Project Background
The project involves creation of Multimedia Website, Video Project and Document reports for a Coffee Beans shop. These are business tools that could essentially be seen as marketing strategies for advertisements, communication and feedback management. This way the shop would be able to reach the targets market, market their products, receive feedback, make improvements based on feedbacks and manage knowledge among other things, making the shop maintain a competitive advantage. In so doing therefore, it is important for the shop to have a well laid out plan for the construction of these tools. This section provides a detailed review of the project tasks, time schedule, resources, and project plan and project phases.
Project Tasks
The main task of the project is to create a multimedia website, video projects and document reports for the Coffee Beans shop. The shop recognizes the significance of these tools in the strategic managements of operations and business. In conducting the project, there is need for involvement of technical and expert staff in website and internet technologies, video production and documentation skills. These skills are considered necessary for the achievement of the goals and objectives of the entire process. The task is meant to meet its completion goals and objectives within four months. As such, it demands commitment and expertise in utilizing resources geared towards attainment of the project goals.
Time Schedule
As mentioned in the project tasks, the project aims for successful completion in 4 months. In effect, this means that starting on 23rd June, 2015; the shop is expected to have a fully functional multimedia website to run its operations by 22th November, 2015 (120 working days excluding weekends).
The working time allocated to the project implementation is 8 hours a day for 5 working days a week; for the four months. However, the project Manager being involved in other projects is expected to only meet 40% (Which translates to 48 days of the entire project) time demands of the project. On the other hand the Video Editor is expected on 30% (36 days) of this time. The Web Designer, Web Developer, Analyst and Tester require 100% availability for the project period in order to successfully complete the project within the target time. Over three months of maintenance period, the Helpdesk would take 10% of the workload.
Resources
Considering the nature of the project, the main resources involved in the implementation are the technical personnel. Resources would thus be allocated with these considerations. Consequently, the resource allocation process would be a significant determiner of the budgetary estimates for the project (See table 1)
In preparation of this budget the following considerations were taken:
The resources are only allocated to the project tasks and not the project phases
The milestones of the project do not require resource allocations
Control Changes and Report Performance activities require no allocations as their costs are consumed in other tasks.

Client Business Brief
To kick of the project there would be a client business brief, both verbal and written through which the goals and objectives of the project shall be laid clear to the involved or participating entities. The process shall be controlled by the project manager. The main goal of the project shall be to utilize the resources available in constructing a multimedia website for the shop.
Technical Brief
In this brief, the technical aspects of the project shall be critically and effectively broken down and analyzed basing on the objectives of the project. This is useful in making the participants understand their tasks, duties and responsibilities regarding the project (Burke 2013; Turner 2014). The process will also be controlled by the project manager. The technical brief shall be provided in written and verbal communication. Two major aspects shall be involved:
a) Site structure and navigation
In establishment of a website, identifying the site structure and navigation mechanisms is tantamount (Sandhu 2013). As such, this is a significant detail to be examined in the early stages of the project. Considering the nature of the business the website will involve the following navigation areas:
Home: That will contain introductory information.
Products and Services: Highlighting the products and services offered by the shop.
Outlets: Giving the locations of other related outlets.
Orders: Enabling customers place orders for deliveries.
Careers: For advertisements of job opportunities when available and recruitment.
Contacts: For feedback purposes.
b) Site Functionality
Creation of a website may be insignificant if the purpose of the website is not clearly identified. The stipulation of functionalities is always a controller of the inclusions in the website (Sandhu 2013). The project will therefore ensure clear outlining of functionalities that would be essential in the project implementation process. The following will be the purposes of the site:
Marketing the shop to potential target markets and internet users
Offer information about our products and services
Provide a platform for receiving customer orders online
Provide a platform for customer feedback
Development Requirements
The development requirements are key to managing development challenges in the project (Heagney 2012; Meredith & Mantel 2011). Mainly, for this project the following are the development requirements:
Effectively working with allocated resources for the project
Completion of the project within the set project period
Observation of working codes of conduct and ethics.
Attainment of the set goals and objectives of the project.
Milestones
Milestones are essential in determining the progress of the project (Kerzner 2013; Larson & Gray 2011). As such, the project will entail the following milestones governed by monthly targets:
By the end of the first month of the project (31st July 2015), there should be a basic website structure.
By the end of the second month (11th September 2015), the Home Page and the Products and Services Page should be complete.
By the end of the third month (26th October 2015) the site should be successfully launched on the World Wide Web.
By the 10th November, 2015 multimedia services should be operational in the website.
Deliverables
The deliverables of the project are mainly governed by the main goals and objectives of the project (Turner 2014). The entire project should be able to deliver a fully functional website infused with multimedia technologies.
