Planning for Success: A Product Launch Event Event Design Concept Design: Our team will conduct an analysis of the pre-defined objectives and work with the senior management team to come up with good ideas that successfully bring unique and diverse elements into the events overall message and vision. Theme and Content Development: This is the driving force in capturing the targeted audience. By carefully identifying the definition, design and concept of the event content development is derived. A design mockup will be provided for review and approval before the implementation of the final product (Adcock & Halborg, 2001). Event Site Selection: Taking into account the event’s size and scope, it is critical to have a proper venue selection. As the event management team, we will research physically look into select and secure suitable venues for the management team, and it is highly recommended that the management team participates in a site visit prior to final approval. The senior management team will conduct and manage the essential follow-up logistical visits as soon as a venue is approved. Entertainment: This is an important component in coming up with a great ambiance for an event. As the senior management team, we will work closely with the organization so as to know its entertainment needs thus utilize our vast network of industry contacts in order to reserve the appropriate talent for the event. The contract negotiation and booking will be managed by us and at the same time, we will be advising the organization regarding pertinent decisions (Charlesworth, 2009). Food and Beverage Planning: As the senior management team, we will act as the main contact with the venue in order to agree on the requirements regarding food and beverage, dietary restriction options included. The venue menu tastings will be organized and reservations scheduled. Décor: This is what sets the attitude of how guests feel when they are arriving at the event. As the senior management team, we always look forward to a positive and unforgettable first impression. It's very important that we communicate the organizations vision through the final set-up. Audio Visual Production and Management: As the senior management team, we are uniquely positioned with a highly qualified in-house IT team, putting us in a good position to offer a complete range of services in order to manage the organizations audio/visual requirements. This highly qualified combination ensures immediate access to our supreme IT expertise (Christensen, 1997). Speakers and Speech Writing: As the senior management team, we will assist the organization in identifying and seeking speaker participation. We will also help in the grounding of program script and speech content. Event Promotion: In relation with the event theme and content development, as the senior management team we will come up with a concept in order to maximize event exposure and promotion. Brochure and adverts: We will combine spectacular visual design, feasible usability, and strong functionality to come up with compelling adverts and brochure which will engage visitors and provide an excellent reader experience. The event is a proper collaboration and as the senior management team, we will use our proficiency and management as required so as to ensure success (Dev & Don, 2005). Marketing and Communications Invitations, Programs and Signage: As the senior management team, we will assist the organization in coming up with the design concept for all involved materials. We are capable of overseeing the graphics, design and final print production. Exhibit Sales and Support: As the senior management team, we recognize that exhibit sales will play a major role of increasing revenue and developing sponsor relationships. In coordination with the organization, as the senior management team, we will supervise shipping and setting-up of booth assignments (Guiltinan et al., 1996). Sponsorship Sales: We will be advising and handling the execution of proactive strategies so as to increase the level of sponsor relation by enhancing modified sponsorship packages. Public Relations: We acknowledge that credible media coverage is essential in communicating the organization’s message in today's marketplace. As the senior management team, we will come up with a plan to acquire maximum local, national and/or international coverage to the target audiences. Also, we will come up with reactive and proactive crisis communications strategies as well as provision of ongoing counseling and media development. Social Marketing: The senior management team will closely work with the organization to enhance promotional media content and strategies with the aim of securing and maintaining customer engagement. Email Marketing: As an increasingly vital communications channel for maximizing outreach to the organizations audience(s) and as the senior management team, we will oversee the entire production while coordinating the ongoing submissions. Direct Mail: We will advise on proprietary marketing techniques designed to integrate the organization’s objectives by increasing the base monetary support. As the senior management team, it is our duty to increase awareness of the organization and/or enhance its image (Harris, 2002). Advertising: We will be advising the organization on the matters regarding brand management models via adverts and promotional media, precise to the organization’s initiatives. Mobile Devices: The senior management team will effectively utilize mobile devices and will be efficiently communicating with the staff, vendors and if necessary, law enforcement. Through mobile devices, all pertinent parties will be able to efficiently communicate, therefore, securing a safer and more efficient environment (Hochbaum et al., 2011). Online: As the senior management team, online database system processing, tracking, and analyzing registration submissions is our responsibility. Informational reports will be generated as needed. Mail: We will supervise the production and distribution of different forms of mailers. In Person: Registration is the face of the event; it is the first encounter the organization’s guests will have with on site. Thus, as the senior management team, we will make sure that it is only personable, courteous and well-versed staff who will be assigned to meet and greet the guests. Management and Support: We will oversee the process, event activities harmonization, planning and execution of all on-site and off-site operations regarding registration. Confirmation Email: We will make automated emails that will be confirming registration submissions. Email Reminder: As the senior management team we will implement and manage software implementation that will from time to time send email reminder updates to the guests both the registered and unregistered. Add to Calendar: We acquire and use the necessary resources to update calendars and trigger event reminders for the organization. As the senior management team, our goal with this event is to ensure we attain close to 100% attendance (Jaakko et al., 2007). Event Change Notifications: We also consider the fact that unforeseen circumstances may force us to alter the program content or reschedule the event. No matter what the revision or change may be, as the senior management team, we will handle it. Administration and Operations Project event Management: The senior management team has successfully positioned our plan, organized, secured and managed resources to bring about the successful completion of all event goals and objectives. Budget Preparation & Management: We will come up with a customized event budget with client consultation. Planning and Coordination of Logistics: The senior management team goal is to come up with an event which is efficient and seamless for both the organization and its attendees. Right from the beginning, we will make sure that the planning and coordination of logistics is tailored for perfection. We will come up with a team of detail-oriented staff qualified to conceive and review every possible aspect. On-Site Staffing & Management: As the senior management team, we will handle all aspects of on-site logistics. Security Coordination: We will work with different law enforcement agencies so as to provide all the necessary security measures. Information Technology: Organizations are faced with ever-changing compliance requirements, a range of security policies, and a need to know what is happening in and outside their systems. As the senior management team we will closely work with the organization to provide the level of information technology services specific to the event (Joshi, 2005). Transcription and Translation: We will make out, secure and supervise translators, sign interpreters or transcription obligations. Hotel Accommodation: The senior management team will organize, track and oversee hotel reservations. Post-Conference Surveys & Reporting: We will make and manage survey programs for the event. Post-event debriefs are essential in making sure that there is continued success and customer satisfaction. Attendee Tracking: The senior management team will come up with reports to track conference participation, pre and post event. They will be produced as needed by the organization.
