This is to give the committee direction on ways to scrutinise the many proposals that they will receive from suppliers to attain perfect supplier to operate with (White 2008). In coming up with a request for proposal, it is meant to seek attention from other auditing firms which can offer assessment services to the company to enhance their audit services to their clients in the market. Through assessment from other audit firm, the company will be able to gain more knowledge and skill that their counter parts use thus improving on the quality that they offer to their clients in the market. The proposal aims to attain broader and creative range of solutions to be implemented at the organisation. With assessment of company’s performance, the activity will allow the company to develop more solution in handling client’s problems in the market. The proposal is targeted to influence positive purchasing power at the company. With perfect assessment of company’s service, the company will be able to improve on their performance in the market thus improving on their purchasing power enabling them to acquire perfect deals form their clients in the market. The proposal also aims at developing correct strategic procurement at the company. With perfect method used in selecting the vendor of supplier of the service, the company will at the same time be developing their recruitment strategies within the company. In return, this will enable perfect employees at the company enhancing better performance at the company. Problems Encountered During Writing of the Proposal In the process of developing a request for proposal, one encounters some problems just to ensure that the message is passed across to the suppliers correctly. Some of these problems are; Maintaining the length of the proposal was the major problem in developing it. The proposal had to include all the requirements that suppliers had to be offered with by the organisation thus exceeding the required length. In limiting the number of words in a proposal, one might leave out a very important point that the supplier had to be offered with to provoke then propose for the service (White, 2008). For instance, the exclusion of the submission and selection section in the proposal, could deny the supplier with important information on when they are required to submit their proposal, knowledge on commencement of the activity together with the method that will be used to attain the best supplier. There was problem with maintaining structured argument within the proposal. Having to give the suppliers all required information with limited number of words, one is forced to summarise the content thus loosing the structure of the content in the eyes of the reader. Invitation of company assessment from other auditing firms may give the company’s client negative views towards the ability of the organisation to attain their needs. For this reason, the proposal could not give much detail concerning the company. There was no differentiation. When an organisation requests fro proposal, they are typically closer to decision making process (White, 2008). To this reason, it is significant to differentiate your solution from that of the suppliers. Unlike this proposal, the organiser had to go for what they thought it right thus not being able to differentiate their solution from that of the suppliers. Having to give details about the company, the proposal failed to focus on the sales that it was seeking for the market. The proposal had to include the section as the suppliers usually need the section so give them knowledge about the type of company that they are dealing with. In conclusion, it is then clear that, for every proposal made, one has to establish the purpose for the proposal. This is aimed at guiding the company on ways to assess for the best proposal from their supplier who will be able to meet their objective. Thus perfect purposes for the proposal increases the level of proposal effectiveness. At the same time, one has to be ready to encounter the basic problem to come up with perfect proposal that serves the company perfectly in the market.
