Development team focus group General communication requirements for a project At the start of the project At the start of a project, the involved parties should prepare a communication plan. This plan should have in mind the type of audience and what kind of information they should use.
The organisation should also look for the most effective way or channel that will be used to get the information to the people. The messages should be delivered on time. This is because the organisation should expect the maximum impact of the message. For the information to have maximum impact, it should be delivered on time. The sources of the information or messages may be the administrator, sponsors of the project, and detailed process and procedure design work among others. At the start of each phase At each phase, the communication plan should be reviewed.
This is because the actions, plans and responsibilities of each stakeholder should be agreed on. This is because at each phase every stakeholder has different duties and responsibilities. Some of the factors one should consider are most of the messages and information would be clearer as the project is in progress, to get more information, one should discuss the needs of the team leaders. Communication during the project During the project, the organisation should constantly refer to the communication plan.
This is very important so that they do not go against the plan and know what method to use at what stage. Some of the major deliverables should be communicated through; 1. Word of mouth- weekly reports could be transmitted informally through word of mouth. This helps the interested parties to know what to expect in the weekly report. This could be done at midweek. 2. Meetings- Meetings are very important because they address these factors in full. During the meeting, the organisation’s leader could make a presentation on the progress of the project.
This could be through pictorial evidence of just a PowerPoint. The meeting should be time conscious. This is because they need to use the time effectively to make the presentation, ask question, and make recommendations where necessary. 3. Round trip to project- The information on the projects progress may be communicated through site seeing. This helps the stakeholders to have first hand information on what is happening. They can also see the progress of the project. 4. The use of electronic mail (e-mail) - This method is cheaper and faster.
It may be used to communicate not very serious messages to the stakeholder. This could be maybe a change in the time of the meeting. It may also be used to get views of stakeholders on the previous meetings and their suggestions on the next meeting or what should be changed in the project. This method may be a bit of a problem to use because not many people may read their mail often. 5. Web site- The organisation should have an internal web site. This would be easier to reach the members who could not come for the meeting.
