Introduction In any business or organization, the basic intent or desire of the management officials is to achieve desired goals and objectives. These goals and objectives can only be achieved when a company is able to take appropriate decisions to cope with unexpected situations. Moreover, good image among people also plays a key role in the success of a company. A good company or organization is one which not only seeks profits through providing quality products and services to the customers but also stands by their side in case of natural disasters. In this report, we will discuss how Toyota, a Japanese car manufacturing company, can work towards bringing improvement to the lives of people affected due to recent earthquake and tsunami. 2. Importance of the Event The 2011 earthquake and tsunami caused severe damages to Japan’s economy. The earthquake not only affected lives of the people living near the focal point of the earthquake but also adversely affected the car manufacturing industry and Japan’s nuclear system. Being nationals of Japan, it is one of our main responsibilities to work towards bringing improvement to the lives of people and to the overall economy of Japan. For this reason, we can plan to organize a function or event that will provide an opportunity for internal clients and community members to network while also raising money. As the community is badly hit by the natural disaster, the funds can go towards disaster relief center of Japan. It will also provide us with the opportunity to raise our company’s profile among the local community. 3. Overview of the Idea Being the advisor to the head of division, I have planned an event which can help us accomplish the above-mentioned tasks. The plan is to organize a car racing event in 10 main cities of Japan, which include Nagoya, Toyohashi, Ichinomiya, Okazaki, Toyota, Inazawa, Inuyama, Kariya, Setyo, and Handa. The event will be organized in December. In the car racing event, we will not use hybrid cars, rather we will introduce our latest electric cars in order to make people aware of our latest developments. We will specially invite our internal clients along with the community members in the event. For the collection of funds, we will use the following ways: 1. Funds collected through sale of tickets 2. Funds collected through company’s net profits 3. Funds collected through participation of rich internal clients 3.1 Usage of Funds The main intent of the plan is to collect a good amount of funds through the event in order to use those funds to bring relief to the lives of the affected people. Some part of the collected funds will be given to the Japan disaster management center in order to make our contribution in providing relief to the economy of the county. Our main is to use the collected funds in the benefits of our society. We will help our people stand on their toes once again. The event will be organized in those cities which are not affected by the disaster and where people have strong financial backgrounds. We will educate people regarding the need of their participation in bringing improvement to the nation’s economy. The event will not only help us collect a high amount of funds but also it will help our company maintain a good image among the local community. 3.2 External Consultant The event will include all those activities which are critically important for the success of any specific event. Along with car racing, some other attractive features of the event will include live entertainment shows, dance shows, and 2011 electric car show. We will do effective planning for the event. All other tasks, such as, promotion and supervision of the event will be done with the support of a specialized event management firm because external consultants have a vast knowledge about the environment and available opportunities related to the event. Eden (2007) asserts, “The consultant is usually an 'expert' in the chosen field and will often have a greater depth of experience than the equivalent employee”. We will select the external consultant based on thorough research about the success rate of consultants’ event management experiences. Bryce (2006) states, “Ideally, a consultant should have both a business and a technical background”. 3.3 Collection of Funds and Purposes of Organizing Event The funding which will be needed to hold the event in 10 different cities of Japan will be collected through company’s own budget and sponsorships. Toyota is one of the biggest car manufacturing companies of Japan and it has the ability to provide funds for such events. Along with that, the company will also use the sponsorships to launch the event. The event will serve two main purposes. First, it will help people who were affected due to the disaster. Second, it will build the image of company’s corporate social responsibility among the public. Another purpose behind organizing this event is to make people aware of the new electric cars being manufactured by the company. Some of the most considerable features of electric cars include convenience, durability, regenerative breaking system, more efficient as compared to gas engines, and no emission production. Soliday (2010) states, “Electric cars use energy more efficiently than gas powered cars”. Through driving the electric cars, people will get to know that there is no emission of fuels from electric cars because electric cars do not use gas for any purpose. More information about new electric cars will also be made available to the people. Internal clients and public will be made aware that new electric cars manufactured by Toyota provide up to three times more stored energy to the wheels which gasoline cars cannot provide. An electric car is also more quite, reliable, and consistent as compared to gasoline cars. When the participants will use electric cars for race, they will get to know that the use of regenerative breaking system saves up to 30 percent of the energy, which is redirected back to the battery. These were some of the features, which will make Toyota’s electric cars very attractive for the consumers. 4. Event Advertising Some of the main attractive features of the event will be use of electric cars instead of hybrid cars, open-air stage arenas, on-site leisure facilities, outdoor entertainment grounds which will have large seating capacities for accommodating approximately fifteen thousand people. In order to make people aware of the event, we will use different modes of advertising. We will make use of social networking websites, such as, face book, Orkut and Twitter. This is because face book and Orkut are the most widely used platforms of communication by the public. Announcements related to the car racing event will be made regularly using fan page of face book. Television ads will also be used. We will also make people aware of the event through local newspapers and magazines. Not only newspapers and magazines, we will also make use of email marketing through sending the emails to the internal clients of the company. Radio advertisements will also be used during October and November through three of Japan’s main radio stations. We will also use some of the most valuable forms of advertising, such as, internet marketing, print advertising, outdoor advertising, and covert advertising to create awareness among the public about the event. Press Releases will be issued to all local newspapers and magazines to create awareness among the public about all upcoming event. 5. Conclusion Summing it up, a good company is one which stands by the side of the public in case of natural disasters. The plan to organize a country wide event by the Toyota motor company will benefit both affected people and the company. The company will provide relief to the affected people using the funds collected through the event. The company will also be benefited because a large number of people will become aware of the durability and efficiency of the new electric cars being manufactured by the company.
