When implemented, the project will be able to run on various web browsers. The website will mainly consist of multimedia material while the video project will enable users to edit as well as develop their videos. As described earlier in the plan, the implementation is expected to take place in four months after which it will have to completely run independently. The interface of the project is expected to provide customers with the capability of handling their own multimedia material online (Yu, T 2006). Purpose The multimedia website will contain interfaces for the customer to upload and download multimedia material at their convenience. The video project entails shooting, editing and video sharing capabilities. After implementing both the projects, they will be synchronized to enable customers access the website to either download or upload multimedia content. The project is entailed to enable the company edit the customer’s content when uploaded to the site. Customers will also be able to share their videos for advertising their multimedia projects. System Overview The multimedia website will contained basic but improved features for a typical multimedia sharing and uploading website. The feature for the project will contain gapless audio decoding that enables the customers decode their audio projects. Through this, customers will be able to decode audio multimedia products between the different forms of audio. These will include mp3 audio to mp4 audio decoding and the reverse process. Another important feature the project will contain is an integrated online media store. This online store will be available on the website and is intended to contain videos and audio material uploaded by the customers. These will be available for downloading by the customers. It will also contain integrated playlists containing intelligently organized songs ready for listening by the customers. The system will also contain mass tag editing to enable the customers edit large numbers of multimedia products. Other components of the project will include an integrated media library, streaming capability that enables online watching of videos , a subscription service that enables customers to subscribe to the services offered by the website and a visualize. The support feature for the project include blogs, a forum for frequently asked questions providing the customers with answers to questions on the project, forums, instructional videos providing the customers with clear instructions on how to use the website and a substantial knowledge base. It will also contain online self-service that enable the customers to use the website on their own under minimal guidance in addition to tips and hint for adequate guidance on the use. It will also contain system upgrades that ensure the website remains relevant and functional at all times as well as recorded demos for sampling by the customers using the website (LeLoup 2011). Additional feature include an audio player, a video player and an editing plus decoding compartment. A customer care link will also be included to enable effective solving of customer problems with the project (Wolf 2006). Assumptions and Constraints The project is scheduled to be implemented over a four months period. The working structure for implementing the project includes five working days and 8 working hours per day. The workers that will be involved in implementing the project include a project manager, a web designer, a video editor, a tester and a help desk specialized in customer relations. The implementation of the project to its successful functioning will take approximately 4 months. By the end of the planning and conclusion of setting up the project, the company should have set up a working multimedia website capable of handling customer demands including video editing, uploading, sharing, decoding, subscription and online streaming capabilities. Budget Since most of the services offered are virtual services, the expense of setting up and running the project is expected to be low. The workers involved for setting up the project will receive an hourly wage depending on the work assigned for them. They will be working for eight hours a day five days a week. The workout plan started on July 28th and finally came to an end on 15th October. The working schedule for the workers is as follows, the project manager will be available for only 40% of the implementation time, and the video editor will be available for only 30% of the time while the multimedia web designer, the multimedia Web editor and the tester will be available for 100% of the project’s implementation time. The payment for the workers is stated as follows, the project manager receives a payment of $100 per hour. The analyst will receive payment of $100 per hour, the multi web designer $100 per hour, the multi Web developer $100 per hour the video editor $80 per hour tester $100 per hour while the help desk will receive $50 per hour. The implementation will use an average of $630 for every working hour. This translates to $5,040 per working day hence due to the fact that the project will be implemented for four moths which is approximately 80 days, it is expected that implementing the project will cost $403,200. This is approximately the cost of paying the workers who will take part in implementation of the project. However, the cost is expected to be a little higher considering the fact that other miscellaneous costs may come up during the implementation. Resource Availability and Skill Sets There is a variable availability of the workers intended to be used for implementing the project. Apart from the tester, video editor, multimedia web designer and the multimedia web developer who will be available fulltime during the implementation, other workers will not due to various factors. The Project manager for example will be available for only 40% of the time while the video editor will be available for only 30% of the time. However, despite their absence, the project is still intended to be fully implemented during the speculated time. Apart from the workers, materials needed for implementing the project are also available. The acquisition of fast and stable internet enables keeping the website active at all times for access to the customers. Getting a room to operate from is also important. This adds up in the miscellaneous costs as extra money is needed for renting out the operational venue. Apart from this, the acquisition of fast processing computers enables smooth