Due to its influence on culture, corporate bodies have begun eyeing the beach volleyball events with a substantial reason to make them look professional; however there is a strong urge to keep them social and not professional. In Perth, Beach Volleyball is currently treated professionally with participants being awarded medals. A number of national junior beach volleyball programs have held highly. The sport has been popular with skilled athletes who make their way to the Perth Colleges to play sand volleyball. Hence, the best places to recruit players are these beaches. However, these programs are working with limited funding, and athlete role might be filled by existing and interested wit indoor volleyball coaches and athletes. The incoming report explores Social Beach Volleyball event held earlier this year. 2 Background Australian Beach Volleyball quickly developed its junior programs, and many of their top players have been recruited as sand scholarship athletes. Indoor players have been considered too small to be recruited for top schools for indoor volleyball, and convert to sand volleyball athletes. The 2015 Social Beach Volleyball was held at; 180 Charles Street, Perth attracts a strong professional value. 3 Planning 3.1 Develop Event Goal and Objectives The aims of this section are to examine the planning process for the events. Secondly, the sections will consider the mechanisms for ensuring the effectiveness of the planning process. Lastly, the sections will consider operations, financial and marketing-related to the planning activities. The beach volleyball events it is by its nature a non-routine. The techniques used to structure and manage them through the opposite of the events. For that reason, the planning process remains a crucial aspect. Hukins and Gendern (2004, p. 54) notes that planning is vital to the success of events since their complexity are unusual requirements that may be considerably different from the regular activities and the sports. The planning process remains a key factor in what will happen in having to sit down and prepare and plan to think ahead about the event, identify the elements and issues that need to be sorted. Consequently, the planning process helps in revealing problems and opportunities that should serve to get people involved and act as a mechanism to search the environment. 3.2 Events Ingredients Events planning are the process, by which the manager and organizer look towards the events to establish what various courses of action are available to arrange it. This is not to say that a plan is going to appear in the designing process. The manager and organizer or planning committee might have run on the events. Systematic, detailed planning comprises financial planning budget, operational plan, and marketing plan. The financial plan budget charges/ income sponsor investment and the cash flow. The operation plan encourages operations resources staffing/ team/ location/ site, venue logistics equipment production schedule health, safety and security contingencies. Lastly, the marketing plan involves research on marketing activities, promotion, and public relation schedule. In this event, the issue of demand does not seem directly relevant to personal events in particular thought of demand which is not a significant factor in the planning process. Cattani (2011, p. 81) notes that the except to know roughly how many people are coming will be invited to an event is crucial to the development of an event. The events manager organizes a number of factors such as age group, the total number of attendees, their inclination to dress up. 3.3 The event lifecycle The event managers are aware of the need for timing. In fact, the lead times of the event is related to the activities are often underestimated hence enabling the difficulty of getting a large number of tickets for events. There are also other lead-time factors engaged in marketing and the production of brochures to the lead time of booking the right venue. Many venues will be booked up well over a year in advance. Popular dates and times of year will often take the uninitiated by surprise and almost an activity in planning that will be identified by a suitable venues and dates. Bookings are made provisionally and are subject to deposits. The table below indicates the sporting lifecycles in Social Volley Ball. Yeoman (2004, p. 82) notes that the identification of similar events might also be given some prices where people are willing to pay. Nonetheless, prices should be determined by other events in what will cost to put up an event and whether it is profitable. The budgeting will be dealt with more detail later. Furthermore, the issue of pricing is considered very important, as inexperienced organizers who typically underestimate the various costs. 3.5 Branding the event Branding remains to be a crucial process in the event. Social Beach Volley Ball attracts a number of independent players. The list of stakeholders is considerably large with managers, players, media fraternity, corporate bodies, and the local community toppling the lists. The main brand is Social Beach Volley Ball. The brand is structured to appeal positively to the community. 3.6 Events Making The event is considerably different from its predecessors given that its predecessors were only held at a local level with no involvement other professional bodies. The event has also generated a score board and licences where data is recorded. The social beach volley ball does not have a crafted tagline message although the brand acts as both. The event planners have had a reputation for holding the events annually at 180 Charles Street. The event is specifically planned for beach lovers; other players have invaded the game. The event is sponsored by 3.6 The Commercial Process The events are simply made with no complex publicity/ promotion although it has an online promotion, events calendars, printed programs, signage, social media and media relations. Events can be registered online, with sign-up, tracking and payment done online. There is also a registration app. The events are sponsor/ partner management. There is a formal system of planning, budgeting, registration, and guest determination as well as speakers list. Likewise, there is