E-Business Systems Requirements: XTRA 1- Introduction At the present, the Internet is the main influential tool all over the world. The Internet is a collection of a variety of resources and services. There are a large amount of the search engines, up-to-the-second sports scores, celerity web sites, and chat rooms as well as E-mail full of negotiations. The Internet is as well positioned as one of the most excellent business tools nowadays. Approximately the entire households have the facility of the Internet; on the other hand when people use the Internet, they require being aware of its advantages and disadvantages (Carter, 2009) and (Laudon & Laudon, 1999). This report covers the details of implementation of an online web site. This project management report is about the XTRA which is a small company specializing in Hollywood memorabilia. This report is aimed at providing a deep analysis of the XTRA business enhancements. In this report I will provide a deep analysis of the XTRA business enhancement through the implementation of online web based business. In pervious few years XTRA has faced some business down period and lost a great deal of average revenue. After the detailed analysis of the market and business sectors, XTRA has found that they are lacking in technology based business. It is suggested that implementation of the online website will provide a better business and competitive edge. This business development will extend the range of the XTRA business to discover new business markets and take advantage of enhanced ecommerce facility. This report will provide the detailed overview of the business and online website implementation, requirements analysis, resource allocation, leadership styles analysis, problems associated with project management and mentoring and coaching for the enhanced project implementation and management. 2- E-Business systems requirements This section provides business overview, new business requirements and constraints within which requirements will be specified. This section covers the business overview and requirements for the enhanced online business development. The business of the XTRA is going to implement an online business website that will manage and handle the online business of the XTRA. 2.1- Business Background XTRA business is currently having total of 8 full-time and 2 part-time workers. The company has local-networked PCs available for all the full-time staff. XTRA is a small company specializing in Hollywood memorabilia. The business of XTRA is based on Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts. This business was started in 1960’s by few people and soon established a strong market value in the concerning market sector. In the period of 1980’s and 1990’s the business has gained huge revenue and established as a strong market competitor. With the passage of time the Internet turned out to be a vital part of the society, business of XTRA in going down due to unavailability of all Hollywood Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts on the web. In this scenario XTRA business needs some innovation. This can be done with the implementation of new website that can provide the facility of the online shopping, advertisement and marketing. 2.2- Project Specification The business of the XTRA needs to implement an online business website that will manage and handle the online business. The management of XTRA wants to provide a better facility to their customers for online purchasing and viewing Hollywood Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts. 2.2.1- Existing problem situation The potential advancements in the areas of the web based media and fast internet availability have minimized the physical media business, especially in Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts. There are numerous problems associated with this business. These problems are: Less flexible working environment Small business market Difficult for customer to access Traditional operational structure Paper based working structure More expensive for marketing and advertisement Limited access to market and customers 2.2.2- Proposed System The modern and up-to-date technology based E-business website implementation is the main proposed technology for the XTRA business. The specifications of proposed system are: Online E-business website development and implementation Incorporating enhanced business facility Development of E-marketing structure Enhanced promotion platform Minimizing physical management and business cost Extending business approach The main solution to the XTRA business problem is to deploy an automatic system that can manage all the above given processes in a better way. This system will be a web based information system. The basic aim or purpose of this system is to manage the tasks of the business, for instance, we will develop an automatic system regarding the Hollywood media data storage, searching and purchasing. Here this system will also provide the online access to a broad customer space. Through this system we will be able to provide a web bases platform regarding the Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts searching, promotion, advertisement and selling. This web based system will also serve as a marketing platform for the advertisement of the new Hollywood media by our company. 2.3- Online E-Business Definition Online E-business system will provide a better support to XTRA business and handling structure. The online e-business of the XTRA can be defined in following terms. 