College: Movie Review, Computer sciences and Information technology Dynamics overview Microsoft Dynamics AX is designed with the strength of ease of navigation (Microsoft Corporation, 1-4). It has the following features; a title bar, address bar, status bar, jewel menu and command bar, navigation pane, favorites and even a content pane. The title bar displays the application name, session name and even the server name. The address bar has the travel buttons; the forward and the backward buttons hence provide the user with more navigation possibilities. Further, the address bar allows navigation to other pages, modules and even other companies. The status bar displays the document handling button to the user as well as the status of a certain session. Jewel menu and command bar displays other options that may be important to the user for example to switch between forms. Navigation pane is normally on the left side of the screen and provides access to the list of forms and pages. On top of the navigation pane is the Favorites and just like other computer applications such as Internet Explorer, favorites in this application arranges the menu items in the way they are preferred by the user. It therefore grants access to a number of menu items. The content pane displays pages, role centers and even area pages. The role centers are basically more personalized dashboards where the different persons can pick tasks. In a company, the employees pick their tasks of the day or week in the role center. This adequately enhances the productivity of the employees since the tasks are separately assigned to each employee. Hence no time is wasted arguing who should take which task. The role center allows the employees to log in the system and grants them the power to take action on even items coming through the workflow. Microsoft Dynamics AX 2012 program support the company’s decision making in that it has a customer page where for example the sale manager can adequately preview the customer list. Also, he or she is able to view all the customer’s transactions and even the customer’s balances. In this case, it feeds the sales manager high level information about the different customers. The application also has the capability of exporting data to Excel directly from an AX work sheet. In Excel, it is possible to further update information and publish it back. Industries supported by Microsoft Dynamics AX 2012 include manufacturing, distribution, public service, retail and service. 2. Dynamics help manage employees expenses Microsoft Dynamics AX 2012 has the ability of to run a number of mixed workloads without facing response timeout issues or scalability. Tracking the records of money spent by the employees in a business is vital to the expense management and the well being of an organization (Chen and Chen 44-79). In the recent past, businesses of the world have been faced by the problem of adequately managing expenses arising from the different business activities (Ravesteyn, 2009).The Microsoft Dynamics AX 2012 has a self-service employee’s portal that allows the employees directly report the expenses incurred in line of work. If for example an employee wants to submit the receipts to the finance approver of the company. He or she first logs onto the company’s website, makes a new expense report and enters all the details in relation to the business trip. Information in relation to a business trip includes destination and even the purpose of the trip for example an employee may travel to South America to assess the suppliers. The system is smart enough to fetch the company’s and the employee’s credit card transactions automatically. The employee does not therefore need to key in such data manually. The employee further indicates the type of expenses incurred during the trip in the report. These expenses are also generated by the system automatically. All the employee does is to click on them to fill in the spaces in the report. The employee also has to attach the receipts as evidence of the stated expenses. The receipts have to be scanned or can be images uploaded from the mobile devices. To submit the report, the employee clicks on ‘submit’ button. The system automatically emails the expense report to the finance approver. The portal also has an online chat where the employee may for example text the finance approver directly requesting that he or she approves the expense report sent to him or her. But even if the finance approver is offline, he or she is still notified by the system of a pending approval. On logging into the system, the manager may preview the report or open the whole report to have a look at the full details of the expenses reported. On satisfaction of the details in the report, he or she approves the request by clicking on ‘approve’ or disapproves the report and clicks on ‘reject’ when dissatisfied with the details in the report. Rejecting the report sees the expense report emailed by the system back to the employee. Nevertheless, on approval, the status of the request made by the particular employee is now detailed in the system as ‘approved’. This status is also read similarly on the employee’s page when he or she is logged onto the system. The system further creates the respective finance journals entries when the expense report is finally posted and approved. The approved reports are therefore categorized as accounts payable by the system. The system further generates the payments and electronically wires the payments to the respective employee who filled in the expense report. Microsoft Dynamics AX 2012 is simply powerful, simple and fun to operate and considered very accurate. The managers no longer need to worry about managing the employee’s expenses; Microsoft Dynamics AX 2012 is the solution. It does not only ensures accuracy and honesty on the side of the employees when drafting the expense reports but also ensures cash returns when the advanced amount is greater than the actual expenses incurred by an employee in a certain business trip. 3. Microsoft Dynamics CRM Microsoft Dynamics CRM is a software package developed by Microsoft Corporation and developed to improve on the customer service level (Microsoft Dynamics 2-3). The application is run online and compatible with internet search application applications such as Firefox and even Windows Explorer (Moosdijk 3). The software is capable of recording all the business transactions and interactions of interest to the company between the employees and the respective clients. Both account and contact management is vital for any organization and is significantly improved by integration of the Microsoft Dynamics CRM in the company’s operations. One thing to note about the software is the fact that at the heart of the Microsoft Dynamics CRM is the customer database which significantly records interactions and information between the organization and its clients, trade partners, distributors, suppliers and even resellers. Microsoft Dynamics CRM has adequate features that not only provide the companies of the world with a platform to manage the customers and the overall sale processes but also provide a full integration with other applications such as Lync, Sype and Office Outlook. This further improves on the customer service in the company. A vital function of the Microsoft Dynamics CRM software is to provide security to the customer’s information. The customer’s information in the customer’s database created by the Microsoft Dynamics CRM software is reserved only in that particular company. If therefore the employee moves to another company he or she has no further access to the customer information. The Microsoft Dynamics CRM therefore has a varied number of functions to the different people in an organization. Microsoft Dynamics CRM adequately retrieves and deploys all customer information as well as the customer contacts in the customer’s data base of the company. The software has provided a platform where the different employees of a company are able to interact with data in real time. To the company this is vital for there is no time lost in retrieving and saving the information. The customer service is adequately enhanced since the sales representatives take less time to retrieve information about a customer. Also, the different users are in a position to create business relationships with the potential customers without having to consult with other individuals in the company. Further, Microsoft Dynamics CRM helps the different users create their own dashboards enabling them not to miss out in the available opportunities in the market revealed on the respective dashboard. It also has an ability to display information depending on when it was accessed. The different users do not have to therefore strain when trying to search information concerning a client. This adequately enhances the rate at which the company serves its clients. Microsoft Dynamics CRM helps the manager track performance and gives metrics on the set goals set internally by the company’s management. It helps the manager answer the questions such as ‘have we achieved the goals? How many transactions have we made in a day? The manager has a single view of what is happening in the organization. The manager is also in a position to ascertain which particular employee is less or more productive. Microsoft Dynamics CRM help the different users match the customers to the best solution in the company. In this case, the customer is informed by the company of products or services matching his or her current needs and wants. The software has further enhanced the social collaboration. This is the ability of an employee to interact with other employees via the real time chats this improves communication between the employees, improves the working morale, provides a room for creation of employee relationships vital for performance of any company and further enhances the speed at which the customers are served and passed from one department to another. Microsoft Dynamics CRM also provides new level of engagements between the company’s sales representatives and different customers. Further by use of the Microsoft Dynamics CRM software, it is possible to track and retrieve emails from the respective clients. This software further gives an overview of the current sales marketing campaigns. This helps the sales manager focus on what really need to be done and further forecast the company sales at every stage. It further controls the up selling and cross selling.