running of the project. Software and Technology to be used Implementation of the project will require a set of software to enable effective administration of the project and eventually running it. Software needed include video editing software. This software enables the workers at the website to improve on videos uploaded by customers and also decode videos. Decoding videos entails converting the video into many of the available forms to cater for the diversity of customer preference. Apart from video editing software, implementing the project also requires an audio editing and converting software. Just as the video editing software, this software decodes the various forms of audio music making it possible for customers to download audio products depending on their preference. Other software includes online streaming facilitator. This facilitates online viewing of videos and listening of music from the website. During the implementation of the project, it is also essential to acquire a website designing software. The web designer will use the software to design the catalogue so as to make it effective. The software enables one to develop the website’s graphics and the other components. The use enables the designer to create links and sections on the catalogue to enable the customer upload, download and even contact the customer care department. The technological requirements for implementing the software include an internet router that will provide fast and unlimited internet for maintaining the website. The project also needs fast processing computers to enable the smooth running of the website. Acquiring phone lines for the customer care department is also necessary for ensuring the effectiveness of communicating with the customers and hence solving their issues. Constraints Associated with Product Interfaces On implementing the project, there is need for establishing constraints for managing the website. Effective running of the website needs restrictions to enable good relationship between the customer and the company. Restrictions will include copyright to protect the customer’s videos from piracy. These include restrictions against reproducing any of the products uploaded on the catalogue to legally protect the content of the website. Other restrictions will include age restrictions for accessing different types of videos from the catalogue. This protects the customers from explicit content that may be uploaded by some of the customers. System Organization Implementation of the project requires major system components to enable the efficiency of the project. This entails designing the structure of the website and also the user interface, implementing them and successfully refining them. The multimedia elements needed include the texts, graphics, video, sound, animations to be used. After designing the basic structure of the website, the contents and scripts are added to it. The content in this case includes videos and music intended to be supplied to the customer. Depending on the feedback received from the customers, the content of the website are revised over time. A multimedia website contains several important components that enable its effective functioning. In implementing the project, several components are needed for establishing the website. Designing a hypertext markup language (HTML) is needed hen designing the website. The website operates mainly concerned with computer controlled integration of texts, graphics, designed drawings images and videos. All these media are integrated to successfully transmit and store information in the website. There are five basic elements of a multimedia website. These as stated include texts, images, audio data, animations and video data. Pages are then designed to tie together all the components included in the multimedia website. The components included in a multimedia system are dependent on the type of application. Special effects and film editing software called premier will be used for presenting flash media. In the case of 3d media development on the website, the project intends to use specific software. These include Bryce, maya and 3d max studio software. These are the major software requirements for establishing the website. The hardware requirements include fast processing computers linked to an internet router (Kendrick 2006). The designing will kick off by creating a single web page and then linking the home page to other pages depending on their content and preference of the customer using the page. Each of the other pages is consequentially given titles and names. They are linked to the home page and are accessible by links contained in the home page. The secondary pages can also contain linked in smaller pages depending on their diversity. Description of Implementation The implementation of the project will employ the phased approach since it is a new project having no background history of being developed before. This is also to reduce the challenges that may be brought up during the implementation. The choice of employing this method is also due to the need of overcoming resistance to change and it also allows the incorporation of lessons learnt in earlier phases to be effectively applied to systems installed in later phases. In this case, any development on the website can be done effectively without any complications in the future. The website will be open for additional tabs and pages depending on the requirements at the time. In the aim of avoiding resistance to change, the project will contain success stories; provide necessary communication about the project and allowing the project to freely roll out to the general population. The implementation of the later stages of the project provides the project with enterprise tools that allow it to gain visibility of the schedule (Stevens 2007). It also allows resource and cost information across the project’s portfolio. By using a phased approach of implementing the project, time is allocated for ensuring sound plans for conducting individual projects. Enterprise level tools require a substantial amount of financial commitment. As discussed earlier, implementing the project takes approximately four months and will cost roughly 600,000 dollars to completion. The phased approach for implementing the project will entail four processes that involve initiation, project level installation, enterprise installation and finally the maintenance process. Initiation Phase During this process of implementing the project, the