2.3.1- Online Shopping The online website of XTRA will provide a better platform for the online shopping regarding the Hollywood Media. This will be an online platform for the purchasing the Movie Posters, Signed Celebrity Photos, Action figures and Movie scripts. 2.3.2- Online Marketing The new website of XTRA will serve as online marketing platform. This new website will hold a databases system that gathers the customer information and their interests. This databases analysis will provide us the facility for the assessment of the customer needs and interest areas. 2.3.3- Online Promotion and advertisement The business website of XTRA will also be an online promotion structure. This website structure will advertise the new Hollywood media approaching and promotion details. In this way the potential cost for the physical promotion and advertisement will cut down. 2.4- Online E-business System constraints For the development and implementation of the online e-business website system we need to visualize lot of constraints. These constraints can be time, money, priorities related. There are different types of risks concerned to the development of the online e-business system. The coming section will provide a deep analysis of technical and non-technical constraints for XTRA system development. 2.4.1- Technical constraints This section is about the detailed overview of the main technical constraints of XTRA e-Business website development. These constraints can be: Technology selection Cost Time Content Quality 2.4.1.1- Technology selection The technologies in Web sites are changing with each coming day. The technology selection is the main area that we need to address for the XTRA e-Business website development. Here we need to select a web based technology that is long lasting and remain functional after several coming years. 2.4.1.2- Cost Cost is taken as a main constraint for the enhanced system development and implementation. The cost management and appropriate allocation of the resource are always main concern for a better system development (Kerzner, 2006). For the XTRA project we need to plan in such a way that the project can be completed successfully. 2.4.1.3- Time Time management for a project involves the enhanced administration and management of available project time. The business of the XTRA requires early implementation of web based business so that they can gain in a better way. The web based project usually late due to the unclear requirements specifications. Sometimes the ongoing project change makes the project harder to manage. In this scenario we need to plan in such a way that overall project handling and implementation turns out to be successful. 2.4.1.4- Content The definition of the XTRA e-Business website contents is also an essential factor of the website development. This definition of the XTRA e-Business website needs to be more attractive for the customer and makes the customer to feel more ease at the XTRA e-Business website. 2.4.1.5- Quality The quality management is also an essential part of the XTRA e-Business website development. As quality website can provide safety against external attacks for the virus and hackers. This will also give the feel of innovation for the XTRA e-Business website. 2.4.2- Non-Technical constraints This section presents the detailed overview of the non-technical constraints of XTRA e-Business website development. These constraints can be: Staff skills, Culture Legal and ethical constrain 2.4.2.1- Staff skills constrain Sometime the staff skills and qualities for the effective handling of the system makes the business harder to manage and handle. In this scenario the whole investment for the system development can have no advantage. The deployment of the talented and skilled human source personal is really necessary for the successful completion of a project (Gray & Larson, 2006). 2.4.2.2- Culture constrain The development of the website for the business of XTRA needs to support to the wide cultural areas. This website is aimed at targeting a wide variety of customer classes and needs to be effectively targeting all type of customer classes and cultures. 2.4.2.3- Legal and ethical constrain The development and selling of media based products needs to be more aligned towards the legal and ethical areas. This makes the business to offer the customer a more appropriate way of accessing the media products. 2.5- Internal factors affecting the project Following factors can affect the project internally: If the software developers are not capable to manage and develop any part of system or functionality If management did not project funding properly Organizational Politics Developer’s Dedication Developer’s skills Management dedication to project 3- Project Planning This section is about the detailed analysis and overview of the XTRA e-Business website development. Here I will provide the planning regarding project resources and development. The main aim of this section is to plan for the main activities for this project and allocating the resources to these activities. 3.1-Resource allocation The process of the resource allocation is intended to allocate all available resources to the project main working phases. The function of resource allocation is to assign appropriate resource to a particular project working phase (Gray & Larson, 2006). The development of the XTRA e-Business website will entail the better management of all available resources so that project can be completed on the time and within resources. 