The role of a company secretary is keeping all leader board members and shareholders up to date with company policies and decisions is another crucial role in my opinion as in any lack of communications the workflow can be interrupted and precious time can be wasted. On the other hand, keeping records and communicating with suppliers should be a separate role under a purchases department, that department should analyze marketing information and sales reports to anticipate the future supply needs and compare market prices with offers and freight. Finally, maintaining records of business meetings is an important part of the roles assigned to the secretary. In that regard a continuous follow-up can boost all other functions and remind them of their own deadlines mentioned and approved in the regular meetings, this can make the company leader work in following up with the progress of each department a much easier task, as well as the other roles in an organization.
Analysis of efficiency in role (Own strengths and weaknesses)
Personally, I think my long experience in administrative roles had helped me significantly to cope with the presented tasks. I’ve had a real-life experience as a committee secretary for two years in my 15 years of work experience. In addition to having a recent experience in business setup and managing a new business that helped me anticipate some of the similar progress timeframes I also had a pre-assumption on some facts and regulations that might be of assistance in some cases but an obstacle in others. For example, I knew the time frame it takes for products to be purchased and the difficulty of sales. I also knew the profit percentage of the returns and the running expenses, but in return, I had pre-assumptions that held me from anticipating the free facilities offered by the University
Explanation of personal attempts to overcome problems
Personally, I’ve been faced with some challenges within the specific tasks of my role, and one could be my problem with time management issues. For the past 15 years, I have attended a few seminars and courses related to time management but unfortunately, I keep misjudging my capacity for work volume and information processing. At the same time, I’m not only studying and handling the assignments in my other modules but I also run my own business remotely, as it's only a small business I place my orders and communicate with my workers and their supervisor daily to instruct them and handle the problems that arise. Having to import all my products is another issue that consumes most of my time in communications with suppliers and import regulators in my country. This course not only helped to have a better understanding of the workflow in organizations but also to compare the similarities of business structures and the problems entrepreneurs may face.
Suggestions for improvement
Students, in general, could be lacking in experience and this project is a great start for their pathway, I would suggest separating the roles such as administration from purchases or at least allowing the project group to assign their tasks and duties. As much as the secretary position can be very inspiring, it could be restricted as well. Adding the legal advisory and supply chain management to it is in my own opinion very rewarding in terms of experience but it can also be very restricting to their creativity, I would suggest keeping the tasks susceptible to movement between the company leads to an agreement as well as the rest of the titles and responsibilities.
Appraisal of other group members in their roles
When thinking of other members' roles I can say that our group has cooperated in a great rhythm in my opinion, everyone had a stronghold on their tasks and kept the group running as best they could. Jack as the company leader had insight into the business needs from his personal experience with his project; he even took the communications with the suppliers of my hands since he was more familiar with them and they mainly communicated in his language as well as the booking communications. Annie operation leader assisted me with the selection of available sales dates for our equipment booking on the Roland Levinsky building, at the same time she presented skills in products selecting and organizing the actual sales. We had many issues since we had a late start, even when trying to book equipment and dates for our sales it wasn't a straightforward procedure as we hoped it to be. Eventually, we managed to pull it together with the cooperation of the entire group, we even had a small profit on our project. Steven marketing leader and I cooperated to create the Facebook page since I also took part in IT in our project. Arthur's finance leader was very helpful, and I benefited from his knowledge of the sales we did on the Roland Levinsky Building. Without the cooperation and contribution of the entire team, skills completing my task would've proven a much harder challenge.
