ticket sale; Bestale is to ensure that all the company’s outlets within the city are engaged in order to get to the required target. The reopening of the stores, which are part of the company due to electric wiring complications, will ensure that more outlets are engaged, and these outlets will facilitate faster ticket sale. The employment of a given number of staff due to the reopening of the initially closed joints will come under close scrutiny of the Finance department independent of the current company’s financial situation. The formation of the team that is to undertake the task of the incorporation of new staff members in the company is underway and the results still being waited. The company is to ensure that the supply focus will mostly be in the streets, and areas that youths and young adults avails themselves mostly. This will be undertaken as part of the performance posters which circulation is to commence on November 1st. Poster prints have been issued to the suppliers and the task is to commence soon. The issue of advertisement of the concert through broadcasting networks is one of the focus our company targets as to the location area the tickets will be bought from. As it has been noticed that our company location is not so accessible to many, this will also help in the advertisement of the other products we deal in. Deliverables Bestale dealings with the ticket sale has the expectation of selling all the tickets and possibly more if issued to our company, the tickets which are to be sold at $500 each is expected to generate a good number of financial interest and also other interest. The project will aid in selling our company at the national and international platform. After delivery of this service, successfully profits generated from the ticket sale which is $230 per ticket to the company will be reinvested in the company’s activities for further advancements. The company will be able to achieve success in terms of the yearly profits: by delivery of service that is the ticket sale the profit margin of Zouk is set to be higher than the previous three years. The yearly profit margin of our company will also share the interest generated out of the ticket sale. The service delivery to Zouk which is a big club in the city will boost our company in the term of selling our name to other companies that may in future need similar services. The company looks to fetch great outcomes to Zouk as to be able to get further tenders from other companies. Technical requirements The advertising means will include sticking posters on various parts of the streets as a way of passing the information to all people (Burton, 423). This will require permits from the government offices to give the permission for the task to be carried. The administration has carried the task of filing for a 2 months permit within which the posters are expected to be on the streets. The company has undertaken a task of hiring vehicles that will be involved in transport of the members who will be posting the advertisement posters on the streets. The car hire company has awarded a contract to hand 20 vans which will transport these members to various parts of the country. A contract was reached whereby it was agreed that incase any vehicle is damaged; Bestale is to face all the liabilities towards the compensation. The record company that is universal company produces music for the artistes that are long awaited, a contract should be drawn that outlines proper provisions in terms of what percentage universal records is to be awarded being they are the managers of the artistes expected on December 15th . In the case of one of the parties going against the terms of the contract a legal action can be commenced by the party that faces the injury. The resolution of any disagreements of the contracting companies will be involved on one talks each party having its representative present. The company: Bestale has undertaken security of the members into consideration, the company has an order that awards it permission under the constitution to be able to conduct business in other parts of the country, and the police are to offer immediate security if problems accrue in the process of posters being delivered and ticket sold to parts of the country. Limits and Exclusions The process of ticket sale is to be conducted in a fashionable manner under the terms agreed on the contract between Zouk and Bestale; this is relation to the ticket sale (Lando & Beale, 253). The ticket sale is to be conducted within the country only and any attempts to sell the tickets outside the country will be subject to infringements of the terms established in the contract. Citizens of other countries interested in getting inside the concert should avail themselves within the country to get inside the concert. The posters of advertisements are to be pinned on walls along the specified parts of the cities, it is illegal to pin the advertisement posters in any government institution wall unless permission is granted to the members. The posters can be handed out at specific places within the city; this is to avoid interference with various activities within the city that may suffer as a result of the conduct. Ticket sale shall be on course only on work days of the, any sale that is undertaken on the weekends is not payable and will be regarded as extra work. Bestale will be outside the jurisdictions of vicarious liability charges in case a member gets injured while selling the posters on a non-work day. The vehicles from the car hire company are to be released only on work days and cannot be issued back to the car hire company until the contract on course comes to a halt. Any member that pursues the ticket sale should ensure that he records whatever sales he makes and failure to do pay claim will not