Project of MOAID Introduction Every research work is undertaken with a specific purpose. This could be a problem or an issue that has to be addressed in the society or community. This is also the case with this research whose focus is developing an application that will enable all students from Saudi Arabia who are taking various courses in Korea. This application is meant to enable them overcome communication barriers in their learning. This application is expected to ease the process of transition for the foreign students undertaking their studies in Korea. This communication platform is very interactive in nature and it allows the user to be connected with the source where he is expected to receive help. In addition, this application is used in smart phones which are owned by a majority of students in the college. This customized application will be of great significance to the student community especially those of other nationalities. Related Works Terminologies and Definitions User: this word is used to refer to anyone using the application. In this case, it refers to anyone who is using the application either as a student, administrator or member of staff. Students: in this case, students are only those from Saudi Arabia alone Admin: in this application, admin is used exclusively to refer to manager and the secretary. Manager: it refers to the employee in the learning institution who is linked to the student through a video-call. In every learning institution, the manager is one with two secretaries. Secretary: this is a worker whose main role is assisting the manager in handling his responsibilities. Based on how this application is designed, there are two secretaries who are connected to the manager. They are supposed to coordinate the various functions in the office to ensure all activities are running as planned. ID: this refers to the student file number as identified in the office at the culture centre. This is used to distinguish one user from the rest of the users. Similar Works The use of video conferencing technology has been quite extensive. Ever since its discovery, video conferencing technology has been used widely in different fields. For instance, the US Military Army has been using video conferencing technology to carry out its activities. The commanders in the field use this technology to communicate with their colleagues in the control room. This has been in use ever since early 1990s and it has been proven to be extremely relevant to the current environment. Design & Implementation Student Registration This is the first step before students can start using this application. Every student will be required to create his own account by feeling information like the ID, name, phone number, age, major, email, user name, password, etc. After that, a link which is to be used to activate the account shall be send to the email of the applicant for activation. Student Log-In After activating the user name and password, students will be ready to log-in and do what they want. Nevertheless, the student must accept the rules of the service from the dialogue before using this application. Student Modification of the Profile All details entered by the user during registration can be modified except ID and gender. These changes can only be undertaken after the user has logged in. This is the case for all kinds of modifications on the profile, including changing the password. Student Search Schedule For a student to get the appointment schedule, they must first choose the month. In order for a student to get appointment schedule by time interval, they must select the specific day on the calendar. This provides information about the duration of the appointment. Student Create Appointment Under this charter, students are free to make reservations for their intended appointments. This is inclusive of rescheduling old appointments, which involves deleting old ones and creating new appointments. Based on how this application has been designed, students can create new appointment a day after cancelling the old appointment. Student Cancellation of Appointment In the situation where the student cannot video-call the appointment, he is free to request for a cancellation. Nevertheless, cancellation of appointment time is limited to expiry date of cancellation. When the expiry date of cancellation has reached, which is before15 minutes, the appointment cannot be cancelled whatsoever. After the cancellation has been made, the manager is notified immediately. Student Receive Rescheduled Appointment For students to know their rescheduled appointments, they must check out on the notification bar from their account. In the situation a student is not able to see this notification in the notification bar, possibly because of the network, it is important for them to make a request through the dialogue. Student Response Rescheduled Appointment Request After a student has made a request for rescheduling of an appointment, the admin will receive a notification from the admin confirming the acceptance of the rescheduling. If the student accepts the request from the admin in relation to rescheduling, the old appointment is automatically deleted. Student Request Video Call The video call is possible on the exact day of appointment. This is done by clicking on the call button under notification bar. The student will be expected to be on standby till the manager picks the call on the other end. User Take Video Call After admin has requested for a call, the user is able to see the admin name and appointment time before finally picking the call. Student Hang-up Video Call It is possible for a student to hang up on a video call. In that case, the system automatically ends the call when time elapses. Student Use Service Guide There is a notice board on the interface of this application that is composed of title and content which are meant to provide guidance to the student. User Use Multilingual Interface The choice of language used by the application is dependent on the smart-phone languages. Nevertheless, this application supports English and Korean. Admin Active User Account In the case where the student’s application is invalid, the admin will have to decline the registration and the email will be send to the user detailing reasons for declining. Admin Search Schedule Schedule selection is done by first selecting the month. After the admin has clicked a given day on the calendar, he can now search for an appointment list by time interval. Admin Update Response The admin is expected to select the start time and end time of the appointment and the intervals will be updated automatically. Admin Reschedule Appointment The manager and the secretary have the power to reschedule or cancel an appointment. Whichever the decision they may make, the message is automatically send to the user for the response. Admin Request Call This is done by clicking on the notification bar. When the admin makes this request, he must be on standby in order to respond accordingly. Admin Take Video Call When the student makes a request call, the admin can be able to see details like student name, appointment time and profile picture before finally picking up the call. Admin Hang-up Video Call The system will automatically end the video call when the time is elapsed. Admin Get Appointment List Report The admin can download the profile details about the user in the form of an excel file and store on the computer for any given use. Admin Get User List Report This information can be downloaded by the user as excel files Admin Get Statistic Report This information can be downloaded by the user as excel files Admin Manage Service Guide The admin is charged with providing the service help required on the notice board. In this case, the admin is the final person and therefore can delete or edit any information posted on the notice board. Admin/ User Find Password When either the admin or the student has lost their passwords, it is possible to be retrieved by providing some of the information they submitted during registration. Such information include ID, date of birth and email address. Admin/User Alarm Appointment Both the user and the admin will receive notifications some minutes before the scheduled appointments in order for them to be prepared. Admin Registration The process of registering an admin is similar to that of the ordinary user. Admin Create User The admin and the manager can create secretary and the student. On the other hand, the secretary can create the student. Performance Evaluation Every project is set with specific goals that are supposed to be accomplished. Every single investment made towards a project is meant to enable it realize its targeted objectives either in the short-term or long-term. Performance evaluation is important in gauging how effective a project is in relation to accomplishing its set goals. This software will be evaluated at an interval of 6 months to ensure it is working effectively. Conclusion This application is meant to ease the process of settling by most of the Saudi Arabian students undertaking their studies in Korea.
