Dear Friend, I am writing to tell you how my job things are going. As you know, since February I have been working in Production Department that seems to be a great challenge for me. I am glad that new position gives me opportunity to learn a lot of new things and gain required experience and skills. However, lately work environment in our department has been changed, creating shortcomings and concerns, which I would like to share with you. First of all, I have to mention that currently our company suffers unfavorable times because of increased number of defective goods.

The reason of this is substitution for supplier that dispatches raw materials with poor quality. Though new supplier proposes affordable prices, frequently he makes delays in delivery of materials that affect the terms of producing finished commodity. Moreover, delays in production also occur because of the low qualification and professional skills of the workers, who may show habitual negligence concerning their responsibilities. Nevertheless manufacturing capacities allow to produce bigger number of goods, there is an absence of required level of demand for our products and decrease of workers’ motivation that hampers further expansion of production.

In addition, the question about regulations of smoking personnel is still open. Present policy of smokers develops gaps in working time that influences on productivity of labor. On the top of everything, relations in our collective have spoilt drastically. Atmosphere is quite intense and unfriendly, causing intractability and stress. According to stated problems, it is essential to find solutions a.s.a.p. If you have any ideas, I would be grateful to get your help. Kind regards, Name Dear Friend, With this letter I want to express my gratitude for your sympathy and support.

It means a lot for me. I took your suggestions under careful consideration and, thoroughly analyzing emerged situation in my workplace, I managed to mark out several following solutions: to go along with the requirements of manufacturing capacities it is urgent for marketing department to do market research, launching advertising campaign, raising demand for our products, attracting new consumers and concluding additional contracts with them; to eliminate delays in deliveries of raw materials it is recommended to deal only with reliable suppliers, despite that they put higher prices for primary products, otherwise the company suffers bigger losses and damages own reputation; provide professional trainings for employees to improve their skills; for building responsible attitude of work obligations it is suggested to raise motivation, providing competitive and encouraging financial stimulus with a help of bonuses for special achievements and fines for defect and delays; to set new policy for smokers, regulating the number and duration of small breaks; for uniting employees and creating friendly environment in collective it is important to organize mutual time spending apart from working days, such as excursions, picnics and other entertainments.

Consequently, mentioned untapped opportunities will help to raise efficiency and profitability of company’s performance, motivating and inducing employees to show good achievements at work. I will notify you about results of stated propositions later. Warm wishes, Name References Bovee, C. L., & Thill, J. V. (2008). Business communication today. New Jersey, NJ: Prentice Hall.
