 1.0 INTRODUCTION I am writing this proposal as a follow up to the discussion we had last time about the need for a teambuilding activity for your organization. Essentially, the aim of the process is to impart in your employees the need to synergize their efforts so that they whole team can realize better results. I believe we are in a position to address the existing gaps among your employees and help them acquire important skills that will ensure that they are able to build a cohesive team that will spur them into higher levels of productivity. Our organization has a twenty year experience with a good record of success in various aspects of team building. We have worked with various corporate organizations in this filed with wonderful results. Out if our good job, we have been able to maintain a loyal client base over the years. We have experience in both outdoor and indoor teambuilding activities ranging from one day to one week. Normally, such activities are tailor made to meet the requirements of the client and ensure that clients get good value for their money. The experienced team at our organizations are also good in coming up with ingenious ways of helping organizations meet their goals with low budgets. Therefore, we try as much as we can to fit out programmes within the budget of a client so as to enable them get goods results without compromising the quality of their services rendered. Therefore, you can be sure that your budget of $25,000 will be well utilized to give you value for your money. Over the last one year, we have been able to work with over 50 corporate of varying sizes, addressing various team building needs and all have recorded a huge success. On average, the teams we have worked with have experience an increased productivity are of up to 20 percent and staff turnover have dropped by an average of 5 per cent. However, we have heard only three cases where productivity of employees still continued to fall or remain level even after our programmes. We believe that the reason for such could be more to do with the structures of the organization rather than the level of cohesion or team building skills of the employees in question. I am hopeful that you will find working with us an enjoyable experience and do promise you our very best should you choose to work with us. 2.0 TEAM BUILDING OBJECTIVES We have designed a number of activities to be undertaken during the team building exercise. The activities are geared towards helping your employees attain various competencies that will enable a cohesive team to b built. Given the chance, we hope that the following results will be attained by the team: One thing that helps teams to perform better is strategic thinking; a sense of being forwards looking. It is only by being prepared for that future and the challenges that that future may bring about that individuals realize their own weaknesses which they need to work upon. For instance, changes in technology or the tastes of customers will definitely make us feel that we need the assistance of others to manage. Inculcating a sense of strategic thinking helps individuals think that the organization will be and what is their role. Of course, they cannot achieve their roles while others are lagging behind. We would like to see employees having a sense that each member of the team is important by helping them navigate challenges and therefore they are as important just like any member of the team. Another objective of the exercise will be to challenge existing mental models within the team. It appears that currently, the mental state of a good number of employees is not appropriate for productive interaction. We would like to challenge their fears, prejudices and misconceptions employees may be having against fellow employees or members of management team and make them rethink their approach. By helping them break down the wrong attitudes they may be harboring against each other, then we end up with a team that is ready to work together, help each other out for the overall success of the organization. Another objective to be achieved during the exercise would be to help employees improve their negotiation and communication skills. Effective teams must have members who feel they are wanted within the team; that they also have a key role to play for the success of the organization. For these to happen, the team must have effective communication and negotiation skills to help them interact and negotiate effectively. Others would be able to understand them and work with them towards looking for solutions to some of the challenges they may be facing as a team. Therefore, at the end of the activity, members should be able to trust each other and be in a position to effectively an openly communicate with each other. 3.0 ACTIVITIES To attain the above objectives, which are key in radically changing the mental models of employees and driving them towards improved personal relationships, higher levels of trust, open communications, more cohesive teams and higher levels of productivity, the following activities are proposed. All activities, whether physical or mental will be followed by a debriefing session where team members will pose to look at what they have learnt out of the activity in question. 3.1 Introduction and Objective Setting The activities will start with several ice breakers and team introduction. The idea is to make members feel comfortable and relaxed to engage with each other and participate in the scheduled activities. This brief session will also be followed with outlining the objectives of the teambuilding exercise so that members get to appreciate why the activities are important and win their trust and confidence. 3.1 Strategic Thinking Here, members will be engaged in an experiential activity. The aim of this activity is to help members appreciate the need to have a shared vision as a team and the importance of strategic thinking on their part as team members. Besides, the activity is intended to impress on them the idea that they must participate in making the teams rather than in tearing the team down. This way, they get to understand their role in the strategic management of the organization, by working together with their colleagues. The War Games Activity will be conducted for this session. 