team will mobilize the project and successfully set the stage for the installation phase of the project. The management of the team will set the project off and urge all the employees involved in implementing the project to participate in it selflessly. This is the most important phase of the implementation as it will determine the patience and the willingness to participate in the activity. During this phase, the pilot projects will be set up. These projects include allocating 3 days for initiating the project. This initiation will take place between 28th of June to 2nd of July. This will include the kickoff meeting on 28th June and will take place for two hours. After the initiating meeting, the company will take part in developing project chatter for the three days ending with the signing of the charter and agreeing on the conditions of the chatter. Project-Level Installation Phase The phase will involve structured planning for the project and the implementation of the control processes. Successfully application of the project management techniques is created. After spending the three days to initiate the project, the company will engage in planning. Planning involves developing adequate plans for the projects. The planning involves both financial and operational planning. The whole planning procedure will take place for 2 days between 28th of June and 2nd of July. After the initial planning and initiating activities, the company will immediately engage in executing the project. The executing of the project involves analysis, designing, system testing, user evaluation and approving the design. The executing will run for the entire whole project time. This is right from the start on 28th June to 30th October. Enterprise-Level Installation This phase creates the necessary infrastructure of supporting business decision making basing on the given schedule. This also involve gathering all the resources and information on any costs to be incurred during the implementation. During the process, the project’s main areas will be installed. This is to take approximately four months. It will entail analyzing the project, designing it and finally testing for its proper performance. Analyzing the project will take approximately 8 days to execute. The team will take part in analyzing the market, the expenses of carrying out the operation and plans of improving some aspects of it need there be. The analysis includes gathering required data for the project for 8 days, confirming the requirements needed taking 2 days and will finally end with the approval of the requirements. Designing the project on the other hand will take part for 34 days. This will include establishing a local design for the project. The local design includes the basic design for the whole project. After this, the company will engage in testing the unit. Unit testing according to the plan is expected to take seven days with each covering 4 hours each. The unit testing will commence on 6th July and come to an end on 15th August. The company will then engage in testing the efficiency of the system. This is expected to take 26 days and is scheduled to run from 2nd July to 15th August. The sessions will take 4 hours each every day. The Maintenance Phase Maintaining the project is as important as setting it up in the first place. Maintaining the project is just as managing it. It entails the each and every employee taking part in the procedure. Maintaining the project entails making status reports sessions that take three hours each. The first status report is at 20 % followed by a 40% report. The 60% report then follows up and finally the 80 and the 100% status reports. Apart from conducting a status report, reports on the performance of the company is taken on a daily basis. The report entails the money spends and the profits made. The maintenance costs are then calculated from the costs. Maintenance cost depends on the number of employees intended to work at the project. Major Tasks The implementation plan for the project has allocated 3 days for initiating the project. The initiation will take place between 28th of June to 2nd of July. The first major task will involve kicking off meeting on 28th June and that is intended to take place for two hours. This kick off meeting will enable the project to kick off in a systematic way as major tasks and responsibilities to be carried out all through the process will be discussed. The meeting will involve all the members intended to take part in the implementation of the project. Each member will be allocated the tasks and the schedule containing the appropriate timing for performing the tasks allocated to them. After this initiating meeting, the development of the project’s chatter will start and is expected to take place for the three days ending with the signing of the charter and agreeing on the conditions of the chatter. After spending the three days to initiate the project, the company will engage in planning. Planning involves developing adequate plans intended during the implementation process of the projects. The planning involves both financial and operational planning. The whole planning procedure will take place for 2 days between 28th of June and 2nd of July. It is intended to involve all the members taking part in the implementation of the project. The major tasks intended to be accomplished during this process include laying out the plans and schedule that is intended to take four months to implement. Financial planning on the other hand will involve the major stakeholders and investors in the project. The major factors discussed during the meeting involve the financial allocation and payment of workers. The budget for implementing the project will also be created and discussed during this meeting. After the initial planning and initiating activities, the company will immediately start engaging in executing the project. The executing of the project involves analysis, designing, system testing, user evaluation and approving the design. The executing will run for the entire whole project time. This is right from the start on 28th June to 30th October. This is the major par as it entails the whole implementation process. The implementation will kick off with the acquisition of the necessary hardware needed for implementing the project. Fast processing computers will be acquired for usage during the creation and even maintenance of both the video project and the multimedia website. Security and Privacy Since the project