be viable to the company. Project priorities The project has many matters at hand that need to be addressed; some of the matters are vital and are to be addressed on serious notes to ensure they are brought under control and stays within the time remaining for the ticket sale and the quality of service offered by the company. The company also has priorities that will enable it stay within its scope. Time In relation to the time the tickets are to be sold out the company has sent messages assuring the car hire company the eligibility our company has as per taking the task of ensuring proper maintenance of their vans. This initiative has been given much needed attention as the sale of the tickets need to kick start as soon as possible to ensure the sale is done in an organized manner and time. The company has also undertaken the task of employing more members within the company; this is in relation to the reopening of the branches which had been initially closed down. This has been viewed as a priority by the company in terms of being able to sell more tickets and also the betterment of the organizations within the company (Smallwood, et al, 19). Quality For any company to stay within the means requires in terms of service, a company should ensure that the priorities of the company is made in the favor of offering quality service to the customers. There have been committee scrutinies of the members who are to be sent to various places, this is in terms of their performance record to the various tasks that the company has engaged in previously. This will ensure that the team sent to engage in the ticket sale, are people capable of giving quality service in the places they are sent. The scrutiny team also is to make their selection in accordance to those members who have information about the awaited artists. The car hire company that was selected is known for the good maintenance that their vans are subjected to; in terms of quality, the service that they give to our company is commendable. The car hire company chosen was given priority as it should be able to offer vehicle that can sustain bad conditions without major breakdowns, they have branches in nearly all the places that Bestale is eyeing for the ticket sale. This will be useful in case there is a problem and they could just be called and deal with the situation. Work break down structure Evident in the break down structure, the prime goal of achieving required sale of 800 tickets will be achieved through involving various advertisement strategy, this strategies have been devised in order to minimize the cost that the company can undergo. In the places that are within the city tickets can be bought directly from the store so advertisement costs will be undergone. In places outside the city advertisements and television adverts will be the means through which information transfer is done. Estimation of project costs The project value that the company will undergo is undertaken by the financial department. Through their analysis of the various activities, the company is to undertake into success of the goals outline. The estimation of project costs was derived at after listing all the direct and indirect costs (Sweeting, 56). Direct costs These are the costs that will be incurred from payments of the team involved in the ticket sale, by the company records, each of the team members who will be selling will be given an additional $70 in his paycheck, and this will be affected at the end of the project. The advertisement posters are manufactured by the companies that undertake the ticket sale task, and these are estimated to be about $500. These costs were reduced from the initial $ 750 by expansion of advertisement by broadcast channels. The sub contract costs that will be awarded to the new employees to be employed in the branches which are to be reopened in various places, run by the financial department, will determine how much costs the company will incur in relation to the input target in terms of ticket sale. Indirect costs These will entail the overhead and the general administrative costs; if anything is to develop financially anywhere the posters are being transported to this has to be added within the existing budget, which will be allocated roughly $1500. The overall expenditure of the project is estimated to be about $ 6000; the company expects to recover this amount after the project is finished. Project risk management Various challenges can befall the course of the project, which may hinder the achievement of the prime goal to achieve a sale of 800 tickets; a team was selected within the company and is responsible for the risk assessment and management. This team will undertake the risk management strategies of the project since it is the task at hand. Risk assessment of the project shows that such risks as running out of financial resources can be experienced especially by the team responsible for the poster distribution. Resources in terms of money has been allocated and the team can access the cash if need be. There is a risk of members getting in trouble with the law since the certificate issued remains at the head quarters, and this will be curbed by allocating one person of the administration who will be answerable to anybody who may question the credibility of the posters being allowed in the streets. Project performance, measurement and evaluation The methods by which the project performance measurement and evaluation are to be kept in check are by using the company’s outlets. The number of tickets sold from different places will show in which points more tickets are to be availed. The company can then supply more tickets to these places that show better outcome in results as opposed to the other areas that the ticket sale don’t do so well (Perez, et al, 19).
