By the end of the planning and conclusion of setting up the project, the company should have set up a recording and photography studio with a functioning website. Since most of the services offered are virtual services, the expense of setting up and running the project is expected to be low. The workout plan started on July 28th and finally came to an end on 15th October. The incoming of the internet enables easy management and sharing of multimedia such as videos. The company we want to set up will enable customer easily integrate their multimedia, share them, and even advertise on the website. The project is intended to benefit all the upcoming individuals in the entertainment industry. Upcoming musicians will have to upload and advertise their videos on the website. Other services include video editing for both music videos and movies. According to the analysis we had last year, many of the upcoming individuals in the entertainment industry hit the limelight by advertising on the website. The quality of video editing last year was good enough as it was done almost perfectly. This time round the company intends to improve its services to reach out to customers. We encourage all the clients and customers to start signing up to the website to keep in touch with the entire services e offer. Technical brief Site structure & navigation The institution will be made of a system of software and people at the service of customers. The project manager is in charge of conducting the daily operations of the project for the next month. The video editor, on the other hand, conducts all operations concerning editing of the videos brought in by the customers. Multimedia web designer is the person in charge of designing and maintaining the website. The person uploads the edited video to the site and coordinates all the activities of the website. The help desks acts as the customer care department and is responsible for solving the customer’s issues. They collect all the issues brought forward by the customers and in turn try to reach a solution to the problems. The tester, on the other hand, is responsible for testing all the company’s products before they are released to the public market. Site functionality The site for setting up the project is an ample studio within a quiet neighborhood. It is also easily accessible to the public in case they want to solve some issues. The project is relatively easier to manage as we mostly offer virtual services. The editing, uploading and downloading buttons are accessible to customers on the website. Maintaining the operations is rather easy and economical. Most of the workers on the project are paid on an hourly basis and work for 40 hours a week. There are five working days and the employees work for eight hours a day. The wage ranges from 100 dollars an hour for the project manager, the web designer, the web developer and tester. The help desk employees are paid fifty dollars for ever hour they work while the video editor receives eighty dollars for every hour they work. Development Requirements The total budget of running the project is below five hundred dollars for ever hour the employees work on projects. Other miscellaneous costs include the cost of renting the studio, renovating it and well equipping it. Maintaining the employees is just as important as maintaining the customers for the company’s services. Therefore, the company considers pay rises, bonuses and other help we can offer the employees to motivate them. Milestones The company has allocated 3 days for initiating the project. This initiation will take place between 28th of June to 2nd of July. This will include the kickoff meeting on 28th June and will take place for two hours. After the initiating meeting, the company will take part in developing project chatter for the three days ending with the signing of the charter and agreeing on the conditions of the charter. After spending three days to initiate the project, the company will engage in planning. Planning involves developing adequate plans for the projects. The planning involves both financial and operational planning. The whole planning procedure will take place for 2 days between 28th of June and 2nd of July. After the initial planning and initiating activities, the company will immediately engage in executing the project. The executing of the project involves analysis, designing, system testing, user evaluation and approving the design. The executing will run for the entire whole project time. This is right from the start on 28th June to 30th October. Analysis Analyzing the project will take approximately 8 days to execute. The team will take part in analyzing the market, the expenses of carrying out the operation and plans of improving some aspects of it need there be. The analysis includes gathering required data for the project for 8 days, confirming the requirements needed taking 2 days and will finally end with the approval of the requirements. Designing Designing the project will take part for 34 days. This will include establishing a local design for the project. The local design includes the basic design for the whole project. After this, the company will engage in testing the unit. Unit testing according to the plan is expected to take seven days with each covering 4 hours each. The unit testing will commence on 6th Jully and come to an end on 15th August. System Testing The company will then engage in testing the efficiency of the system. This is expected to take 26 days and is scheduled to run from 2nd July to 15th August. The sessions will take 4 hours each every day. User Evaluation Evaluating the users of the system is set to be the next the next procedure on the project planning. This will take part in five 4hour sessions set to begin from 28th June all the way to 4th July. During the process, we will open the help desk to the customers so as to get to know their views on the system. The wed designer and manager will also manage the site and use it to contact the customers we would have acquired by the time. Implementation The implementation of the project is set to take part during the whole 88 days of the time. This includes setting all the systems of the project working and trying for the first time to manage it. The effectiveness of the project is vetted by the number of customers it acquires over the period. Implementing the project requires the coordination of the whole team of employees destined to take part in the operation. The help desk will set out performing the activities of the customer care department while the video editing department is will finally set out to school client videos. The team involved in the management of the website, on the other hand, will keep on making improvements on the website and physically manage it. Controlling Controlling the project is as important as setting it up in the first place. Controlling the project is just as managing it. It entails the each and every employee taking part in the procedure. Controlling the project entails making status reports sessions that take three hours each. The first status report is at 20 % followed by a 40% report. The 60% report then follows up and finally the 80 and the 100% status reports. Apart from conducting a status report, reports on the performance of the company are taken on a daily basis. The report entails the money spends and the profits made. The maintenance costs are then calculated from the costs. Deliverables The deliverables for the project include the hardware of conducting the operation. These include the computers, tables, audio recording equipment and video recording equipment. Some of the customers will also have to deliver their video software for editing personally. Setting up the studio to operational will require important equipment. However, these seem to be the only deliverables needed in setting the project up. After setting up the project, most of the services offered will be virtual services, significantly reducing the number of deliverables needed for the operations. The company expects to set aside time for conducting a survey in the population. This is with the aim of getting the public notion of the project. The survey will include questionnaires with specific open ended questions concerning the public’s suggestion of the activities and services offered by the company. Questions on how the public relates with the entertainment industry and also questions on how the project has made changes to this industry are asked. The help desk also acts as the customer care for the project. They receive emails from the public concerning the issues they face with the project. The help department then brings the issue to the whole company during company meetings for solving. This also helps the company manage the project effectively by changing on places of most public concern. Payment of rent for the studio, repairing the equipment and buying new equipment all the same are some of the costs incurred the company in running the project. Payment of rent per month $4000 Buying new computers- 5 computers each at $1000 hence a total of five thousand dollars Availing deliverables costs six hundred dollars every day. Conclusion Planning for the project entails both employee planning and financial planning. The project is planned to take place within 4 months. The workers taking part in the establishment of the project include one website designer, an analyzer, a video editor and desk help. The desk help is responsible for taking part in the customer service. This is to help the company maintain good customer relations by addressing all the problems presented by customers to the help desk. The project entails recording videos and editing them before publishing them on the website. Most of the services provided by the project are virtual services.