3.1.1- Methodology This section outlines the system development methodologies. Here I will outline the system development methodology and working structure. This section will present the comprehensive overview of the XTRA e-Business website system development areas. 3.1.2- Systems Development Life Cycle (SDLC) In this part of report I will outline main system development life cycle for the online XTRA e-Business website system. This system development life cycle for the online XTRA e-Business website will comprise following stages. Phase 1 : Problem Formulation Stage 1 - Understanding the ‘situation of concern In this phase: it is stated that computers are “logically malleable” in the acumen that “they would be shaped and molded to carry out several movement that can be distinguished in states of outputs, inputs and concerning logical procedures” (Laudon & Laudon, 1999). For the online XTRA e-Business website system I will outline the main situation that established the need of this system. Stage 2 - Performing the diagnosis Here in this stage we assess that the lack of a successful resemblance forces us to find out innovative moral standards, set up new moral beliefs, build up fresh policies, and discover latest methods to consider regarding the matters available to us (Jawadekar, 2004). Stage 3 - Defining the prognosis outline In this phase of the online XTRA e-Business website systems development we will outline the need to have all the information regarding 3 modeling perspective inside SSADM (Pressman, 2001): 1. Data: this is an account of the data utilized in the system employing a logical data model. 2. Functions: this is an exertion to imprison the client’s vision of system dispensation. Methods employed encompass data flow modeling. 3. Events: these are business activities that trigger developments to renovate system data. Methods apprehensive comprise article life records and involve association diagrams. Stage 4 - Defining problems In this stage of the defining problem we are going to observe online XTRA e-Business website system and a better software development method as a flow curving from plain deliberate means and corporation’s necessities. Phase 2 : Solution Design Stage 6 - Performing conceptual/logical design In this phase of the systems development lifecycle we will develop the main design of this system. This will be both hard and soft system design for the online XTRA e-Business website system. Stage 7 - Performing physical design In synopsis the causes why this division of the policy reasons so a lot of difficulties are the following (Pressman, 2001): The users did not know what they required. The users did not know the potential of the knowledge. Users’ perception changed as the system was being urbanized. There were invariable transforms in the outside surroundings that were not expected. The developers did not appreciate the details of the users’ work. Phase 3 : Design Implementation and testing Stage 8 - Implementing the designs In this phase we implement the online XTRA e-Business website ordering system and will test this system for the effective outcomes and better management of the numerous tasks besides the effectual management of the XTRA e-Business website. 3.1.4 Rapid Application Development (RAD) Rapid Application Development (RAD) will be used for the overall development of the system. Here we will incorporate the main system development techniques devised under this paradigm. This methodology provides a fast track for the overall system development. Here we will deploy our prototypes for the customer satisfactions. This methodology provides great advantages regarding the fast system development on expense high man power cost (Sommerville, 2004). Here we have to hire more manpower to manage and handle the overall project. Prototyping is not the last solution for such system development that requires implementation of all above stated qualities. But as we have assessed this XTRA e-Business website development methodology is more effective regarding this system implementation. Why? The better interaction among developer and system user results in a system that gives above stated attributes and capabilities. Prototyping provides the capabilities to build an enhanced working relationship among system developer and user. The user states his needs and outlines of system that he want to work with. The developer works and builds a short-term system interface to get more requirements and in this way resulting system becomes according to user requirements. This is the final success of the IS development (Laudon & Laudon, 1999). 3.1.5- Prototyping Now I will elaborate the concept of the prototyping in the scenario of online XTRA e-Business website system development life cycle. In software development life cycle all the way through the system requirements section of the Web site development analysis stage, the software system analyzer collect data and information regarding the business/ association present dealings, working and business procedures associated with the planned software information system. As well as, they scrutinize the at hand information system through the user interviews and assemble documentation. This process assists the system analyst to develop a preliminary set of software system requirements. The technique of the prototyping expands this procedure for the reason that it translates these fundamental, but occasionally insubstantial terms into a physical however partial working model of the preferred software information system (Pressman, 2001), (Sommerville, 2004), and (Laudon & Laudon, 1999). 