The process of acquiring, storing and disseminating the information is slow and requires an upgrade. The adoption of an effective information management system promotes efficiency and accuracy in the operations of the organization. The paper examines various benefits of an efficient management information system in the organization. It also provides a review of the current trends in the organization’s information management process. Introduction Management information systems entail the use of computer software, hardware and processes that facilitate the storage and management of information in an organization. Information management systems facilitate efficiency in the business by enhancing business processes and procedures. In addition, they enable business to provide efficient customer service, which are necessary in a competitive market. The organization is able to keep track of transactions and employees’ performance through effective management information systems. Moreover, information management systems enable the management to make multiple decisions regarding business operations effectively. Information management systems generally facilitate the creation, acquisition and storage of information in the organization (Shajahan and Priyadharshini, 2004). Public relations companies enhance organizations’ public relations by providing the media with appropriate and promotional information regarding their clients. The adoption of efficient management information systems in various departments of a public relations agency facilitates efficient and effective acquisition and management of information. In addition, the systems enhance sufficient and reliable research on the position of media regarding a client. Information systems provide the company wit an overview of various public relations procedures required by a particular business. It also enables the organization to acquire information regarding the level of their clients’ public relations. The implementation of effective management information systems in the organization promotes efficiency and accuracy with respect to research and the dissemination of information. The business proposal aims at providing concrete information regarding the benefits of adopting an effective information management system in the company’s research and communication department (Shajahan and Priyadharshini, 2004). Present Status The company currently uses inefficient methods of managing information. This limits its competiveness and efficiency of operation. Presently, the business applies traditional methods of tracking down a client’s public relations history. This approach is tedious and costly. The incorporation of manual techniques in the management of information in the company results in reduced reputation and profits. In addition, the company cannot compete effectively in the market due to limited access to apt information. Research is a major aspect of a public relations organization. Adequate research enables the company to access information regarding the operations of the clients and the state of their public relations. The use of inefficient and limited information management systems limits the company’s research prospects, which results to poor services (Shajahan and Priyadharshini, 2004). Accurate and adequate information is critical for the success of a public relations company. The adoption of inefficient information management systems limits the company in terms of acquiring accurate and relevant information regarding a client’s public relations. The company is also not able to keep track of the outcome of enhanced public relations. The current information management systems in the organization’s research and communication department are responsible for the poor performance recently experienced by the company. In addition, in order to promote the public relations of their clients, the business needs to uphold its public relations through adequate research (Green, 2010). The aim of any business is to set the pace for other organizations through effective decision-making, implementation and service provisions. The company should, therefore, adopt a new and effective information management system as proposed. Features of the information Management System Ann efficient information management systems comprises of various features such as speed, accuracy, consistency, objectivity and completeness. Accuracy The systems provide accurate information regarding various aspects of the business. In the public relations industry, the provision and acquisition of accurate information is crucial in enhancing clients’ public relations. The system provides the management with accurate information regarding the operations of clients. This enables organizations to develop various strategies for upholding the public relations of the client. In addition, accurate information regarding the status of the client’s relations with the public facilitates effective decision- making processes (Green, Liu and Qi, 2009). This enables the company to implement decisions and strategies that work towards promoting its relations with clients. The information systems also provide accurate information regarding the company’s expectations in the industry. This enables it to adopt effective approaches that enable it to compete effectively in the market. Inaccurate data results in incompetency in the business due to time wastage. An accurate information management system enhances the operations of the business, which are essential in promoting competition in the industry (Green, Liu and Qi, 2009). Consistency An efficient information management system disseminates information in the entire organization. The information management system is consistent in that it provides the management and employees with information regarding various business operations. In addition, the information management system ensures continuous flow of information throughout the organization. The system provides employees in different departments with relevant information hence promoting uniformity. The decisions made by a given department in the organization correspond to the objectives set by the management because of the uniformity provided by the systems. Moreover, the management can communicate any changes in the organization’s procedures effectively throughout the company. Consistency promotes uniformity in the organization’s operations. Objectivity The data provided by the information management system is objective in nature. The information management system skims through the managerial decisions and generates objective information. The information provided is in line with the organization’s decisions and objectives. The information management system also assembles and records information objectively to enhance efficiency in decision-making process in the company. The objective characteristic of the new systems facilitates efficiency in obtaining information in the organization. In addition, the management can easily implement decisions by reviewing the information provided by the information management systems. The system also provides employees with adequate and objective data, which is essential for enhancing the operations of the business (Lucey, 2005). Completeness The Completeness of information is an important aspect of management. The information management systems provide complete information regarding a decision by the management. There are no lapses in the information availed by the system which enhances the operations of the organization. The data recorded in the management information system is complete. It covers all aspects of the organization and provides a full view of the business’s problems and complex issues. The information management system generates reports and summarizes information to cover a wide perspective of the organization. This facilitates positive output with respect to the implementation of the organization’s decisions. Benefits of the systems The management information system promotes efficiency and accuracy in acquisition, storage and dissemination of the information by the organization. The systems cover the wide scope of the operations of organizations, which facilitates successful implementation of management decisions (Lucey, 2005). The various benefits of implementing efficient information management system include cost, accuracy, adequate information, speed, reliability, uniformity and competiveness. The cost of managing information through the new information management system is lower when compared to the old systems. The process of data collection, storage and management is efficient and results in minimal costs. In addition, the system enables the management to incorporate all aspects of the organization’s operations in a single system (Green, Liu and Qi, 2009). This enhances decision-making processes and espouses a cost-effective approach to management in the implementation stage. The research department of the organization incurs extreme costs in carrying out research and client evaluation. The systems promote efficient research and evaluation of the clients’ public relations. It provides the management with adequate information regarding the clients’ public relations and their operations. In addition, the management is able to access information regarding the clients’ activities that affects their public relations effectively (Laudon and Laudon, 2000). The system also provides uniform information to various departments of the organization. All the departments in the company are inter-dependent hence; a management decision affects them equally. The information provided by the system promotes uniformity in the operations of the business. The systems ensure a uniform flow of information in the organization. This enhances decision-making and implementation processes hence promoting efficiency. The information management system enhances accuracy of information. The system provides the management with accurate information regarding the operations of its clients and media. Accurate information is crucial in enhancing an organization’s public relations. The company can obtain accurate information regarding their customers and disseminate it easily to the media. The system also enables the management to acquire accurate information regarding the competition, which is crucial for implementing effective marketing strategies. The information management system also enables the company to access adequate and reliable information regarding the media and their approach towards various business operations in the industry. In addition, the management information systems are critical inn creating their customers’ good relations with the media. The management is able to track down various issues regarding a particular company’s public relations hence they can implement their approaches effectively. The information management system enables the company to harmonize their operations through effective and efficient flow of information (Laudon and Laudon, 2000). Implementation Process The company can implement the information management system on a departmental basis. The research and the communication departments are core points for the operations of the organization. The proposed system is useful mainly in the research department, which establishes the issues regarding a client’s public relations. Implementation involves the research and the communication department. This facilitates acquisition of information on various aspects of the organization (Lucey, 2005). Conclusion The proposal aims at providing the benefits of adopting an effective management information system in the organization.
