Organization and Management of a Health Care Facility Introduction Organizational structure refers to the different level of management within an organization. These different levels of management provide an efficient means of management as the structure provides the chain of command among the different management levels. Each department shall have duties to handle as a way of increasing accountability to the management and patients. By that, different departments are usually grouped together depending on the similarity of services they offer as a way of utilizing common equipment and increasing efficiency in communicating. Hospital departments The CEO is the overall in charge of management to whom all departmental heads reports to directly. He represents the hospital in all major transactions like entering into research partnerships, enforcing policies and laws and providing the general direction the hospital shall follow to attain its objectives. Administrative services The head of administration services is charged with responsibilities of running the daily operations of the hospital. He coordinates all the activities of all other departments to enable them run as a single unit with an aim of attaining the common goal. In addition, he is in charge of coordinating the recruitment of all staff members including assistant directors and sets their remuneration among other benefits. He also coordinates research activities and ensures that new medical staff gets the requisite learning skills. Information services This is the first place patients report to before they can get any services from the hospital. The department handles all the paperwork, and it is in charge of billing patients for services delivered. The department head is in charge of the collection and safekeeping of all the important bio data of the patient including names, next of kin, and residence among others. The head shall oversee accommodation services and ensure the hospital accommodates enough patients to avoid overstretching facilities. In addition, he shall be responsible for coordinating acquisition and maintaining of all modes of communication like computers, telephones, printers, among others in the hospital. Therapeutic Services This departmental head is in charge of offering quality treatment to all patients. He is in charge of all services related to therapy including physical therapy, occupational therapy, speech pathology, medical psychology, and social services. The head also ensures the hospital has adequate and right quality of medicine at all times. He shall ensure that patients get the much-needed help all the time and if possible wherever they are. Diagnostic services This departmental head is in charge of investigating/ finding out what the causes of an ailment are. He is in charge of equipping and maintains the laboratories, imaging services, x-ray units and emergency treatment services. He has the duty to maintain a good research database of treated medical conditions to be used as a reference by new staff. He coordinates research collaboration activities with other institutions as a way of finding cures. Support services This departmental head provides support services to all other departments. He shall ensure the hospital has adequate supplies of all medicine and equipment, sterilize all equipment and further facilitate a clean environment at all times. In addition, he will be in charge of designing new structures, equipment, and repairing worn out ones. He shall ensure all staff are in uniform; they are presentable, and they portray a positive image to patients and the public. Vision Statement We shall be the ultimate healthcare provider of choice for medical staff and patients through availing the kind of medical attention we aspire to receive ourselves. Elaborating on the vision and mission As a hospital, we endeavor to provide the ultimate medical treatment that is unrivaled in the region to an extent whereby our families will think of this hospital as its first choice when seeking medical intervention. To support that vision, our current mission is to offer the best medical attention possible at cheap rates while recruiting the best staff members and training them adequately to offer compassionate care. In addition, we are offering real-time treatment in that we do not keep patients waiting too long on the queue hence we expect patients to leave our premises while relieved. Recruitment feasibility study The hospital board of directors is in charge of making crucial decisions that relate to recruitment and rewarding of staff members. Moreover, there are frequent board meets to deliberate on the current staff operations and needs and in case there are gaps, the board shall note them conduct research about the need for more staff and recommend to the relevant body to carry out a recruitment drive (Belon, 2007). Hiring of staff The study starts with the assumption that with population increase, more people will seek Medicare services and so the number of hospital staff should increase proportionately (Belon, 2007). The analysis shall begin with providing data regarding the current staff numbers in the hospital versus the number of patients they handle on a daily service. Using this data, the board shall conduct research to prove the need for more staff, analyze the data and forward recommendations. Now that the board has identified here areas as worst represented, the study shall dwell on those areas to find out why we have less staff there and if there is are any activities that could be involved in attract and retain qualified personnel. Data collection shall involve counting current employees physically to find out how many staff the hospital has in those respective departments with the required qualifications and skills. If possible, the board shall distribute questionnaires to be filled by individual staff explaining about their current working conditions (Yordy, 2005). The research shall point out the number of staff needed and the required qualifications, information that shall assist to provide a competitive salary. The board decided to use this plan since it recognizes one’s achievement in the medical school through offering a commensurate salary while acting as an incentive to retain the staff longer while working more smart and hard. In addition, this plan shall attract highly qualified staff to respond to the advertisement of vacant positions. This plan as well classifies different professionals into different categories and rewards each category differently depending on their skills, qualifications, and expected output. After designing these qualifying criteria, the hospital shall go ahead to source for more staff members to bridge the gap in staffing (Johnson, Billingsley, & Costa, 2006). With technology, doctors can interact with patients in a better manner just like during regular visits. The doctor shall use email as the preferred mode of communication given that it offers patients the ability to refer from time to time. The hospital shall begin by collecting current contact details of all its patients and ask them to state the preferred mode of communication. The hospital shall then provide all useful information on its website that shall guide patients on how to access care services while at home. To reduce the number of readmissions, the hospital shall have a portal for patients where all patient information is recorded (The Hospital Readmission Workgroup, 2012). The doctor will update the kind of treatment suitable for the patient and discharge the patient and then train either then patient or guardian on how to make use of the portal. While at home, specialized caregivers shall access this information and offer best care services to the patient. Information technology shall have its advantages and disadvantages as follows: Advantages Disadvantages Saves the patient time and cost of going to hospital Provides real-time feedback with the hospital Enables the patient to increase reliability to handle obvious conditions. Absence of queuing and moving shall motivate many people to seek medical help. Many people at home may have access to confidential data. May increase corruption given that the patient may pay the doctor directly instead of paying the hospital. If people who are assisting the patient are not well qualified, they may give insufficient combination of doses, or they may handle the patient in an inappropriate way. Patients may be required to acquire more advanced technological gadgets to communicate effectively. Managerial issues in health care industry In the current times, management has faced many challenges when trying to advocate creativity and innovation as a way of handling medical conditions. Many new medical practitioners are motivated to make more money hence leaving the area of research to very few medical staff. In addition, the cost of machinery is expensive to an extent that some hospitals do share facilities hence giving lower quality experiences to patients (Narayana, & Pati, 2009). On the other hand, management of hospitals is not making enough money to pay staff well hence boost their morale. By that, most practitioners offer private practice on top of being employed, and a number of them refer patients to their private business as a way of making more money (Pittsburg Regional Health Initiative, 2011). Conclusion Medical services are very crucial to the community to an extent that many governments are trying to offer free quality services.
