The Language of Health Informatics (M3C) For most of enterprises, there are several variety of information required to run their business effectively. They say “Information is Power”..(Lesko,n.d.) The demand for information vary at different levels of management; each requiring information specific to their business area of concern. Information used by top management may be more of a precis compared to the information used by other levels of management like in the middle management. “Middle management may need more detailed information in their area of responsibility to help them carry out their functions.

Hence, businesses are inclined to have several types of information systems operating at the same time.” … (Types of information, n.d.) The succeeding discussions deal with a simple database in the management information system of Pajel Export Economic Enterprises Co. (PEEEC) which forms part of a larger central database of the company. “The management information system (MIS) is mainly concerned with internal sources of information. It usually takes the data from the transaction processing systems (TPS) which are designed to process routine transactions efficiently and accurately; examples of which are data from registration centers, billing systems, weekly and monthly payrolls, etc.

TPS data are summarized into a series of management reports. MIS reports are generated for middle management and operational supervisors”(Types of Information, n.d.). To cover this aspect, J. Friedman, a manager of PEEEC shared the following. According to him, “PEEEC is a newly set-organization accredited with the Department of Economic Affairs and Trade and Industry. It deals with promoting export manufactured products consisting mainly of different industry products like electronics, cars, chemicals, textiles, furniture, medical, bio-recycled products, among others.

The company mainly deals with foreign investors who are encouraged to invest in the country in exchange of different types of attractive investment incentive packages. With this function, PEEEC is therefore compelled to monitor and have profiles of the companies that have registered with them.”… J. Friedman (personal communication, Jan. 25, 2011) Further, Friedman explained that “the central database of PEEEC would cover all aspects of its operations like financial, administrative, human resources, legal, etc.

Presently, a small I.T. unit of PEEEC initially maintains a simple database using Microsoft Excel to manipulate, store and maintain about 900 records. Fields of this database may be viewed in Attachment A. Of these fields, the key field is company category, indexed on the field “Industry Classification of the Product”. With these key and indexes, one can immediately view and print the list the companies and products desired. The cited database information are primarily used by all management levels which require different customized reports such as: executive portfolios, monitoring and assessment reports, financial analysis, inventory report, brief company profile, company development reports, etc.

Of course, this simple database is upgraded to higher DBMS programming features for advance utilization purposes” J. Friedman (personal communication, Jan. 25, 2011) . Another important element in databases that must be given careful attention is the standardization of data. To avoid any invalid data display, errors in reporting, searching and filtering, it is mandatory for the encoder to comply with specified data formats. For example, data on date, currency, accounting, percentage, scientific, function must be strictly entered in its prescribed field format, not in text or any other formats.

Otherwise, the data will result to GIGO, an I.T. term for – “garbage in, garbage out” which means that data relational attribute becomes invalid for any future use. This in brief is an excerpt of how PEEEC builds and maintains a portion of its database along with some tips on how to keep a good, reliable simple database.