3.2- Main Resources for XTRA E-business project This section will outline the domain and areas those will be required for e-Business website development for the XTRA. These resources can be: 3.2.1- Domain This XTRA project will be based on the database that will be utilized for the storing and processing of the orders. This data base can also be used as the central databases for the overall organizational record keeping and management. The domain of this system will be a database that will provide a comprehensive management of the overall organizational resources. 3.2.2- Hardware Pentium 4 Network Equipment Servers Switches LAN structure 3.2.3- Software requirements: Windows XP PHP for website MySQL CASE tools 3.2.3- Time This project will take 173 days for the overall development and implementation of the web based business of the XTRA. 3.2.4- Cost This section is about the cost estimates of the project. This project has been assigned enough cost to each project activity so that the project implementation becomes a success. This project will cover cost $90000. 3.2.5- Outsourcing (Services) In this section I will discuss about the need of the third party vendors and suppliers for the overall system development and implementation. Here first we will need the technical support for the overall system development. For the establishment of the XTRA e-Business website set-up we will require the outsourcing regarding the effective system development. For this purpose we will consult with some software developer firm. In the hardware implementation for new XTRA e-Business website set-up we will require the technical support for overall system establishment. For this we will hire some technical experts for the successful and error free network handling. 3.2.6- Web-Hosting This section is discusses the implementation of the website of the XTRA e-Business Web site. I have researched lots of hosting techniques and finally selected the Dedicated Web Hosting technique for the XTRA e-Business website implementation project. Now I will discuss the reasons behind this selection. We know that business websites are immediately as available as with the strength of web hosting technology. A website will by no means achieve importance and public presence without the support offered by the web hosting corporations (Shelly, Cashman, & Vermaat, 2005). Consequently, if we want to give more popularity and ease to our website visitors then we have to keep in mind these entire issues. We have to implement XTRA e-Business website and it is really necessary to provide our visitors and XTRA e-Business staff an easy and quick access to website resources. Dedicated Web Hosting is the most excellent solution in this scenario. Dedicated web hosting is possibly the most expensive amongst the web hosting means, though this category provides the mainly complimentary return of investment for XTRA e-Business website. We are going to implement the XTRA e-Business website and for better and efficient working we should not care about the expensiveness of the web hosting technique, because for the big corporate and XTRA e-Business website needs to obtain ahead of the quality of services, dedicated web hosting is the ideal and the final option. I have chosen the dedicated web hosting because it permits the end user hire a server from the web hosting service suppliers. This allows them to formulate their own operating systems and carry out other tasks probable. The most excellent advantage of this facility is that; Clients are protected from the potential effects of sharing servers and the information with other clients. So by choosing this services we will be able to protect out secrete XTRA e-Business data and information from the general public access and sharing. Next reason behind the selection of the dedicated web hosting is the facility to use an extremely large disk space, because we will have very large amount of data (posters, banners, images, etc.) so this dedicated web hosting is best solution in this scenario (Wagner, 2002). 3.3 Planning In this section I will present overall XTRA e-Business website project plan and its main stages. This project plan will be followed through out the project and we will take care that no stage can take extra time, because during the project diversion from the project plan can result in the project failure. 3.3.1- Human resource planning Human resources required for this project are also a vital part of this part of this project. Here I will outline the main human resource for this XTRA e-Business website development. Required staff Responsibilities Project manager To manage the project In an effect way Planner Plan the project and resources in such a way the project exaction can possible on time and in resources Analyst Analyze risks and any required improvement Assistant Assist the staff for there responsibilities System designers Will design XTRA e-Business website system design System coder Will code the system for the better system working System tester Test the system for its error free working Quality assurance This team will provide the better system quality and working Etc. Any person who is required specified latter 3.3.1.1- Responsibility Matrix Now I will present the task