Role of information management in Adobe Systems By Introduction Adobe System is a software company that provides its users with digital marketing solution and media solution. The tools and services that it provides allows customers to make ground-breaking digital contents, measure and optimize it over time, attain greater business success and deploy it across devises and media. Information management in the organization has involved collection of information from different activities that the company is engorged and distribution the information obtained to the relevant departments and managers so that the right actions on the occurrence are dealt (Gaither & Frazier, 2002). Management of information in the organization has involved both electronic and physical information. The management has also been able to manage the information throughout the cycle of the organization regardless of source or format of the information (Chaffey and White, 2011). Theoretical perspective Role of information management in organizations Information management is a managerial decision tool used in the processes and decisions that are made by companies. Information management in organizations is done through recording and documenting all the facts that involve the methods and procedures that it uses. The main function of this is to enable controlling employees and materials of the company. Using information management in an organization is able to establish the hierarchical structure and work-flow of a company. Every employee in the organization through the information has the authority to who is responsible for work. The work then is able to continue without disturbance. The operation and procedures of the company are listed through information management making preparation of audits in a company easy. Information management has the role of satisfying variety of system that the management is exposed. Information management aids clerical personnel in a company to process transactions and answer questions that occur on the data of the organization regarding transactions, the status of particular records, and with reference on a variety of documents. Information management in organizations has the role of controlling the creation and growth of records. The information system is that that ensures there is addressing the limits of generation of records or copies that are not required to operate the business and retention of records. Role of information management in Adobe Systems Information management in all organizations is responsible for generation of information, communication problems and helps in the process of decision making. Information management is important in all organization in implementing the goals and formulating the goals (Chaffey and White, 2011). Information management in organization ensure there is collection of appropriate information on Adobe System from the various sources, process the information and send the information to the destinations that are needed for required actions (Gaither & Frazier, 2002). Adobe System has made its information management with the expected role of fulfilling information needs of an individual, groups of people and the management functionaries with managers at the top of management (Jessup & Valacich, 2003). Information management in Adobe System has the role of satisfying variety of system that the management is exposed. Information management aids clerical personnel in Adobe System to process transactions and answer questions that occur on the data of the organization regarding transactions, the status of particular records, and with reference on a variety of documents (Jessup & Valacich, 2003). Information management in the system has also the important role of helping the junior management personnel through provision of operational data that is needed for planning, scheduling and controlling an organization. The information is also important in helping in decision making at the operational level to correct problems that occur in management of the organization (Chaffey and White, 2011). The middle management is helped through information management in short term planning of the business. The information is also useful in controlling the business functions and target setting. The activities are achieved when it is supported by the use of the management tools of planning and control (Laudon & Laudon, 2000). Information management is used by top managers in Adobe System in strategic planning, setting of goals and evolving business plans and their implementations. Information management in Adobe System has the role of controlling the creation and growth of records. The information system is that that ensures there is addressing the limits of generation of records or copies that are not required to operate the business and retention of records. This is important as it stabilizes the growth of records in all the formats (Laudon & Laudon, 2001). Information management in Adobe System has involved the adoption of several guiding principles that have made the information to be accurate. The principles on information assets as corporate assets have made the company be able to determine the assets that it has and determine the areas that there is need for addition of assets for effective operation. The organization also operate on the principle of the information obtained being available and shared (Cox, 2014). This has made information management achieve its role of use and exploitation of corporate knowledge (Lucey, 2005). Corporate knowledge leads the organization to making the right decision in forward planning and solving problems in the organization. The other principle of information management in the organization is the need to keep and manage information corporately. This has made the organization achieve the role of securing the documents and making them available only in times when the information is in need (OBrien & Marakas, 2006). This also prevents the losses that can occur in information. Information management in Adobe System is that designed to reduce the operating cost of the organization. Keeping of records in the organization has utilized maintenance of an organized filling system. The system has also been made with the aim of performing the role of improving efficiency and productivity. This is through reduction of time that is used in searching for information that is missing or records that are misfiled (OBrien & Marakas, 2006). The information system used in the company is that helps the organization upgrade the recordkeeping systems so that information can be retrieval is improved with consistent improvements in office competence and output. Adobe System has a filling and information system that facilitates retrieval of and delivers information to users as fast as possible. Information management in Adobe System has the role of assimilating new record management technologies. This ensures the system has a good record management program that provides the organization with the capability of assimilating new technologies and takes advantage of the many benefits. Information management in Adobe System has the role of ensuring that there is regulatory compliance. The information and records that the company obtain have the role of ensuring that there are compliance with the laws of the country that the business operates (Raghavan, Prasad & Neelameghan, 2006). The laws are able to create major compliance problems for businesses and government agencies since they can be difficult to locate, interpret the information and apply them where necessary. Information management in Adobe System plays the role of minimizing litigation risk in the organization. The system implements information management and programs so that it is able to reduce the risk that are associated to litigation and potential penalties (Cox, 2014). The information management has the role of safeguarding vital information of Adobe System. The information system has been made comprehensive to be able to protect the vital records and information from every disaster or falling in the hands of those that is not allowed to have view on the information. This is due to the value that Adobe System has on its information. Information management in Adobe System has the role of preserving the corporate memory of the organization. Records, files and financial data of Adobe System contain the institutional memory. This is an asset of the company that is not overlooked. Records are created in each day which becomes background of the business in the future for future management and planning. Information management at Adobe System has the role to foster professionalism in running the operation of the organization (Tanaka, Ghandeharizadeh & Kambayashi, 2000). The perceptions of customers and the public, and image and confidence of the staff, however hard to measure in cost-benefit relations, may be amongst the best explanations to create a good management information system. Communication is a role that is played by information management in Adobe Systems. Part of management is obtaining and distribution of information and information systems that can make the process more efficient through allowing the managers in different departments and branches to communicate effectively. Information management has also the role of allowing the managers communicate systematically and organize the activities of the organization (Ward & Peppard, 2002). In the management, employees are able to communicate additional information that they have through making changes that the system has. Information management in Adobe System has the role of controlling the operations of the organization. The information allows for management of the operation of the organization depending on the information at hand. Information management in the organization offer complete and more recent information allowing the operation of the business (Ward & Peppard, 2002). Sales data that Adobe System obtains from the management of the information gives the company the insight on what the customers are consuming more and also on what is much needed by the consumers. This has made it possible for Adobe Systems to streamline the operation that it has. Adobe Systems organization needs records of activities for the purpose of financial and regulatory purposes and also for finding the places for problems in the organization and taking corrective measures on the activities that brings about the problems. This is provided through information that the organization has (Cox, 2014). Information management stores documents, communication records, operation data and history of the company that can be accessed when there is need. This is achieved through exploiting the record capabilities. Information management hence has the role of processing the data and presenting useful information where required (Wigand, Picot & Reichwald, 1997). The information is useful in the organization as it allows preparation of cost estimates and forecasts to analyze how the actions of the organization affects the key indicators of the company. Conclusion Information management has played an important role in Adobe System organization. The roles has enabled the organization achieve the goals it has in satisfaction of consumer demands and also has enabled innovation. The roles that have been discussed in the essay; generation of information, communication problems and helps in the process of decision making, satisfying variety of system that the management is exposed, controlling the creation and growth of records, planning of the activities of the organization, of assimilating new record management technologies and reduction of operational costs has enabled effective running of the organization.