3.2 Interpersonal Relationships An experimental activity will be conducted for this session. The aim of the activity is to help members identify and participate in the process of team building. Members will also appreciate the role of keeping the communication channels and feedback process open and the role of interpersonal communication in building cohesive teams by breaking down any barriers such as prejudices and misconceptions. This activity is designed to help the participants to know their roles in the creation of a positive work environment through risk taking and strategizing as well as building trust and confidence in each other. The activity proposed here will be the Guided Walk. 3.3 Team Synergy and Team Spirit There will be an experiential activity for this part. The aim is to task members with an activity that needs them to be creative so as to complete it. Members will learn how to cooperate with each other so as to develop creative solutions to the task at hand. With creativity, then high quality and innovative ideas can be generated and spur a strong team which can be relied upon to help the organization improve its productivity. The name of activity here is the Delicate Balance 3.4 Thriving in Change Experiential activity will be aimed at helping team members to think outside the box as it were. Members will be involved in an activity that tasks them with overcoming barriers. It is helpful especially when change is involved and nothing g seems to be working. Team members must know how to handle change and how to lead change in such situations. The name of the activity here in The Ball Pass. 3.5 Conclusion At the end of the sessions team members will come together and formulate an action plan based on the lessons learnt. The action plan ensures that when team members go back to their work stations, they are able to implement what they learnt. Putting it into practice is what matters. Therefore, having a point of focus that drives the day to day activities of the team will ensure that the organization is able to attain the desired objectives. The sessions will be important in very many ways. For some activities, members will be at liberty to choose group members with whom they will work with. On other activities, groups working on a given task will be chosen randomly. This way, the team will learn how to embrace each other and work with each other without discrimination. Debriefing sessions in between the teams are basically discussion session where team members will be talking about what they have learnt and relating it with the work situations. For success in this session, then communication will have to be open. In fact, open communication is one of the values that team members are going to learn during the exercise. 4.0 EXPECTATIONS In order for the program to flow smoothly and achieve the outlined objectives, the client will be required to meet some of our expectations. To begin with, it will be important that the staffs arrive punctually at 9.00 am so that activities can start immediately. This way, a lot of time is saved and more time spent on the activities and discussion, ensuring that the client gets value for the money invested in this program. On our part, we continuously promise to provide high quality service that will make the client happy and satisfied and get good returns out of their investment. We have our own venues for purpose of such activity. The client is welcome to visit the venues at any time. However, the client will also be at liberty to ask for a venues change as long as they are ready to foot any additional expenses. In any case, we believe what we have on offer can meet the expectations of the task at hand. Another thing that has to be met is the dress code. Employees should come in casual wear which will enable them participate in the aforesaid activities. Preferably, the attire worn should not restrict movement or make one uncomfortable in the weather given that most activities will be performed outdoors. This way, we can be sure that all employees will be able to participate in the various activities. We want people to enjoy the activities, relax, interact and learn something in the process. It is highly advisable that all staff should eat together. Anybody wishing to take something different from others will have to do so at their own cost. However, such will be allowable under extreme conditions. During the exercise, it is important that everybody, regardless of rank, is treated equally and it involves food served. 5.0 EXEMPTIONS It is also important to note that this consultancy does not cover some activities or issues. For instance, the client is expected to meet their transport costs to the venue as we do not provide the same. Transport charges are also not inclusive in our charges for the activity and it is therefore the responsibility of the client to make sure that the staffs to be trained arrive in good time. The activity is a one day event. After that, should client desire to conduct any research as to the impact o the process, such will be at the cost of the client. We will participate in such if called upon, but the client bears the cost of any follow up activity. However, we will remain in contact to get any feedback about the whole event and get to feel how the employees took the lessons and are applying the same in the work situations so that we can know how to improve our services. 6.0 COST As noted earlier, the cost of the consultancy is $ 25,000. This is inclusive of the meals and beverages provided to staff during the event and the materials and equipment to be used during the event. Our policy is that the client does not need to spend on anything once the staffs are at the venues of the teambuilding. 7.0 CONCLUSION I believe I have offered you a fair deal and if you don’t agree with anything, please let me know and I will be happy to get back to you.