responsibility matrix for the overall “XTRA” project activities. TASKs Project manager Designer Coder Tester Quality assurance Staff & Analyst Online XTRA Project definition Directs Primary Assists Primary Selection of an architect District Assists Assists Reports Assists Completion of design work Primary Directs Reports Development Directs Reviews Primary Assists Assists Deployment Directs Directs Primary Assists Testing District Assists Primary Primary Primary Quality Assurance Directs Assists Assists Assists Primary 3.3.1.2- Organizational Breakdown Structure (OBS) Below I have developed the OBS for the XTRA website development project. Figure 1- Organizational Breakdown Structure (OBS) 3.3.2 Cost planning As I have researched: this project will take $ 10000 for the successful completion of the online working system (website). Task Name Cost ($) Planning 1000 XTRA e-Business website System Requirements 500 XTRA e-Business website System Design 500 XTRA e-Business website development 4000 XTRA e-Business website System testing 1000 Hardware 2000 Quality assurance 500 Deploy System 500 3.3.3- Time Planning Here I have developed the time plan for the online XTRA e-Business website development system. This project will take 173 days for the overall completion. TASKS TOTALDURATION Start Date End date Old system analysis 10 days 2-Mar-09 13-Mar-09 Requirement gathering 20 days 16-Mar-09 10-Apr-09 Planning for system development 12 days 13-Apr-09 28-Apr-09 Resource planning 6 days 29-Apr-09 6-May-09 Design development 20 days 7-May-09 3-Jun-09 System development 35 days 4-Jun-09 22-Jul-09 Hardware purchase 10 days 23-Jul-09 5-Aug-09 Hardware implementation 15 days 6-Aug-09 26-Aug-09 Website implementation 10 days 27-Aug-09 9-Sep-09 Testing 20 days 10-Sep-09 7-Oct-09 Quality assurance 10 days 9-Oct-09 22-Oct-09 Finalizing 5 days 23-Oct-09 29-Oct-09 4- Leadership style This section of the report presents the main leadership style that we will adopt for the XTRA e-Business website development implementation project. Leadership is a hot subject however its explanation is very confused. We need to recognize the leadership that illustrates how all workers can show it, not just those at the top (McCrimmon, 2007). Leadership is the skill to control approval by a faction of people and consequently, get them to perform what the leader wants. The person giving this direction and strong acceptance is called the leader (Itoje, 2009). Our leadership style for XTRA e-Business website development project is situational. Our leadership style for XTRA e-Business website development project will rely on the job, the group or person’s abilities, knowledge, the tools and time accessible as well as the consequences preferred (Leadership-Style, 2009). 4.1-Democratic Leadership style I have researched about the Democratic Leadership style for XTRA e-Business website that is also identified as the Participative Leadership. The basic reason behind this leadership style choice is the implementation of agile methodology for XTRA e-Business website project. Agile methodology for XTRA e-Business website project will cause the Loss of titles of the project personnel and main workers. This will also take as the flattening of the organizational hierarchies (Mishkin, 2005). In such working environment the Democratic Leadership style is most suitable. Because in Democratic Leadership style the project/organizational leader will construct the ultimate decision but this process of the decision making is done through inviting other organizational staff/members/team to contribute to the decision making procedure. This is not simply augments job fulfillment through linking workers or group associates in what’s just about however it as well assists to build up staff/workers/ and project people’s skills. Workers as well as panel associates experience in power of their own fortune so are aggravated to effort hard through more than immediately a financial reward (Luis, 2009). In our XTRA e-Business website project the implementation of the Democratic Leadership style will enforce the participation. This participation is able to guide to things occurring additional gradually than an autocratic technique, however frequently the end consequences is enhanced. It is able to be the majority appropriate where team working is necessary, and excellence is additional significant than speed to marketplace or productivity (Leadership, 1998). In XTRA e-Business website project we have all these aspects so I got this leadership style useful. 4.1.1- Main Advantages Happiness Optimistic work environment Decrease of friction as well as office politics Booming initiatives Imaginative thinking Reduced employee turnover 4.2- Autocratic Leadership style I have researched all the leadership styles and got that Autocratic Leadership style not suitable for XTRA e-Business website. Here the main thing I have already mentioned is implementation of agile methodology for XTRA e-Business website project. Here I have already expressed that Agile methodology will cause the Loss of titles and cause the flattening of the organizational hierarchies (Mishkin, 2005). But in Autocratic Leadership style we have the situation in which we have an extreme shape of transactional leadership. Autocratic Leadership style is implemented where project/business/organizational leaders applies high intensity of authority over there workers or group associates. Workers inside the group are specified a small number of chances for making ideas, still if these would be in the group’s or association’s significance (Leadership, 1998). 