Before planning any event, a planner has to create a budget while keeping several factors in consideration. These factors include: size of the visitors, venue, and food and entertainment items. The venue and the food should be selected in accordance to the number of people and the kind of people visiting. To avoid being charged for last minute venue selection, venue selection should take place months before the event.
If the event is very huge such a fundraiser or a wedding party, it is advisable to start scheduling six months prior to the event. To plan an event, a planner might need financial assistance in shape of financing from external parties and to get finances, a planner needs to start way before the final event. If the event is smaller in nature, then much time and money is not required to carry out an event, venues of smaller events are easily donated by others.
To make an event effective and efficient, a planner needs to follow the budget created earlier; the budget is based on the amount that the planner will be able to raise. The most part of the budget will be occupied by the bills for food and beverages. To stay within the budget, a planner can seek assistance from a caterer as the caterer is the best source of information regarding the quantity of food that will be required to serve the guests on the planner’s list. Planner might prefer keeping the budget on the lower end for food and beverages and increase the budget for entertainment such as bands and music DJs. It is much practical to decide about what element of the event will occupy the highest portion of the budget.