contain multimedia material mostly belonging to the customers, deriving adequate copyright principles makes sure the material are protected from reproduction. The media contained in the website will be copyrighted and registered under the copyright society. Reproduction of any of the media will attract a fine and jail terms. This will be clearly stated in the website under the terms and conditions clear to anyone accessing the catalogue. The website is intended to benefit the customers by promoting and advertising their video product and other forms of multimedia they upload on the website. This creates the necessity of protecting their products against reproduction and piracy. Laws regarding multimedia products also entail user discretion policies. This is intended to protect the public against any materials they wish not to see. During the implementation of the project, such matters will be given concern. Warnings against disturbing videos will be designed and placed at the beginning of the videos. Also age restrictions and parental guidance advises will be put in some of the videos not suitable for customers of given ages. The website will be registered under a trade mark to prevent any persons with intentions of reproducing the ideas and so the name of the projects for personal gain. Implementation Support The emergence of computers make it possible for integrating and combining sound, stagnant images and motion images. These incorporate both software and hardware requirements for setting up and utilizing multimedia websites. Therefore, setting up a multimedia project entails both computer hardware and software. The hardware part of computers entails system and storage devices with a big memory capacity. This also includes several relevant input devices, output devices and communication devices. Apart from the computer, communication hardware also plays a major role in establishing and running the multimedia project. This involves the acquisition of telephone lines for communicating within the department as well as communicating with customers (Rojas 2009). A camera is also essential in running the project. The camera is used for video recording as well as taking photos for usage in the website. The project also needs an effective sound playing and recording system. Effective speakers and microphone enable the recording and editing of media products of a multimedia system. Output devices are also necessary during the implementation of the project. These include a printer which plays an important role in printing photographs and posters used for advertising the project to the public. Other output devices include the monitors for displaying data running in the computer to enable editing of the website as well as other multimedia products. Software Requirements Software requirements for establishing a multimedia project are in five categories. These are painting and drawing tools, 3D modeling tools, animation tools, image editing tools and digital movie tools (Begault 2013). The graphical impact of the multimedia products plays an important role in influencing the audience. This is as the graphical appearance gives the first impression of the website. Software involved in graphical designs of the multimedia project includes drawing and painting tools. Most of these tools come with a graphical user interface contain pull down menus for selection of various actions required. The software intended to be used during the implementation of the project is the Corel Draw software. This software has wide ranging features for improving clip art, pictures and photos. The software produces high quality drawings that will enable creating the perfect representation of the website. Other software to be used will include video editing software. These decode videos and improve on their quality. Editing videos entails creating perfect backgrounds as well as perfect sound tracks for the given videos. 3D modeling tools are also important in developing the website. The 3D software intended for use during the implementation of the project is the 3D studio Max that creates models and designs in 3D format that can be used in animations. The animated symbols enhance the appearance of the website making it attain some form of reality (Landress 2007). Other software includes image editing software which in this case the project entails to use Adobe Photoshop. This enhances the appearance of the various images portrayed in the website’s catalogue. Personnel The workers involved in the implementation of the project include the project manager who will be available for only 40% of the implementation time, the video editor who will be available for only 30% of the times while the multimedia web designer, the multimedia Web editor and the tester who will be available for 100% of the project’s implementation time. Training of the workers is not necessary as the project will only employ qualified worker in the given fields. Monitoring Performance Monitoring the performance of the employees is essential in determining the effectiveness of the project. As an aspect of monitoring employee performance, the project devices payment methods depending on the number of hours worked (Hartman 2012). Employees used for implementation of the project receive their dues only depending on the number of working hours as they are paid on an hourly rate. This is to motivate the workers to work for maximum number of hours for maximum payment. Implementation Requirements by site Site Requirements Implementing the project needs various hardware and software requirements. As discussed earlier, the hardware requirements include fast processing computers. These computers also need to have a high memory and storage capacity. Input devices such as the keyboard, microphone and mouse are also essential. The project also needs output devices such as sound systems, monitors and printers for implementing the project. The software requirements on the other hand include video editing, sound editing as well as sound recording software as discussed earlier. Database Requirements Various forms of data are required for establishing and implementing the project. Video data are important in setting up the samples in the website for customer attraction. Other requirements include photographs, audio products as well as graphics that enhance the first impression of the website (Meredith 2011). Facilities Requirements Facility requirements include the studio building for conducting the project’s operations.