4.2.1- Main Disadvantages Unhappiness People hate being ordered around Augmented workload for the administrators Short-termistic technique to management Teams turn out to be reliant upon their leader 5- Project Communication This section covers the detailed analysis of the project communication and resolutions of the potential problem arise during the project development and implementation. 5.1- Problems associated with project management This section presents the detailed analysis of the problems with audit and control that could arise in project management of IT and IS implementation at XTRA e-Business website project. The implementation of an agile methodology for XTRA e-Business website project will provide us a huge benefit but this will also bring few problems regarding the audit and control of the project. Here I will point out few of them in project of XTRA e-Business website. Implementation of XTRA e-Business website project will provide the open and collaborative working environment and this will cause Loss of privacy regarding the organizational main budgetary and auditing scenarios. In this way the auditing and controlling the whole working environment is a bit difficult (Berteig, 2006). During the development of the XTRA e-Business website project we can have the danger of Loss of titles of the project personnel and main workers. This will also take as the flattening of the organizational hierarchies. In such working environment the handling of the business, project, and tasks is extremely difficult. Here we got the project and personnel controlling problem (Mishkin, 2005). Implementation XTRA e-Business website will amplify the Visibility which can be a reason of business crisis. This increased visibility will increase the business people to recognize each aspect of the business that is also a main hindrance in the way of open auditing and controlling the business (Mishkin, 2005). In the process of the implementation of XTRA e-Business website based electronic supply chain management we require outsourcing. The process of the outsourcing requires the augment the amount of difficult business associations that require being proactively directed (Laudon & Laudon, 1999). In case of the implementation of the XTRA e-Business website electronic supply chain management a lot of associations preserves contracts in numerous positions as well as formats by means of small visibility as well as partial aptitude to follow compliance; the majority do not have uniform measures or some means to uphold/ audit agreement formation as well as administration (Anderson, 2002). 5.2- Effective Communication In the development projects the effective communication among the team members is really essential. The effective communication presents a better working and collaborative environment that leads to predicative outcome. The implementation of department-wide information system can bring some negative discussion among the team entities. The effective communication makes such activities less strong and provides better control to leadership to take a better and deep insight into overall project environment (Yones, 2004). 6- Mentoring and coaching This section presents the detailed analysis of the concept of mentoring and coaching. The concepts of mentoring and coaching are techniques for career development in association to educate up intended for precise jobs (Parsole, 1999). This means leadership expertise, power of decision-making, employee’s relations, inventiveness, stress and time management, meeting control or sensitive issue handling, has to be of the uppermost order (Brefi Group, 2009). Mentoring and coaching have to be versioned for the reason that a long-time association. These two techniques are for all time taken as one (Parsole, 1999). The technique of the Mentoring mainly in its customary sense, allows a person to follow in the course of an older as well as wiser colleague who be able to overtake on information, experience as well as open doors to or else out-of-reach prospects. The technique of Coaching on the other hand is not typically carried out on the foundation that the, coach has straight knowledge of their customer proper occupational role but for the coaching is precise as well as skills focused. The method of Mentoring is observed like the procedure whereby mentor as well as mentee effort jointly to find out plus develop the mentees concealed capabilities. The objective is not exacting position in the business; rather it is empowerment of the mentee through building up his/her capabilities. The method Coaching is to force the customer to achieve the uppermost probable objectives plus strives to reach those objectives to the exclusion of all other things (Tobin, 1998). 7- Conclusion In this report I have presented a detailed overview of the web based technology implementation at XTRA e-Business website. In this research I have outlined the areas of the XTRA Business those will be enhanced through the website implementation. I have discussed about different areas of the business that need some type of enhancements. This report has also outlined the negative impacts on this technology implementation. I have also talked about the web hosting and its technology for the business. This report will provide a better insight into the business process and working areas. Bibliography Anderson, D. L.
