Information Systems play an important role in the efficient functioning of an office. The more efficient the systems are the more effective communication process will be. This is especially true in the case of newly recruited HR Assistant in the college. As most of his functions include communicating the vital information to the different departments and coordinating the work of several people in the process of effective administration, he needs to have excellent electronic communication systems.
The HR Assistant requires the following at his office for effective functioning:
A computer system with the latest configuration
A printer and a scanner
Internet connection and intra net facility
Telephone with inter cum facility
Fax machine
A mobile phone
Office stationery
Office furniture etc
Additional disks for information storage and back up
The list can be extended to the minutest things as well. However, the above list shows the minimum requirement for the office of HR Assistant without which he can not function effectively. These electronic communication devices facilitate faster and smoother communication in the college.
The procurement of these items listed above should be according to the general purchase policy of the college. In accordance with the administrative policies and rules of the organization, these items can be procured separately exclusively for this office or they may be acquired through bulk purchases which generally many educational institutions opt for at the beginning of the year. As the present position is filled in the middle of the academic year, the best option could be placing an order separately for this office.
Usually, the college has a standard regular supplier for all these items. Approaching the regular supplier is the best option as he also extends continuous maintenance service to the machines purchased from him. If the items are procured from a different vendor rather than the regular supplier, service and maintenance problems may arise in future.
The cost of these items comes under the expenditure of Human Resource Department of the college. The budget for the same can be allocated from the HR department. A special grant from the management for the establishment charges of the new position can be an alternative.
To decide on the technical aspects of the devices like the configuration of the computer system and other machines, it requires expert knowledge in those areas. The technical advice for the purchase of these items can be obtained from the maintenance people of the college. The technical experts in the area of electronic devices can provide the configuration and technical specifics for these items. In short, setting up information systems at the office needs the expertise and advice of the people who are experts in the field.
It procurement and setting up of these items will take a minimum of one week to ten days depending upon the availability of stocks according to the specifications. Read More
