Work Sheet – CLO2. Evaluate an organization’s Quality management system What is a Quality Management System? A quality management system is a setup that consists of the all the prerequisites, essentials, tools, techniques, processes and guidelines that are essential for the reason of accomplishing the goals set forth against a project or activity within the organization. Q.M.S is a modern day concept that is largely brought into use in the modern industries and modern working environments for the purpose enhancing overall productivity. What is the structure of ISO 9000? ISO 9000 came about in to action for the first time in 1987. It was then modified in 1994 and 2000. The broad line structure of ISO 9000 divides it into five categories. These categories entail over twenty plus criterions based items. The five categories of ISO 9000 include the following: System Requirement Responsibility towards management Management of resources Improvement and Analysis domain Product practical execution. What are the basic requirements of a Quality management system? A quality management system comprises of set of rules that need to be fulfilled. Some of these require practical steps related to the ongoing processes, the others require the documentation and written material which include the declaration of the Standard Operating Procedures. Monitoring of processes, activities, timeline following and providing the employees with working manuals that clearly define their tasks and responsibilities are few of the basic requirements set forth by a Quality Management System. What is the difference between a Quality system and a quality manual? A quality system is a broader concept and application of the basic principles of quality services and delivery. The quality manual on the other side is a documented form of company and policy material which is largely based on the quality system manifesto and mechanisms. Quality system is a broad line definition and quality manual is the part of entire project and work which is presented as an organizational work policy representative documents. What are quality procedures, quality process and work instructions? What is the difference between them? Quality procedures are set of steps and actions that are set forth before the workers prior to their working execution. The quality process include the practical demonstration of the steps so undertaken during the course of action. The work instructions comprise of the clear dos and don’ts of the organization which provides a clear path following to the organization and project accomplishment. What is a quality objective? Quality objective comes along as the part of the quality Management system and quality policy manifesto. Under the objectives, the workers are provided with the guidelines that need to be accomplished. The processes are clearly chalked out. The objectives roughly define the project goals and organizational management setup. I.S.O defines the quality objective and makes it an integral part of the organizational manifesto, the I.S.O accreditation is subject to quality objective fulfillment. What is required in the QMS in relation to documentation? QMS documentation includes all the basic and minute details of organizational work and project that needs to be taken into account. The step wise dissection of budget, roles definition, S.O.P declaration, and international standardization rules abiding incorporate QMS documentation requirements. Upgrading the machinery and processes to the I.S.O 9000 set forth guidelines also include the prerequisites of QMS. How would someone develop a Quality Management System? Developing a Quality Management System requires adhering to the demands and specifications set forth by I.S.O-9000 and I.S.O 9001. I.S.O as an entity provides all the basic instructions and guidelines. Apart from I.S.O other locally set standards based on the country wise working procedures should also be followed. Quality management system may also include using the techniques mentioned by the proponents of T.Q.M field. What is the Quality Management System structure? The quality management system structure comprises of the basic four elements. These elements include the variables of Act Plan Do Check Each of these is implemented in a step wise phase. Apart from these four broad line defined steps are in complement with the other steps which include, audit, assessment and scrutiny of the different steps and activities. Feedback mechanism and review based system analysis is also part of the Q.M.S structure. What are Quality processes and Quality procedures? Quality procedures can be defined as the set of rules in the form of 5 Ws. It defines and addresses the Who, What, When, where along with the How. All these are associated with the working procedures, the defining of the goals, the personnel selection and the methods execution. Quality processes include a broad line dissection of the project under which the entire project is divided into different phases starting from initiation to the final stages. What are quality records? As the name would imply, quality records consist of the properly papered and documented material that was part of the initial objectives and manifesto. Based on the principles and goals that were set forth in the initial stage, quality records allow observing the level to which these goals are achieved. Quality records also help against the audit and other assessment based purposes. Why are quality records important? Quality records are important on multiple accounts. They are made use of at the end of the project for multiple purposes. These purposes include the level to which the objectives are accomplished. They in an indirect manner serve as the benchmark and record against the goals achieved and those that are not achieved. Quality records can be made use of in the legal claims. They can be used in future prospect. What are the required documented procedures? A non conforming product or service eats up resources extra and additional than the conforming product and service. Why is it important to record non-conformance? It is important to record the non conformance on multiple accounts. The first and foremost is it helps determining the accuracy rate. The second reason and purpose is to record the efficiency in terms of the goals achieved and goals to be achieved. non conformance observation and scrutiny enables achieving goals. It serves towards the betterment in the longer run and in the new projects that are undertaken by organizations in future course of action. What should an organization do about a non-conforming service/product? Organizations can overcome a non conformant product or service through revamping its policies, its actions and declaring emergency on all the procedures and functions that result in producing such products. The organizations can further more ensure adhering the I.S.O standards in a clearly defined manner. Incorporating Quality Management System and associated functions of quality improvement are few of the relevant steps that may be taken towards removing the non conformant products and services. What is the management responsibility in a QMS? The management responsibility is in terms of ensuring the Quality Management system. Apart from leading from the front, they also need to cater and provide the environment that would enable achieving the objectives in the desired manner. showing flexibility, providing incentives and working in groups towards mutual objectives achievement all these are few of the basic elements and functions necessary for the management to take into account while administering over a Q.M.S based system. How would you verify the integrity of a QMS? Integrity of a Quality management system can be made possible through the audits, and process of continuous improvement. Ensuring that all the domains of organization achieve the attention and instructions subject to the Q.M.S are few of the similar functions that will allow verifying a quality management system. Ensuring that the right man is assigned in the right place also makes for a Quality Management system function with regard to integrity. How would you review and evaluate a QMS? Evaluation of a Quality management system can be done so in number of ways. The first can be that of a quality audit assessment. The second can be that of a quality processes initiation, third can be through the schedule and goals accomplishment measurement. Fourth can be the customers satisfaction by the end of the project and activity, finally, the overall QMS can be gauged against the product and service and the feedback against it. Why do you need to evaluate a QMS? Evaluation of Q.M.S is very important. For the reason being, evaluation of QMS will allow knowing if the real purpose of QMS is achieved. it further allows knowing what particular part or phase of the project may have led to the slowing down of the project. it also allows highlighting the performances of the individuals who in longer run determine the overall goals and outcome of the organization through their performances.
