Project Background 5.1 Cost/Benefit Analysis conclusion recommendation Introduction Recruiting companies that have been functioning under the traditional format will have to address the latest technological advancement in computer in the form of database management that can store large customer information and e-mail system that can improve the communication. The traditional format of large paper work has to be transferred to computer and that can increase the effectiveness of finding a job for the potential candidate in the Information and communication technology professionals. Ultimate recruitment, an leading recruitment company in the Illawarra region had a problem in the form of lack of proper channel between the two branch offices. The aim of the report is to present a feasible solution to the problem, and the solution is expected to improve the business standards. Reflection on the proposed ICT solution How the problem started I have found that the problem started in the company when they expanded. The moment Ultimate recruitment had functioning with two branch offices, the problem started and it has to be seen that extra work pressure on employees has to be reduced to increase the productivity and efficiency of the company. The proposed Solution with cost benefit analysis The cost benefit analysis says about the cash that has to be invested in the project and the invested cash will be placed under expenditure account by the company in consultation, in this case Ultimate Recruitment. The benefits of implementing the solution will be also provided and that becomes the base of the cost benefit analysis. The budget will be varying according to the solution chosen. In this case the Ultimate Recruitment has been provided with two solutions and the company has the freedom of choosing the solution or technology to form the network. The solutions that were formed into discussion has been divided into two areas, Wide Area Network and Virtual Private Network. The total expected expenditure for Wide Area Network was $57452 and the total expected expenditure for Virtual Private Network was $53322. A comparative study on both the cost can be done Entity WAN VPN Hardware $31230 $23000 Software $12698 $17698 WorkForce $7846 $8946 Travel and Misc $5678 $3678 Total $57452 $53322 Ultimate Recruitment needs to spend an amount of $57452 for a period of 9 months for a WAN I.e. wide area network where as $53322 for a virtual private network in a span of 8-9 months for the system to come in to use. For the implementation to take place, Ultimate Recruitment will have to take the cash from reserve. Cash Reserve is the fund or money that has been kept aside beyond which the operating cash should be flowing. The company can fix the amount of the cash that can be kept as reserve. It can be said as apportion of profit(http://www.askjim.biz/answers/cash-reserve-definition_3730.php). For some organizations it can be 10% of the net profit after meeting all expenses and so on. The project could be delayed by about 10 to 20 % due to unavoidable circumstances. The unavoidable circumstances that have been identified with are key people leaving jobs, unavailability of hardware. The advantage of using the solution The main advantage that Ultimate recruitment will have to me is the increased service efficiency to customers and the data transfer between the two branch offices will also improve. The other advantage that I have found is the improvement in quality of time spend by the employees and the quantity of work that can be done in less time. The communication can be effective also. There will be communication gap between the offices and that can affect the performance in business process. Reflection on the Group The group has found out that the company brand name will be enhanced if the solution is implemented as the customer will feel elated with the service that they are getting. That can increase the word of mouth recommendations and as the group has found it will become a part of viral marketing. The other advantage that the group has found out is that, it can create a potential entry barrier to competitors into this segment. The next advantage that the company has will be the staying ahead of competition by maximum utilization latest technologies.The group has found out that the company is having a good name in the industry and that has to be enhanced by effectively using the solutions. Reflection on self I have found that the proposed solution will be effective and I have reached the conclusion because the proposed solution can increase the brand effectiveness of the company. I have found out that the effectiveness of the employees can be improved by this method and the competition can be won over or kept in hold. I have found out the long term advantage to be improved goodwill of the company and this can be better considering the cost in short term that will happen if the solution is implemented. I have found the solution to have every chance for improving the morale of employees as they can finish the work faster and effectively. What are the new solutions proposed by me to improve the situation I feel that the solutions proposed can be taken further forward by the company. I feel that the company can think of entering into a tying up with another company in the industry. The second company may be operating in another business concept. That can leverage more footage for the company and that can increase the potential reach out for Ultimate Recruitment. The company can think of using internet to attract potential job seekers and use the database management effectively to increase the job solution. The company can think of using virtual job fair that can attract the companies and the potential job seekers under one platform and the Ultimate Recruitment can act as buffer . I feel that the company can offer a work shop on employability skills and registration can be taken through computer and database can be used to forward the details to potential companies. Appendices Our group had four persons. Abdullah Al-Qahtani ,Hassan Alqarni ,Tareq Alatawi  ,and   Zhou Chenmin                   Diary Day One Our group had faced a problem in identifying the real issue. Our group had communication culture issue due to the fact that one of the group member was Chinese. That had not affected the work as this session was mainly used to know each other very well. Day Two The group had found out the problem and had decided about finding the solution. For this first step was to identify the same company like Ultimate Recruitment and find out their functioning. The group had also identified plans for finding the way industry functions. The group had assigned each person a role and that was decided to be implemented. The role was given after discussion suiting the strengths of the person involved. Day three to five The group had engaged in the activities that were discussed in day two and there were frustrations in the form of delay in getting acceptance from certain companies to know the information. Reliable secondary sources were depended on to ward of the delay in finding a solution. There were certain issues like the accent of communication not understood by the company but that was helped out by other members. There were shortcomings in the form of arranging meeting to discuss the status of improvement, due to arrange four people together.That had been a disadvantage that was solved in due process. Day six to eight The group had been engaged in thought process and each member had the chance to come up with possible solutions and a brain storming was done to identify the possible best solution. There were plethora of ideas and the ideas had been following the local culture knowledge also. All ideas were rethought globally and to the context and the discussion was made possible due to the nature of group. The group was able to work to strengths of the team and these issues bought out the good rapport we shared on the first day itself. The cost benefit analysis was also discussed and the other financial implications were also thought of. Day nine to ten The solution that was finalized was made into a report and a decision was being made to submit the report to the company with suitable recommendations being added. The group members were briefed by each individual member about the activity that was being done and each member was part of report making process. For a variety, the member made report about the activity of the other person. For example if A had done one work, it was made as a report by B person and the activity of B was done by A and so on. That helped us to gel together more and understand this work more. The Advantage of working in the group We were from diverse culture and nation and this assignment had helped us to work in multicultural environment. We had developed the ability to interact in such a manner that the strengths of the group and individual were followed. We had followed roles individually but made amends at the end. We were able to face the hardships due to the rapport and the common goal that was identified with the group. The Disadvantage of working in the group We were facing problems of time to schedule meeting that would have helped us to interact with each other well and understand each other and finish the work much faster. We did not go for the concept of team leader rather assigned work to each member by discussion and what we believed are the individual strengths. We were reluctant in sharing the notes and that was a problem which we sorted later. We had followed the role individually though certain help was passed on. Postings from E-learning The advantage of the proposed solution was made from the e-learning series. The additional solutions will be pasted in the e-learning series. The e-learning series were used for understanding the financial cost benefit analysis. Conclusion The ultimate recruitment problem were correctly identified and solutions has been proposed and that has been forwarded. The solutions that has been found is not final and conclusive and additions can be made to the proposed solution. The solutions that has been proposed is suited to the present era and the company should make sure that future technologies and solutions should be kept open.