an event management system 4 Staging an Event The section examines the performance outcomes, skills and knowledge required to manage the staging and operation of the events. The section applies to staging an event which relevant to the industry context and has particular application in the cultural community. The event is relevant to the industry context but has particular application in the cultural community, hospitality, sporting and tourism sector. The section further focuses on the key knowledge and skills required to manage overall event staging from an organizational and contractor management perspective. The staging requires the application of advanced planning, communication skills, and organizational development. The skills are combined with detailed knowledge of the events management process and broad understanding of individual specialist. The table below shows the event staging process Table 2.0 Stages Stages Different Activities Altogether Starting the Event Need. Model (concept). Preparation and organization Preliminary Design. The staging of events incorporates different aspects of the events that enable the performance to go ahead. Contact (2014, p. 54) establishes that by performance, the entertainment is held as a sport and the parade and a ceremony altogether. The theme, venue, sound, preparation, lightening are essential components that are relevant to staging the event. Staging events requires exhibition set up, display and decoration, temporary structures, special effects, entertainment, display decoration, entertainment, sound and lighting, coat Plan, rigging, security, catering and catering set-up and disabled emergency access. 4.4 Staging Environment There are different factors that have been considered when staging an event. The primary consideration being is the suitability of the venue for the production and the audience. The selection of an event venue must take the needs of all stakeholders into account. Post and Preston (2002, p. 91) notes that the stakeholders include emergency services, entertainers, participants, and clients. Athletes and their promoters are fussy about the configuration of the venue, which includes stage and seating that contribute to the success or failure of the performance. Frequently, the client has an unusual idea for a venue, but, however, imaginative this maybe the selection of the site involves the quality of rational decisions to be made. This is transformed into an interesting place for essential services, such as electricity that would present expensive logistical problems. As well, choosing a venue that is consistent with the event purpose and theme is critical to the performance of the events This consideration includes the size of the events, which as well involves the size of the audience. The second consideration involves the layout of the site and its suitability for the event. The third factor involves stage, field or play, and performance area. The forth factor includes transport and parking. The fifth factor includes proximity to accommodation and attractions. The sixth factors include supply issues for goods and services providers, which involves catering. The last factors involve technical support and venue management. 4.5 Events Staging Elements Once the venue has been selected, the team analyzes the staging requirements for the events. Considerably, the team analyzes the safety and risk management issues with the event by incorporating the planning for the staging. Given its outdoor status, the event places requirements such as stages, tents, scaffolding, fences, ground covering and seating. The knowledge is important for a contractor who wants to be briefed on the development of the specific site. The events consider catering, venue or site services and set-ups, technical services, lighting, sound, special effects, and rigging. Other factors include physical elements, security, safety equipment and media coverage. 4.6 Decor To colour the post, the event managers have coloured the event to ensure that it looked fabulous and produced at a corporate level. Monroe (2006, p. 45) indicates that the decor encompasses many things from the colour scheme to the drapes from props to the floral arrangements. The challenge is to bring them all together into a cohesive theme for staging rental companies that are extremely useful to the task. 4.7 Layout The layout of the event venue is clearly the integral success of the event. Hyatt (2013, p. 165) establishes that attendants are careful of the formal layout of the events that are negotiated with the client in advance. Convincingly, the venue is planned according to scale. There are no special lighting effects as the activity is held outside in open air, although, at night, the coats are lighted with flood lights. 4.8 Sound Music is predominantly used on the beach, to excite and calm the audience. The volume is pitched at just the right level, and all members of the audience need to be able to hear clearly. As well, the loud speakers are used to communicate to the public about upcoming events. Professional sound engineers are relied upon to give advice on equipment and the acoustic qualities of the venue. The sad venue has no curtaining to repeal negative sounds. 4.9 Event Budget Table 2.0 Budget Progressive Budgetary Estimates (Wages) Event Coordinators (3) 4000 3200 4500 4500 Marketers (13) 1600 2800 2000 2400 Administrative support staff (5) 3000 3200 1000 2000 Graphic Planers (5) 5000 2000 4000 3200 Marketing consultancy (5) 4000 2300 2800 4000 Columnist writers (3) 3000 2800 3500 3000 Social Media Marketers 2500 2800 2500 2500 Services (Non-Personnel) Duplication and Printing Marketing materials 3000 Publishing costs 2500 Other documents 800 Rental Service Rooms 2800 3000 3200 4000 Road show services 3200 4200 3200 4000 Internet and other wages 2800 400 400 400 Utilities Telecommunications Workshop costs 400 500 400 500 Website and Social media support 500 200 200 200 Electricity and other inputs 120 120 120 120 Supplies Customer supplies 2500 2000 2500 1800 Meetings other additional costs 2500 2000 2500 1500 Office suppliers 3000 4000 Indirect Costs TOTAL 47220 31520 36820 34,120 5.0 Shut-down of your chosen event The social beach event operates annually during summer events.
